Using the strong communication skills you’re developing through your liberal arts education, along with the information that you acquire from conducting employer research, make a compelling case to employers that you have the skills they are seeking.

An effective cover letter communicates to an employer which specific skills and experience you would bring to their specific position and always addresses why you’re interested in their organization. Your cover letter should not be a restatement of the entire résumé. Rather, using full paragraphs, it allows you to provide a comprehensive view of yourself as it relates to the position that you’re applying for.

Cover letters should be tailored for every position to which you apply .  Cover letters take a good deal of thought and time to achieve the right level of professionalism and confidence that will appeal to employers.

Should You Send A Cover Letter?

The answer is very simple.  Always send a cover letter with your résumé even when it’s optional, because it conveys your enthusiasm for the position and that you aim to exceed expectations.   The one exception is if/when the instructions specifically state: “Do not include a cover letter.” If you’re applying for the position via email, copy and paste the cover letter in the body of your email and include the résumé as an attachment.

11 Essential Cover Letter Tips

Your cover letter is just as important as your resume and deserves just as much attention. It’s the first correspondence read by a prospective employer, and a badly written cover letter won’t get you in the door, or even your resume read.

Typically, a cover letter has three short paragraphs. Each has no more than three sentences. The first paragraph is your chance to get the reader's attention. This is the ideal place to say that you offer something not seen from the typical applicant.

The second paragraph details your work experience and qualifications. Academic honors are relevant. Describe at least one professional achievement that might be directly applicable to their firm.

The third paragraph is your call to action. Tell the reader the position you're looking for, thank them for their time, and, if you're not responding to a specific job posting, don't forget to ask for an interview.

Note that most cover letters get about 20 seconds of review. So, very quickly, you have to make your case for why you're the right person for the job. But don't fear the cover letter. Common cover letter mistakes are easy to avoid. And creating a great one isn't difficult—as long as you follow these tips.

1. Avoid generic salutations . Show that you've done your research by always using the hiring manager’s name in the salutation of your cover letter, not a generic "Dear Sir" or "To whom it may concern." Many company web sites, as well as LinkedIn, feature biographical info on recruiters or hiring managers, so it’s easy to find contacts these days.

2. Never use the same cover letter to apply for multiple jobs. Each cover letter should be specially geared toward landing one particular position at one particular company. Consequently, it needs to emphasize the aspects of your education, personality, skills, and experience that make you the best candidate for the job. Make the employer feel special by demonstrating your enthusiasm for the firm and your knowledge of its recent activities. You could say something like, "I have followed your company since I was in college, and I am very impressed with XYZ strategy or your LBO of XYZ company. I would love the chance to become part of your team and play a significant role in future acquisitions."

3. Skip the generic recitation of skills. If the job listing asks for a detail-oriented analyst with leadership ability, for example, don't just repeat these words, but provide short examples of how they apply to you. For example, detail-oriented = "In college, I organized a financial career seminar with 20 speakers and 500 attendees," and leadership skills = "I served as vice president of my college's MBA Student Private Equity Club."

4. But use keywords that match those listed in the job announcement. For example, if you're applying for an analyst position that requires a master's degree in quantitative finance, then your résumé or cover letter should include the terms "master's degree" and "quantitative finance." If you don't use keywords that match the job listing, you run the risk of your submission being ignored by cover letter/resume-scanning software.

5. Avoid using industry jargon. Some people who review your application materials may be unfamiliar with industry lingo. To avoid using jargon, McKinsey  advises applicants to "ask friends from different backgrounds to read your resume/curriculum vita and point out any areas that sound confusing."

6. Keep it short and well-organized. "Organization and brevity are just as important in [your cover letter] as in your resume," advises Bank of America . "Put yourself in the recruiters’ shoes: they will see hundreds of cover letters. Prioritize your points, cover each one in order, and do not dwell on any of them."

7. Your cover letter needs to be error free. Errors suggest that you're not detail oriented and don't take the job-search process seriously. With so many people vying for each position, one simple mistake on your cover letter or resume could disqualify you from consideration. Avoid this fate by proofreading your documents multiple times and also having trusted friends or a career counselor at your college review them.

