The best letters are unique, tailored to the job description, and written in your voice — but that doesn’t mean you can’t use a job cover letter template.

Great cover letters contain the same basic elements and flow a certain way. Take a look at this cover letter structure for ref erence while you construct your own.

1. Add a header and contact information

While reading your cover letter, the recruiter shouldn’t have to look far to find who wrote it. Your document should include a basic heading with the following information:

  • Pronouns (optional)
  • Location (optional)
  • Email address
  • Phone number (optional)
  • Relevant links, such as your LinkedIn profile , portfolio, or personal website (optional)

You can pull this information directly from your CV. Put it together, and it will look something like this:

2. Include a personal greeting

Avoid generic openings like “To whom it may concern,” “Dear sir or madam,” or “Dear hiring manager.” These introductions sound impersonal — like you’re copy-pasting cover letters — and can work against you in the hiring process.

Be careful, though. When using someone’s name, you don’t want to use the wrong title or accidentally misgender someone. If in doubt, using only their name is enough. You could also opt for a gender-neutral title, like Mx.

3. Draw them in with an opening story

The opening paragraph of your cover letter should hook the reader. You want it to be memorable, conversational, and extremely relevant to the job you’re pursuing. 

There’s no need for a personal introduction — you’ve already included your name in the heading. But you should make reference to the job you’re applying for. A simple “Thank you for considering my application for the role of [job title] at [company],” will suffice.

Then you can get into the “Why” of your job application. Drive home what makes this specific job and this company so appealing to you. Perhaps you’re a fan of their products, you’re passionate about their mission, or you love their brand voice. Whatever the case, this section is where you share your enthusiasm for the role.

Here’s an example opening paragraph. In this scenario, you’re applying for a digital marketing role at a bicycle company:

“Dear Mr. John Doe,

Thank you for considering my application for the role of Marketing Coordinator at Bits n’ Bikes.

As with a resume, it’s important to start your cover letter with your contact details at the top. These should be in your cover letter’s header, separated neatly from the bulk of your text.

  • Full Name. Your first and last name should stand out at the top.
  • Job Title. Match the professional title underneath your name to the exact job title of the position you’re applying for. Hiring managers often hire for several roles at once, so giving them this cue about what role you’re after helps things go smoother.
  • Email Address. Always use a professional and easy-to-spell email address. Ideally, it should combine your first and last names.
  • Phone Number. Add a number where the hiring manager can easily reach you.
  • Location. Add your city and state/country, no need for more details.
  • Relevant Links (optional). You can add links to websites or social media profiles that are relevant to your field. Examples include a LinkedIn profile , Github, or an online portfolio.

Then it’s time to add the recipient’s contact details, such as:

  • Hiring Manager's Name. If you can find the name of the hiring manager, add it.
  • Hiring Manager's Title. While there’s no harm in writing “hiring manager,” if they’re the head of the department, we recommend you use that title accordingly.
  • Company Name. Make sure to write the name of the company you're applying to.
  • Location. The city and state/country are usually enough information here, too.
  • Date of Writing (Optional). You can include the date you wrote your cover letter for an extra professional touch.

Once you’ve properly listed all the contact information, it’s time to start writing the content of the cover letter.

The first thing you need to do here is to address your cover letter directly to the hiring manager.

In fact, you want to address the hiring manager personally .

Forget the old “Dear Sir or Madam” or the impersonal “To Whom It May Concern.” You want to give your future boss a good impression and show them that you did your research before sending in your application.

So, how do you find out who’s the hiring manager?

First, check the job ad. The hiring manager’s name might be listed somewhere in it.

If that doesn’t work, check the company’s LinkedIn page. You just need to look up the head of the relevant department you’re applying to, and you’re all set.

For example, if you’re applying for the position of Communication Specialist at Novorésumé. The hiring manager is probably the Head of Communications or the Chief Communications Officer.

Here’s what you should look for on LinkedIn:

And there you go! You have your hiring manager.

But let’s say you’re applying for a position as a server . In that case, you’d be looking for the “restaurant manager” or “food and beverage manager.”

