Hotel Front Desk Cover Letter Checklist

To write a great hotel front desk cover letter, reflect on your prior success within the hospitality industry. How have your contributions helped to improve the guest experience ? What is the hotel looking for in a candidate? Using our methodology, you can quickly build an eye-catching document that piques the interest of the hiring manager. Below, we’ll walk you through each step of the cover letter writing process:

1. Contact information and salutation

In the header of your hotel front desk cover letter, include your name, phone number, email, and LinkedIn URL. Be sure to address the hiring manager by name — Mr. or Ms. [Last Name]. If you can’t find the hiring manager’s name, use a variation of “Dear Hiring Manager.” Avoid salutations such as “To Whom It May Concern,” as these types of greetings are less direct and personal.

2. Introduction

Lead with a powerful opening paragraph to set the tone for your hotel front desk cover letter. Emphasize your years of experience and genuine passion for the hospitality industry. Feature a stunning career achievement demonstrating your ability to drive guest satisfaction and improve hotel operations. If possible, include hard numbers or metrics in your introduction to grab the hiring manager’s attention early.

Improving guest satisfaction scores by 30% as a front desk agent for Wyndham Suites was one of my proudest achievements in 2023. As a front desk agent, I coordinated with the guest services team to enhance operational effectiveness and deliver an unparalleled hotel experience. My expertise within the hospitality space will allow me to make valuable contributions to your organization.

3. Body paragraphs

In the body paragraphs of your hotel front desk cover letter, continue to feature your most compelling qualifications and career achievements. Describe how your experience within the hotel industry aligns with the company’s reputation or mission statement. Highlight accomplishments that convey your expertise in communicating with guests, upselling amenities, and coordinating effectively with diverse teams.

Notice how this candidate leverages their previous hotel front desk experience to demonstrate the value they can bring to future employers. They show how they enhanced the hotel experience for guests by improving communication across departments. A hotel’s reputation is everything, so it’s critical you convey your past success using clear and tangible examples from your career.

Hampton Inn has a reputation for delivering a superior hotel experience that strongly aligns with my professional background. I can help to continue to grow this reputation based on my achievements throughout my career:

  • Coordinated front desk operations in collaboration with the hotel manager and guest services team for a hotel with 250 guests, fielded phone inquiries from customers, booked stays, and upsold suites, which generated a 10% increase in sales
  • Developed new procedures to reduce communication breakdowns across departments, which improved guest satisfaction scores by 20%
  • Received the Employee of the Month award four times over two years for providing exceptional service to guests and strong support to team members

4. Hotel front desk skills and qualifications

Rather than including a list of your customer service and hospitality-related skills on your hotel front desk cover letter, carefully integrate key terms from the job posting into your paragraphs. This shows you have the qualifications the hotel is looking for and have utilized them effectively in previous roles. Below, we’ve compiled a range of skills you may encounter during the job search:

Key Skills and Qualifications

Communication Cross-functional collaboration
Cross-selling Customer satisfaction
Customer service Diversity, equity, and inclusion (DEI)

5. Closing section

End your hotel front desk cover letter on a strong note with a call to action (CTA) that encourages the hiring manager to schedule an interview. Reinforce how your expertise in guest services and hotel operations can benefit the organization you’re targeting. Be sure to thank the hiring manager for their time in the last sentence of the paragraph.

I hope to speak with you further to discuss how my operations management experience can benefit your guest services department. You can schedule an interview with me at your earliest convenience with any follow-up questions you may have. I appreciate your time and consideration.

Hotel Front Desk Cover Letter FAQs

Why should i include a hotel front desk cover letter -.

Although most hotels won’t require a cover letter for front desk agent positions, submitting one can offer some advantages during the job hunt. Most importantly, the cover letter allows you to illustrate your passion for hospitality using personal language that wouldn’t work on a resume. It helps the hiring manager gain a better sense of you as an industry professional, which can sometimes make all the difference during the application process.