8. Don't lie. No firm wants to hire someone whom they can't trust. If you become a serious candidate for the job, your credentials will be examined closely, and being caught in a lie will, in most cases, disqualify you from consideration for the position you're seeking. Also note: many firms conduct background checks and investigate statements you make on your application materials.

9. Use the cover letter to demonstrate your excellent communication skills. Many job listings mention these skills as an important quality for a candidate. So use clear, concise language, and mix in a little of your personality. Shorter is better; you need to grab HR managers' attention quickly by providing compelling reasons why you should be hired. Proofread your cover letter until it’s perfect. Then ask at least two other people to review your document as well.

10. Use numbers and hard data. In addition to interpersonal, communication, and other types of skills, you might also want to mention your high GPA, or provide other hard data that's applicable. Numbers stand out and are easy to remember.

11. Follow the rules. If the job description says your cover letter should feature the job listing number and be submitted digitally only, you need to do this. Failure to follow the rules suggests that you're not detail oriented and not good at following instructions, and thus not a good candidate for the job.

One way to ensure that your cover letter is connecting the dots between you and the company or role is by reading your cover letter and asking yourself, “Why did I choose to write about these experiences?” See if your reasoning is written out in the cover letter. Never just assume the reader will get it.

For example, instead of just describing an event that you planned, organized, and facilitated, also explain that this experience makes you particularly well prepared to handle the responsibilities of the, say, events assistant role because it illustrates your detail-oriented nature, exposure to large-scale event planning, and ability to negotiate with vendors.

2. Give Context to Your Resume

Resumes can be frustrating because it can be tricky to tell a cohesive story about a particular work experience in bullet points. Here’s where cover letters can really save the day. While you definitely don’t want to repeat your resume bullets verbatim, you can cover some of the same accomplishments, but with context. Fill in the gaps.

Stakeholders in a project, tight deadlines, unrealistic budgets, or unexpected obstacles are all fair game in a cover letter. In fact, this in the perfect place to be telling the whole story . You’re trying to paint a picture. Ideally, the hiring manager will be able to visualize you doing work so relevant that he or she could just pluck you out of that setting, place you into the open position, and watch you take off running.

3. Answer the Obvious Questions

When a resume raises questions, the first place a hiring manager is going to look to get these questions answered is the cover letter. This is why you want to be thinking about these two documents as flip sides of a coin, not independent documents. Some questions might be, “Why is this experienced nurse applying to this marketing position?” or “Why is this New Yorker interested in our little company in Oklahoma?”

If you’re thinking of changing careers or perhaps moving to a new state to be with your aging parents, address the reasons in your cover letter. Even if it’s not quite as drastic as a career change and more of a career shift, it’s still worth mentioning. Note that I said, “mentioning.” Don’t go overboard and tell your life story. Stay focused on your relevant experiences, but also offer up quick explanations for anything that might be confusing about your application.

4. Present a Visually Cohesive Package

Finally, it’s time for my favorite step in any job application: Make it pretty. One straightforward way to present a cohesive package is to make your resume and cover letter look like they belong together.

This means using the same header for your name and address for both documents and being consistent about the font and font size. That’s it! This simple step shows attention to detail and makes your resume and cover letter, when presented together, so much more visually appealing.

Writing a cover letter for your resume requires a bit of extra care, but the result is a stronger, more impactful job application and ultimately worth it. The extra attention won’t go unnoticed for long.

I can write a solid resume, interview well, and make sure that my online presence is on point.

The one thing that’s always been a struggle? The dreaded cover letter.

Cover letters can be absolute torture, and it feels like there are a million ways to screw them up. Is yours too formal or informal? Too long or short? Too much information or too vague?

There’s an upside, though: Making your cover letter awesome doesn’t have to be a long, difficult process. In fact, as I’ve written more and more cover letters over time (and started helping dozens of other people write theirs), they’ve actually become (gasp!) fun.