If the results don’t come up with anything, try checking out the “Team” page on the company website; there’s a good chance you’ll at least find the right person there.

Make sure to address them as Mr. or Ms., followed by their last name. If you’re not sure about their gender or marital status, you can just stick to their full name, like so:

But what if you still can’t find the hiring manager’s name, no matter where you look?

No worries. You can direct your cover letter to the company, department, or team as a whole, or just skip the hiring manager’s name.

#4. Write an Eye-Catching Introduction

First impressions matter, especially when it comes to your job search.

Hiring managers get hundreds, sometimes even thousands, of applications. Chances are, they’re not going to be reading every single cover letter end-to-end.

So, it’s essential to catch their attention from the very first paragraph.

The biggest problem with most opening paragraphs is that they’re usually extremely generic. Here’s an example:

  • My name is Jonathan, and I’d like to work as a Sales Manager at XYZ Inc. I’ve worked as a Sales Manager at MadeUpCompany Inc. for 5+ years, so I believe that I’d be a good fit for the position.

See the issue here? This opening paragraph doesn’t say anything except the fact that you’ve worked the job before.

And do you know who else has similar work experience? All the other applicants you’re competing with.

Instead, you want to start with some of your top achievements to grab the reader’s attention. And to get the point across, the achievements should be as relevant as possible to the position.

Your opening paragraph should also show the hiring manager a bit about why you want this specific job. For example, mention how the job relates to your plans for the future or how it can help you grow professionally. I’ve worked as a Sales Representative with Company X, another fin-tech company , for 3+ years, where I generated an average of $30,000+ in sales per month and beat the KPIs by around 40%. I believe that my previous industry experience, passion for finance , and excellence in sales make me the right candidate for the job.

The second candidate starts with what they can do for the company in the future and immediately lists an impressive and relevant achievement. Since they’re experienced in the same industry and interested in finance, the hiring manager can see they’re not just a random applicant.

From this introduction, it’s safe to say that the hiring manager would read the rest of this candidate’s cover letter.

#5. Use the Cover Letter Body for Details

The next part of your cover letter is where you can go into detail about what sets you apart as a qualified candidate for the job.

The main thing you need to remember here is that you shouldn’t make it all about yourself . Your cover letter is supposed to show the hiring manager how you relate to the job and the company you’re applying to.

No matter how cool you make yourself sound in your cover letter, if you don’t tailor it to match what the hiring manager is looking for, you’re not getting an interview.

To get this right, use the job ad as a reference when writing your cover letter. Make sure to highlight skills and achievements that match the job requirements, and you’re good to go.

Since this part of your cover letter is by far the longest, you should split it into at least two paragraphs.

Here’s what each paragraph should cover:

Explain Why You’re the Perfect Candidate for the Role

Before you can show the hiring manager that you’re exactly what they’ve been looking for, you need to know what it is they’re looking for.

Start by doing a bit of research. Learn what the most important skills and responsibilities of the role are according to the job ad, and focus on any relevant experience you have that matches them.

For example, if you’re applying for the position of a Facebook Advertiser. The top requirements on the job ad are:

  • Experience managing a Facebook ad budget of $10,000+ / month
  • Some skills in advertising on other platforms (Google Search + Twitter)
  • Excellent copywriting skills

So, in the body of your cover letter, you need to show how you meet these requirements. Here’s an example of what that can look like:

In my previous role as a Facebook Marketing Expert at XYZ Inc. I handled customer acquisition through ads, managing a monthly Facebook ad budget of $40,000+ . As the sole digital marketer at the company, I managed the ad creation and management process end-to-end. I created the ad copy and images, picked the targeting, ran optimization trials, and so on.

Other than Facebook advertising, I’ve also delved into other online PPC channels, including:

Explain Why You’re a Good Fit for the Company

As skilled and experienced as you may be, that’s not all the hiring manager is looking for.

They also want someone who’s a good fit for their company and who actually wants to work there.