Should I use artificial intelligence to write my cover letter? -

Artificial intelligence (AI) and machine learning have continued to evolve rapidly, but it’s still not advisable to use AI tools to write your entire cover letter. Utilizing ChatGPT to give yourself a framework might be acceptable, but without infusing your own voice into the content, you’re likely to be left with a generic and uninspiring document.

How long should my cover letter be? -

It’s best to keep your cover letter short and straightforward in most instances. Hiring managers have limited bandwidth to assess each application, and submitting a long-winded document may do more harm than good. Limit your cover letter to three or four paragraphs with a keen focus on your most relevant and impressive achievements within the hotel industry.

It's important to place the header at the top of the cover letter, aligning it to the left or center of the page. This ensures that the reader can quickly identify your contact details and know when the cover letter was written.

Cover Letter Greeting / Salutation

A greeting in a cover letter should contain the following elements:

  • Personalized Salutation: Address the hiring manager or the specific recipient of the cover letter by their name. If the name is not mentioned in the job posting or you are unsure about the recipient's name, it's acceptable to use a general salutation such as "Dear Hiring Manager" or "Dear [Company Name] Recruiting Team."
  • Professional Tone: Maintain a formal and respectful tone throughout the greeting. Avoid using overly casual language or informal expressions.
  • Correct Spelling and Title: Double-check the spelling of the recipient's name and ensure that you use the appropriate title (e.g., Mr., Ms., Dr., or Professor) if applicable. This shows attention to detail and professionalism.

For example, a suitable greeting could be "Dear Ms. Johnson," or "Dear Hiring Manager," depending on the information available. It's important to tailor the greeting to the specific recipient to create a personalized and professional tone for your cover letter.

Cover Letter Introduction

An introduction for a cover letter should capture the reader's attention and provide a brief overview of your background and interest in the position. Here's how an effective introduction should look:

  • Opening Statement: Start with a strong opening sentence that immediately grabs the reader's attention. Consider mentioning your enthusiasm for the job opportunity or any specific aspect of the company or organization that sparked your interest.
  • Brief Introduction: Provide a concise introduction of yourself and mention the specific position you are applying for. Include any relevant background information, such as your current role, educational background, or notable achievements that are directly related to the position.
  • Connection to the Company: Demonstrate your knowledge of the company or organization and establish a connection between your skills and experiences with their mission, values, or industry. Showcasing your understanding and alignment with their goals helps to emphasize your fit for the role.
  • Engaging Hook: Consider including a compelling sentence or two that highlights your unique selling points or key qualifications that make you stand out from other candidates. This can be a specific accomplishment, a relevant skill, or an experience that demonstrates your value as a potential employee.
  • Transition to the Body: Conclude the introduction by smoothly transitioning to the main body of the cover letter, where you will provide more detailed information about your qualifications, experiences, and how they align with the requirements of the position.

By following these guidelines, your cover letter introduction will make a strong first impression and set the stage for the rest of your application.

Hotel Supervisor Cover Letter Writing Tips

1. show your experience.

When applying for a hotel supervisor role, it’s important to show employers how you’ll be able to help your clients by using your experience and expertise. Some great ways of doing this include:

  • Providing a brief overview of a past project (or similar projects) that shows how you managed and supervised a team while ensuring customer satisfaction. This will also give hiring managers an idea of the type of work they can expect from you in the future.
  • Mentioning specific metrics for improvement (e.g., decreased wait time, increased customer satisfaction ratings) and positive results that stem from your efforts as well as any awards or recognition received for achieving such results.

2. Customize Your Cover Letter

To convince employers to hire you, customize each application by highlighting how your past experiences make you a strong candidate for the job. For example, if one of the company’s goals is to increase customer satisfaction ratings, mention how your previous experience in customer service will help boost ratings. If there are any specific business problems listed on their website or job description as part of their hiring process, be sure to include these issues in your cover letter when referencing why you’re a good fit for the role.