Below, I’ve listed the 16 most important tips I’ve learned to make crafting a cover letter into an easy and pain-free process. Half of the tips are related to what you write, and the other half are tiny things that’ll make sure your cover letter is better than the rest. By the end of the list, there’s no way a hiring manager will be able to shuffle you to the bottom of the pile. Or you know…delete your email…

8 Tips for Cover Letters That Grab Hiring Managers’ Attention

1. Describe a pain point

Here’s the most important question any cover letter should answer: What problem would hiring you solve?

Notice that this question is about the company’s problem, not your desire to land the job! Tricky, I know.

But think about it: If a company has put up a job description, it means they have a pain point and need a solution. For example, if a company is hiring a web designer, it means they don’t think their current layout is up to snuff and they’re looking for someone who can get them there. That’s the problem they need solved, and that’s what your cover letter should make clear in first few sentences.

2. Don’t regurgitate your resume

This is a tip that you’ve probably heard before, but it happens all the time : Don’t use your cover letter to simply restate your resume!

Your cover letter is the perfect place to expand on things that your resume doesn’t detail, illustrate the more intangible reasons why you’re perfect for the job, and explain any particular circumstances that warrant discussion (for example, if you’re making a sudden or drastic career change).

3. The tone should match the company

Cover letters are great for companies not only because they can see if you can solve the problem at hand, but also because they give hiring managers a sense of whether or not you understand the company culture.

How do they figure this out? Tone.

Take a look at a company’s website, how its social media is phrased, and how its employees talk about it online. Is this company a little more informal and fun? Is it buttoned-up and corporate? Your cover letter should be written in a tone similar to that of the company’s copy. Obviously put a professional spin on it, but keep the company’s culture in mind.

4. Keep the focus on the company

Hiring managers assume that if you’re applying to a particular job, that must mean you really want that job. Thus, you don’t need to spend your entire cover letter reiterating how badly you want the job and how great the experience would be for you .

It’s okay to spend one or two sentences tops explaining your love for the company, but then it’s time to turn the tables.

The majority of your cover letter should be illustrating to a potential employer what hiring you would do for their company. Again, focus on the pain point: What talents and skills do you have that would help this organization tremendously?

5. Use your numbers

A big problem I’ve seen in lots of cover letters is that they tend to be very vague in describing any notable accomplishments or achievements.

For example, instead of saying that you have had “a great deal of success as an email marketer,” use your numbers: “I spearheaded an entire newsletter redesign that resulted in a 500% increase in our open rate, which proves…”

Numbers also add intrigue and leave hiring managers wanting to hear more!

6. Make your anecdotes short

While examples can make your cover letter super effective, many people make the mistake of including unnecessary or irrelevant information when using anecdotes that make them drag on and lose their umph .

My personal rule is to make any example or story no longer than three sentences so that you can avoid going overboard and wasting valuable space. Here’s how to break it down:

  • Sentence 1: Introduce the skill you’re highlighting.
  • Sentences 2: Explain the situation where you showed off this skill.
  • Sentence 3: What was the end result? Explain what it did for the company and what it proves about your character.

7. Make your opening line memorable

If the big opener to your cover letter is “I’m applying for Position X at Company Y” or “My name is…” it’s time to press the backspace button. There are two things wrong with both of these phrases:

  • They’re redundant, so you’re taking up precious space! A hiring manager is already going to know your name from your application as well as which position you’re applying for. No need to repeat it.
  • They’re generic and unmemorable. Give your hiring manager something to get excited about or be intrigued by.

So, how can you start a cover letter with something that has a little more pizzazz? Try opening with a favorite short anecdote, a quote that best describes you as a professional, or your personal tagline.

8. Everything should relate to the job description

As you write (and then read through) every line of your cover letter, ask yourself: How does this sentence relate to the job description? If you find yourself going on tangents or including facts that don’t prove your ability to excel at the job or understand the company culture, take it out.

8 Tips for Putting the Finishing Touches on Your Cover Letter

1. Research whom to address your letter to

Scrap the “To Whom It May Concern” greeting and do some research to find out who will be reading your cover letter.