Employees who don’t fit in with the company culture are likely to quit sooner or later. This ends up costing the company a ton of money, up to 50% of the employee’s annual salary , so hiring managers vet candidates very carefully to avoid this scenario.

So, you have to convince the hiring manager that you’re passionate about working with them.

Start by doing some research about the company. You want to know things like:

  • What’s the company’s business model?
  • What’s the company’s product or service? Have you used it?
  • What’s the company’s culture like?

Chances are, you’ll find all the information you need either on the company website or on job-search websites like Jobscan or Glassdoor.

Then, pick your favorite thing about the company and talk about it in your cover letter.

But don’t just describe the company in its own words just to flatter them. Be super specific—the hiring manager can see through any fluff.

For example, if you’re passionate about their product and you like the company’s culture of innovation and independent work model, you can write something like:

I’ve personally used the XYZ Smartphone, and I believe that it’s the most innovative tech I’ve used in years. The features, such as Made-Up-Feature #1 and Made-Up-Feature #2, were real game changers for the device.

I really admire how Company XYZ strives for excellence in all its product lines, creating market-leading tech. As someone who thrives in a self-driven environment, I truly believe that I’ll be a great match for your Product Design team.

So, make sure to do your fair share of research and come up with good reasons why you're applying to that specific company.

#6. Wrap It Up and Sign It

Finally, it’s time to conclude your cover letter.

In the final paragraph, you want to:

  • Wrap up any points you couldn't make in the previous paragraphs. Do you have anything left to say? If there’s any other information that could help the hiring manager make their decision, mention it here. If not, just recap your key selling points so far, such as key skills and expertise.
  • Express gratitude. Politely thanking the hiring manager for their time is always a good idea.
  • Finish the cover letter with a call to action. The very last sentence in your cover letter should be a call to action. This means you should ask the hiring manager to do something, like call you and discuss your application or arrange an interview.
  • Remember to sign your cover letter. Just add a formal closing line and sign your name at the bottom.

  • Use Specific Examples. Instead of saying you're great at something, give an actual example to back up your claim. Any data you can provide makes you sound more credible, so quantify your achievements. For example, give numbers such as percentages related to your performance and the timeframe it took to accomplish certain achievements.

There are many types of cover letters out there. These include the application cover letter, the prospecting cover letter, and the career change cover letter. In this article, we’ll discuss the most common: the application cover letter, which is what you’ll need when trying to secure a new job (usually for a currently open position). Below, we’ll recommend how to write a cover letter (including how to end a cover letter) and provide a cover letter template to help you get started!

While we can provide a cover letter template to serve as a skeleton for your writing, you’ll need to flesh out your work with important details that are relevant to you, your experiences, and the prospective job at hand. As you begin drafting these details, it’s important to remember a few essential moves that are crucial as you learn how to write a cover letter:

1) Do your research

Before you send a cover letter to an employer, it’s imperative that you have a thorough understanding of the position you’re applying for , the job’s expectations and requirements, your future role within the hierarchy of the workplace, and the overall company culture. Knowledge of these items will help you determine which of your relevant skills and accolades you should include in your letter, the person or people to whom you should address your writing, and the tone and style of your cover letter. It will also help you decide what to leave out of your cover letter. Remember to only stick to items that are relevant to the position at hand!

2) Make particular connections

Use specificity when listing your accomplishments and describing your goals. Just as importantly, describe how you as a candidate are uniquely positioned to fill this position successfully. For instance, a general and less-connected sentence might say, “I have strong leadership skills.” But a detailed, job-specific sentence might be, “As a project manager for Waterscapes, I oversaw a team of twelve employees working on the development and implementation of River Clean Up 2024, which reduced plastic waste in our local water systems by 27%. This experience will inform my future work with your company as an Assistant Director of Eco-Initiatives.”

Think of each sentence as an opportunity to illustrate potential links between your previous work and your future career. Just like answering a “ tell me about yourself ” question in an interview, this is a moment to describe your past, present, and now your future in your hoped-for job.