3. Show results you can bring to the table

One of the most important parts of your cover letter is highlighting what you’ve done for previous employers, and how that past experience will be valuable in this new role. This shows hiring managers that not only do you have strong customer service skills, but also that you know how to grow a company through production and sales growth. Here are some examples of successful cover letters where candidates show their value and results:

  • Increased online sales by 35% in first quarter with new CRM system implementation
  • Created a marketing campaign by analyzing data from all sales channels, increased revenues by 52% over previous year
  • Opened five new accounts as well as managed 10 existing client files; improved client retention rate from 95% to 97%, with two clients renewing contracts early

4. Proofread your cover letter

Hiring managers are looking for reliable, hardworking individuals who are committed to excellence. Provide them with no reasons to doubt you by proofreading your cover letter. If it’s riddled with errors, they will assume you won’t be able to provide high-quality customer service.

  • Highlighting relevant experience, such as leading a team at a known hospitality chain like the Hilton, establishes credibility and demonstrates leadership capabilities.
  • Quantifying achievements with specific metrics (e.g., managing 200 check-ins/check-outs daily) provides concrete evidence of the candidate's efficiency and ability to handle high-volume operations.
  • Expressing a desire to contribute to the new team and a willingness to discuss alignment with the company's needs shows the candidate's proactive attitude and genuine interest in the role.
  • Mentioning appreciation for the company's ethos suggests that the candidate has researched the company and has an understanding of its culture and values, which is critical for a customer-facing hospitality role.

What are the basics of the design or format of your front desk agent cover letter?

To start, here's a reminder for you: the Applicant Tracker System (or software that is used to assess candidate profiles), won't be reading your front desk agent cover letter.

Recruiters enjoy reading front desk agent cover letters with a standardized format that uses:

  • the same font as the resume (e.g. modern ones like Raleway or Volkhov are prefered over the clichéd Times New Roman or Arial);
  • single spacing to keep the content concise and organized (this is all ready for you in our cover letter templates );
  • a one-inch margin to wrap around the text, like in our cover letter builder ;
  • PDF as a file format, as it allows your design (and visual element) to stay the same.

Finally, we can't go on without mentioning the key sections of your front desk agent cover letter.

In the top one-third, make sure to include a header (with your contact information, name, role, and date), a salutation, and an introduction.

Next, follows the heart and soul of your front desk agent cover letter or its body.

End your front desk agent cover letter with a closing paragraph and, if you wish, a signature.

The top sections on a front desk agent cover letter

  • Header: Include your contact information and the date, which makes it easy for the recruiter to reach out to you and denotes professionalism, a key aspect for a front desk agent.
  • Greeting: Address the hiring manager by name, showing attention to detail and personalization, which are critical skills for creating a friendly, welcoming environment at the front desk.
  • Introduction: Briefly mention your enthusiasm for customer service and your interest in the particular company, demonstrating genuine passion and a proactive approach to engaging with guests, which is essential for a front desk agent.
  • Body: Highlight previous experience in hospitality or customer service, emphasizing skills like multitasking, communication, problem-solving, and working with diverse clientele, all of which directly relate to the responsibilities of a front desk agent.
  • Closing: Express your willingness to discuss your qualifications further in an interview, and thank the hiring manager for their consideration, showing your polite demeanor and effective closing skills that mirror the way a front desk agent would courteously interact with hotel guests.

Key qualities recruiters search for in a candidate’s cover letter

Exceptional communication skills: to effectively interact with guests, provide clear information, and handle inquiries or complaints with diplomacy.

Customer service orientation: being genuinely interested in helping guests and creating a welcoming environment.

Attention to detail: to manage bookings, maintain records accurately, and ensure that any guest request is addressed correctly.

Multitasking capabilities: to handle various tasks simultaneously, like answering phones, greeting guests, and managing administrative duties efficiently.