In some cases, employers will be super helpful and straight up tell you whom to address that cover letter to. If you aren’t so lucky, a quick Google search can help, or if you have a connection to a potential employer, have a professional contact ask around to see if they can get a name.

If all else fails and you really want to avoid the dreaded “To Whom It May Concern” line, feel free to shoot the company an email. I did this before when I was applying to a company that had a plethora of people on its editorial and HR teams and I had no idea who’d be hiring me.

Here’s the quick template I used:

I’m applying to [name of company]’s [name of job title] position, and I was having some trouble figuring out whom specifically to address the cover letter to. Is there a particular person or department I should direct it to?

Thanks so much for your time!

[Your name]

2. Be smart with hyperlinks

If you’re going to use hyperlinks in your cover letter, there are two important things to keep in mind. First, try not to include more than two or three links tops in a cover letter (like an online portfolio or personal website). All links should be relevant, and your cover letter shouldn’t be used as a dumping ground for everything you’ve ever created!

Second, make sure you add context to a hyperlink to both draw attention to it and to make the hiring manager understand that it’s worth his or her time to click on. For example, if you’re referencing a recent design project you did, add that said project can be found “in my online portfolio” and add a hyperlink.

3. Delete extra images, clipart, emoticons and emojis

This is a no-brainer: Regardless of how “chill” the company says it is, keep clipart, emoticons, emojis, cute pictures of your puppy, and any other images OUT of your cover letter!

Squeeze an emoji into a cover email if you’re SUPER confident it’s appropriate. Otherwise, steer clear.

4. Keep it short (like, really short)

I’ve seen dozens of cover letters in the past month, and the biggest issue across the board is that people make their cover letters way too long.

Here’s the general rule of thumb to follow: Your cover letter should be a single page (no more!) and around 300-350 words. If you’re writing a cover email, three to five sentences works (since you usually have attachments or links for a hiring manager to click on).

5. Keep your font professional (and normal)

True story: I once received a cover letter from a friend where he’d had kept his writing to one page—but it was in eight-point font. Yikes.

Your cover letter font size should be normal (aim for between 10-point and 12-point), and your font should be straightforward and professional. Favorites include Arial, Times New Roman, and Georgia. Just say no to Curly Q or Comic Sans.

6. Break up your paragraphs

Nothing provokes fear in people faster than a wall of text. Hiring managers get a visual of your physical cover letter before they ever read it, and if their first reaction is, “Oh god, it’s all one paragraph!” that’s not a good sign.

Instead, break up your cover letter into smaller paragraphs of three or four sentences each. It’s so much more aesthetically pleasing, and the person reading your cover letter will thank you.

7. Cut the vague professional jargon

As with in a resume, using phrases like “team player,” “self-motivated,” or “results driven” only makes your cover letter generic and unmemorable. Use more lively language, or better yet, use specific examples to prove your point.

8. Re-read your cover letter over (and over and over)

Editing is the most tedious but also the most necessary part of any cover letter writing you do. Start by printing your cover letter out and reading it aloud. I also recommend reading the cover letter starting with the last sentence and working your way up.

Another pro tip: Definitely get someone else to read your cover letter. In many cases, you might think your writing is pristine, but a friend will find at least a couple typos and point out some places where your wording is a little clunky.

All too often, people feel that they’ve already mentioned everything worthy of note in their resume, and, unfortunately, their cover letters just become shortened, regurgitated versions of that same information. That’s a bad move—here’s how to avoid it.

Weave Your Bullet Points Into A Narrative

This isn’t something you want to do. Instead of a mirror image of your resume, think of the cover letter as your opportunity to expand on some of the key points that were included there (while also showcasing a bit of your personality). Cover letters let you use full sentences, so that means you have a lot more freedom to expand upon whatever your resume enumerates much more concisely. In other words, you can explain why you’re the perfect fit for this particular company based on your experience, rather than just listing what you’ve done for which employers.

For example, instead of saying, “I was in charge of assigning quarterly budgets,” you’re much better off using that space to elaborate into, “Through the process of establishing and assigning quarterly budgets, I gained a deep knowledge of AcmeCorp’s internal financial systems—and I also became adept at negotiating between multiple stakeholders across the business to come to consensus.”