Does your prospective job’s company have a strong online presence? Does your future employer have a LinkedIn profile that lists publications, affiliations, or specific awards and accolades? Do you have a personal connection with your employer or someone important at the company? If so, now is the time to utilize some of your social capital and make mention of these items. Doing so adds a personal touch and makes your cover letter more memorable. It also demonstrates your willingness to research and promote the company’s culture.

For instance, if you’re applying for a position at a language-learning app company and their motto is, “Communication for All,” this specific phrase could be used as you describe your passion for making language-learning accessible, regardless of the student’s background or income.

4) Be professional

Depending on the job for which you’re applying, your overall cover letter tone may vary. If you’re applying for a job as a copywriter for a quirky astrology start-up, you might be able to include fun details about horoscopes in your cover letter. If, on the other hand, it’s a position for a tenure-track professor job at a top research university, your tone will be much more formal and will include particulars about your contributions to the field.

Regardless of the job, you should always utilize a professional font (no Comic Sans!) and clear letterhead for readability to convey your seriousness about the position. You should also always try to convey sincerity in your writing. Additionally, make sure your reader knows you really want this job and will do your best at it if you’re hired.

5) Be confident!

Now is not the time to focus on your professional faults or limitations. Now is the time to promote yourself with abandon. Focus on your relevant work experience, your strengths, your accolades, and your willingness to learn and grow in this new job.

6) Brainstorm and draft

Do not rush your cover letter! This is a professional genre of communication that signifies your intentions to advance your career. It should be treated as a formal record of your employment history. As such, spend time cultivating your writing and trimming it so that it is rich, informative, candid and attractive.

Drafting also includes editing details like spelling and grammar checks – it has long been established that simple errors and problems with writing organization can cause employers to not take your work seriously. [i] Other small details can indicate your level of seriousness about yourself and this work. [ii] For instance, if you have a personal email address like “ [email protected] , you may want to think of creating and using a separate email address that is a little more professional, like “ [email protected] .”

7) Be direct

At all points in your cover letter, it’s essential to start with the punchline. Studies have demonstrated that readers and listeners often retain the first sentence of a paragraph or presentation before their attention starts to wane. [iii] As such, beginning with your main point and following with examples to support that point is the best way to grab your reader’s attention and ensure they fully absorb your meaning.

8) Pay attention to length

How long should a cover letter be? In most cases, a cover letter should not exceed one page of single-spaced writing (about 250 to 400 words, max). Remember that your prospective employer may be reading dozens of cover letters. He or she will probably not have the time nor inclination to read an unnecessarily long cover letter.

9) Finish on a promising note

As you consider how to end a cover letter, it’s important to focus on positivity and continuing dialogue with your prospective employer. Gesture toward future communication with closings like, “I look forward to your response,” or “I look forward to sharing more with you about my previous experience and qualifications for this position.”

As you sit down to brainstorm how to write a cover letter, you may be wondering: How can I be original if I’m using a template? Aren’t I just copying what someone else has written? In short, the answer is: you can definitely use a cover letter template because templates are simply great starting points! You aren’t copying the content of the cover letter template. Rather, you are using the frame of the cover letter template to create your own original writing.

Templates are generative, meaning they are simply a beginning or prompt for your own writing and ideas to grow and flourish. Templates help you make writing moves you might not have otherwise considered. That’s why writing a cover letter is useful: It bridges the communication gap between your resume and an interview. In your cover letter’s first paragraph, you can tell a manager specifically why you’re attracted to their job opening or organization. You can also reveal more about your soft skills or communication style and provide context for issues such as employment gaps . Details like these may be crucial to starting a good conversation with a manager or recruiter.

Brainstorm key points

Before starting work on a personalized cover letter, you’ll need:

  • A working draft of your resume
  • A job posting or description you plan on pursuing

Once you have those two items, take 10 minutes to brainstorm and jot down on a blank document or sheet of paper why this job interests you. What does the role or organization share with your background or goals? For instance, maybe it’s an outside sales role in an industry you’re eager to return to. 2. Salutation

You must appropriately greet the hiring manager with your cover letter opening. We recommend addressing them by name — Mr. or Ms. [Last Name]. If you’re uncertain of the person’s gender, simply write their first and last name. If you can’t find their name, use a variation of “Dear Hiring Manager.” This shows you’ve researched the company before applying and you’re fully engaged in the job application process. It’s best to avoid salutations such as “Dear Sir/Madam” or “To Whom It May Concern,” as this language feels less direct and personal.