Problem-solving abilities: to resolve issues that guests may encounter during their stay, ensuring their satisfaction and maintaining the hotel's reputation.

Proficiency in hotel management software: to manage reservations, check-ins, and check-outs with speed and efficiency.

How to address hiring managers in your front desk agent cover letter greeting

Goodbye, "Dear Sir/Madam" or "To whom it may concern!"

The salutation of your front desk agent cover letter is how you kick off your professional communication with the hiring managers.

And you want it to start off a bit more personalized and tailored, to catch the recruiters' attention.

Take the time to find out who's recruiting for the role (via LinkedIn or the company page).

If you have previously chatted or emailed the hiring managers, address them on a first or last name basis.

The alternative is a "Dear HR team" or "Dear Hiring Manger", but remember that a "Dear Ms. Simmons" or "Dear Simon," could get you farther ahead than an impersonal greeting.

List of salutations you can use

  • Dear Hiring Manager,
  • Dear [Company Name] Team,
  • Dear [Department] Department,
  • Dear Mr./Ms. [Last Name],
  • Dear [Job Title] Hiring Committee,
  • Esteemed Colleagues,

Get creative with your front desk agent cover letter introduction

Recruiters are going to assess plenty of candidate profiles for the role. Thus, anything you do to stand out will win you brownie points.

Use your front desk agent cover letter introduction to share something memorable about your experience .

But before you go down the rabbit hole of creativity and humor, align your message with the company culture.

For example, if you are applying for a role in some startup, use those first two sentences to tell a funny story (about your experience) to quickly connect with the recruiter.

How to write an achievement-focused front desk agent cover letter body

We've got the intro and greeting covered. Now, comes the most definitive part of your front desk agent cover letter - the body .

In the next three to six paragraphs, you'd have to answer why should recruiters hire you.

What better way to do this than by storytelling?

And, no, you don't need a "Once upon a time" or "I started from the bottom and made it to the top" career-climbing format to tell a compelling narrative.

Instead, select up to three most relevant skills for the job and look back on your resume.

Find an achievement, that you're proud of, which has taught you these three job-crucial skills.

Quantify your accomplishment, using metrics, and be succinct in the way you describe it.

The ultimate aim would be to show recruiters how this particular success has built up your experience to become an invaluable candidate.

Closing remarks to end your front desk agent cover letter

Of course, you'll have to show gratitude to the recruiters, who have assessed your profile at the end of your front desk agent cover letter .

A "Thank you for the consideration" would work wonders, instead of the standard "Sincerely yours".

Do you want to make an even better impression?

Close off your front desk agent cover letter by promising how you see yourself excelling in the role and the positive impact you'd bring about.

A sentence that encourages some further action on the recruiter's end could also be a good way to close off the communication (e.g. provide your availability for an interview).

Addressing limited to no experience in the front desk agent cover letter

There's nothing to worry about if you lack professional experience .

Your front desk agent cover letter could bridge the gaps in your professional history by focusing on what matters most to recruiters, that's either:

  • skills - focusing on transferable ones you've gained, thanks to your life experience (e.g. volunteering, certificates, etc.);
  • achievements - select the most relevant and noteworthy one from your history (e.g. education, projects, etc.);
  • motivation - describe how you envision your professional growth in the next up to five years, thanks to this opportunity.

Key takeaways

Writing your front desk agent cover letter has never been easier, so remember to:

  • Select a front desk agent cover letter template that automatically meets industry formatting (e.g. has one-inch margins, is single-spaced, is in PDF, etc.);
  • Make your front desk agent cover letter personal by mentioning the recruiters' first or last name;
  • Within the introduction, describe what you like best about the company in no more than two sentences;
  • Use your front desk agent cover letter body to tell a story of your greatest achievement, backed up by job-relevant skills and technologies;
  • If you have no professional experience, be honest about it in your front desk agent cover letter, but also write about your unique talents.