Talk Up Yours Skills, Not Your Excitement

First, it’s important to note that while you don’t want to copy and paste the contents of your resume into a new document, slap a “Dear Mr. Smith” on it, and then simply call it a day, there are a few things on your resume that are worthy of some repetition here.

Your key skills are one of them: You don’t want to take a chance of anyone missing the things you truly excel at. Try pulling out two or three key skills you want to be sure to emphasize (by looking at both the job description and your resume). Then, for each of the skills you choose, think back on some specific projects, achievements, or assignments that directly relate to your expertise in that specific area.

Next, explain those skills in your cover letter. One effective way to do this is to include a sentence like, “As a candidate, here’s what I bring to the table:” after your introduction. You can follow that up by breaking down your two or three key skills, with an expanded explanation of how you’ve used them in previous employment experiences—as well as how you’ll use them to benefit the company.

Lots of job applicants emphasize why they want that particular job. But that’s a common mistake. It’s important to remember that the hiring manager already knows you want the job—he or she is looking out for the best fit for the role, not necessarily the person who wants it most. So make sure to highlight the value you’re offering, and resist the temptation to go on and on about how much you’d love to land the position.

Share An Anecdote

Again, this is your chance to go beyond bullet points and share a little more of both your story and your personality. Remember, hiring managers hire people, not robots.

Kicking off your cover letter with a brief but attention-grabbing anecdote will demonstrate a little more about who you are personally. And you can bet it’ll stand out a lot more than a standard “I’m writing to express my interest in the Sales Coordinator position” line. The more you grab their attention, the better your chances are at actually having your letter read.

Of course, any anecdote you tell should be related to the position you are hoping to fill. Perhaps, for example, you first discovered your passion for sales while working at your childhood lemonade stand. Or maybe a recent volunteer opportunity ignited your interest in the new career field of educational consulting. Whatever it is, craft a narrative about how your experiences led you to this very job.

Here’s an example:

When I was growing up, all I wanted to be was one of those people who pretend to be statues on the street. Thankfully, my career goals have become a little more practical over the years, but I still love to draw a crowd and entertain the masses—passions that make me the perfect Trade Show Coordinator. My last boss once told me that my phone manner could probably defuse an international hostage situation. I’ve always had a knack for communicating with people—the easy-going and the difficult alike—and I’d love to bring that skill to your Office Manager position. Last December, I ousted our company’s top salesperson from his spot at the top of the sales leaderboard—and I’ve been there ever since. Now I’m ready for my next big challenge, and the Sales Manager role at X company just might be it. While you won’t find the title “Community Manager” listed on my resume, I’ve actually been bringing people together online and off for three years while running my own blog and series of meet-ups.

This cover letter doesn’t read anything like the candidate’s resume—and that’s a good thing.

So, you’re on the hunt for a job again, and you’ve found one (or maybe 10) open positions that you’d like to apply to.

Now comes the biggest hurdle to cross: Putting your resume together, and then drafting that dreaded cover letter.

Both are crucial elements of an application that will define the success of your job hunt.

Without further ado, let’s get started with the top five tips for making a standout resume that will land you an interview .

How To Create A Resume That Will Set You Apart:

Before you set to work on your resume, it’s good to know what the standards look like. Study sample resumes from your industry to see what recruiters are looking for in similar roles.

Look for the achievements and skills that have been highlighted, and model your resume accordingly.

2. Make It Easy To Skim: Choose the Right Template & Formatting

It’s not all about the content on your resume. It’s just as much about how it’s presented.

On average, recruiters look at a resume for six seconds, so if your resume looks like a massive block of text, it’s likely to get placed in the reject pile.

Make it easy for the recruiter to see if you’re a good fit by consolidating your resume into sections using a well-organized template.

But, don’t be limited by a template. If there are some unnecessary sections or subheadings, clear them out. Keep the ones that showcase your experience and history best.

For example: If you’re a student, you don’t have to keep a blank work history section in your resume. Focus instead on adding a section that highlights relevant coursework or academic achievements.