3. Introduction

Feature a mix of accomplishments that capture the most compelling aspects of your career. How to write a handwritten cover letter for a resume.

Most people write their resumes and accompanying cover letters using word processing software. Some, however, feel a handwritten cover letter adds the warmth and personal touch that are often lacking in the business world. In some instances, a handwritten application letter is requested because hiring managers feel it reveals more about you than a printed letter.

Create a Professional Appearance

If you decide to take the unusual step of submitting a handwritten cover letter, be sure it has a professional appearance. Use the same paper that you're using to print your resume. It should be standard 8 1/2-inch by 11-inch business paper. You can use either plain copy paper or a heavier paper with some linen or cotton content, typically sold as resume paper. White or off-white papers are best. Blue ink is usually used when someone wants to indicate a document is an original, rather than a photocopy, but black ink is also acceptable.

It's also acceptable to use personal stationery that is preprinted or embossed with your name or monogram, as long as it has a professional look. Again, white or off-white are safe choices. Ivory and pale gray are neutral and professional. Avoid other colors of paper and ink, as they detract from your letter's content.

Your penmanship must be neat and easy to read. Practice writing your cover letter by hand several times so you can get an idea of spacing on the page. It's helpful to put a sheet of lined paper underneath your writing paper to keep the lines straight and the margins even.

Purpose of a Cover Letter

Remember that the purpose of a cover letter is to draw attention to your resume. Use the cover letter to briefly introduce yourself, demonstrate your interest in the company or position and motivate the reader to schedule a job interview. Submitting a cover letter along with a resume greatly improves the chances that your resume will be read.

Cover Letter Content

Address the cover letter to a specific individual, if possible. A generic opening such as "Dear Sir or Madam" or "To Whom It May Concern" makes your cover letter look like a form letter, even if it's handwritten. If you cannot get the actual name of an individual from the website or by making a phone call to the organization, use a gender-neutral greeting such as "To the Director of Human Resources" or "To the Manager of the ABC Department."

The handwritten cover letter should use the same cover letter format as one that is created electronically. It should be a single page consisting of an introduction, a body and a closing. Within these three parts communicate why you're interested in working for the company, why they should be interested in you and, finally, how you plan to follow up this initial contact.

  • Introductory Paragraph: Capture the employer's interest by identifying the position you're applying for and how you heard about the opening. Don't start out by saying "My name is..." since your identity is clearly stated in the stationery header, if there is one, or in the signature block. In a sentence or two, explain your interest in the position.
  • Body: In one to three paragraphs, demonstrate that you understand what the position entails and how your qualifications relate to it. Do not merely repeat the language of your resume. Use the cover letter to tell how you'll contribute to the organization. 
  • Closing: State your plan for following up in your closing. Suggest what you would like the reader to do, such as "Please feel free to call or contact me by email at your earliest convenience." Better still is a statement of action on your part. For example, you might write, "I plan to phone the week of June 10 so we can talk about the position and my qualifications in more detail."

Use a closing word such as Sincerely or Respectfully, and write your name below it. Sign your name (first and last) legibly, avoiding extra flourishes and juvenile-looking embellishments, such as circles to dot the letter i .

You can find many examples and cover letter templates online. Choose a few that relate best to the position you're applying for. Get some ideas for composing your own letter, but remember that you should never copy directly from an internet source. Hiring managers use the internet, too, and can readily spot a plagiarized document.

Should you have a signature on your cover letter?

The short answer is no. One of the common misconceptions here is that you always need to have a handwritten cover letter signature. We live in a digital world and, often enough, you won’t need to send a physical cover letter to the hiring manager. So, most of the time, it’s perfectly acceptable to use your computer when you’re signing a cover letter. You can type your name out at the bottom of the document or use an electronic signature. 