To make your resume even more reader-friendly, use text formatting to highlight the parts you want the recruiter to notice. Use bullet points, bold text, or larger font sizes to highlight vital achievements or keywords.

3. Keep it Succinct

On that note, keep it brief by prioritizing your achievements. A good rule of thumb to follow is to have one page on your resume for every 10 years of experience.

Focus on only the most relevant experiences, roles, and achievements for the job you are applying for. Be sure to highlight your biggest achievements by having them at the top of the page.

Pro Tip: Instead of wasting precious space talking about how well you performed at your last job, show them. Use simple and measurable performance metrics to showcase the impact of your work.

For example, mention how you increased sales by x%, or how you reduced customer response time by y%. This is more impressive to recruiters and doesn’t take five lines to explain.

4. Use Active Verbs

Active verbs show clarity and control, and bring strength to your statements. When you use them, you draw the reader’s attention to your actions that resulted in the achievements.

So, be sure to start every bullet point with an action word, and use a variety of action verbs to avoid monotony for the reader.

5. get ats-friendly: use keywords from the job posting.

Most companies these days use an Applicant Tracking System (ATS) to manage the application process. This system collects, scans, and ranks the fit of your resume for job eligibility, making recruiters’ work much easier.

But, it also means that on average 75% of applicants’ resumes don’t even make it to the recruiter’s desk.

Give your resume a fighting chance by making it ATS-friendly. The best way to do that is to use keywords from the job posting in your resume.

Go through job postings and identify the skill or personality markers that they are looking for in the ideal candidate. (Hint: They’re usually mentioned in the “Requirements” and “Qualifications” sections.)

Ensure you use the exact same phrases in your resume to increase your chances of passing the ATS test. But, don’t just stuff your resume with keywords. Make it reader-friendly by using them strategically.

While you’re at it, don’t sabotage your chances by making these common resume mistakes:

The company culture and role specifics vary for each job, and a good resume reflects these subtleties.

2. Grammar or Spelling Errors

You might not be applying for the role of a communications manager, but a typo is still a red flag for recruiters.

Poor grammar creates the impression of someone who doesn’t communicate well, or perhaps doesn’t care to check. Misspelled words on your resume show a lack of attention to detail. 

Ensure you do a thorough spelling and grammar check before sending. If possible, have a friend or colleague read through it to catch any errors you may have missed.

3. Focusing On Your Duties, Not Accomplishments

Your resume must show the recruiter how good you are at your job, not just what you do on a daily basis. Don’t make the mistake of simply listing your activities and job description.

Recruiters want to know how you’ve made an impact in each role and what you’ve achieved while working.

A simple way to do this is by asking yourself these two questions:

  • How did I resolve or overcome any obstacles and challenges in that role?
  • What are the results (for the team, company, or stakeholders) I was able to achieve in my role?

Use these answers to shape your content, so that your achievements shine through.

What strategies of yours led to the big accomplishments you mentioned in the resume?

What personality trait (or work ethic) helped you make a difference in your role?

3. Tailor It to the Company

While your resume may be tailored to the role you’re applying for, your cover letter must do more. Use this letter to show the recruiter that you’ve done your research about the company, and how you can help the company achieve its goals.

Apart from telling them why you’re a good fit, also tell them why you want to work there.

Do you have a personal connection with the brand? Have you used their products before? Are their service and mission something you are passionate about?

Showing a personal interest in the company’s goals will portray you as a better fit for the role.

4. Keep It to a Single Page

While the recruiter may want to know more about you, they won’t have time for a three-page detailed account of your work.

Limit it to a single page, and don’t overstuff it. The font size must be at least 12 pts, and be sure to leave some breathing space as well.

Value the recruiter’s time and ensure that every sentence of the cover letter offers them an insight into your fit for the role.

Know that everyone’s first drafts are messy and awkward. So edit, proofread, and snip through your first few drafts until the letter is razor-sharp.

Keep these tips in mind to help you get an edge over the hundreds of other candidates applying for the same job.