Of course, if you’re sending out physical cover letters, signing them by hand is a nice touch. While this won’t win you the job interview in itself, it is likely to catch the hiring manager’s attention. Recruiters are hard-wired to favor candidates who go the extra mile. Taking the time to personalize your cover letter with a signature may help you to stand out.

Chances are, you have the content of your cover letter down. Don’t lose momentum when you get to the sign-off. 

How you sign your cover letter will depend on the format you use. There are three main types we will be looking at — email cover letters, attached cover letters, and physical cover letters. Let’s take a quick look at how you can sign each of them like a pro. 

Email cover letters are increasingly popular. In this case, you type your cover letter body directly into your email. One of the big advantages of this type of introductory letter is that you can add hyperlinks to it. If you want to link to your portfolio or LinkedIn page, you can do so in the main part of the text. Some hiring managers prefer this type of letter. 

As a general rule, you should use your typed name as your cover letter signature. Simply end the email cover letter with a quick sign-off and then type out your full name. 

Of course, many people have email signatures already set up on their accounts. That could include your name, your email address, your phone number, and any other important links. Don’t make the mistake of duplicating any information that will appear automatically here. 

Add some extra detail!

Want to improve your email cover letter signature? Below your sign-off and your name, you can include some additional information. For example, you may want to link to your professional portfolio, your social media channels, or even LinkedIn in this space.

How to Write a Handwritten Cover Letter for a Resume

When you're looking for a job, your cover letter is your chance to show off your personality and allow your future employers to see what it's not possible to convey in an impersonal resume. While most people write their cover letters using a computer, there may come a time when it's appropriate to hand-write your cover letter. In fact, some more artistically-minded employers may ask for it so they can check out your penmanship. You probably shouldn't send a hand-written cover letter unless an employer asks for it -- but if he does, make sure you're turning in something that's more sophisticated than scribbly.

Select a quality pen. While it's perfectly acceptable to use a ballpoint pen, using a fountain pen or gel pen will look more sophisticated, and demonstrate that you're willing to take care to make your correspondence look good.

Practice writing on scrap paper. If you're like many people, you use your computer and mobile phone to communicate more often than you write things down, and likely need a little refresher on good penmanship. Practice writing out the entire letter, working on spacing the words so they don't run into the margins. Become familiar with the pen so you don't leave splotches or blots on the page.

Select paper that has a slightly heavier weight than regular printer paper. This also demonstrates that you're willing to go the extra mile.

Write your letter slowly and carefully, and start over if you make a mess. Follow the standard rules for writing a cover letter; use the first paragraph to introduce yourself and state the job for which you are applying. Use the second paragraph to state why you want the job and what specific skills you possess that make you a good candidate. Then, use the third paragraph to ask the employer to contact you.

Be patient and don't spoil your hard work by not waiting for the ink to dry. If you're using a fountain, gel or other special pen, it may take some extra time for the ink to dry.

5 tips on how to start off a cover letter

Here are a few pointers to guide you as you use our example cover letter openings—we’re getting there, we promise!—to craft your own:

1. Avoid boring or overused openers

Recruiters have read cover letters that start with lines like “I’m excited to apply for the front-end engineering position,” or “Your job posting on The Muse prompted me to…” so often they could wallpaper their homes with them. While those are OK and still acceptable, you'll have a better shot at impressing potential employers with a less cliché opening line.

2. Be lively and personable

People like reading interesting, engaging stuff—the kind that paints a picture, tells a story, and maybe even makes them smile. People like it when you’re human, genuine, and memorable. So figure out something about yourself and your background that relates to the company or position you're interested in, and use that to build a connection.

3. Show what you bring the company

You’ll get more into the details after your opening paragraph, of course. But your cover letter opener should still tell the reader, “This person can do something for us,” rather than, “This job would really help them.”

4. Stick to the point

Your opener, while creative, should still be relevant to the job. Don’t begin by highlighting an unrelated accomplishment or recounting an anecdote that never connects back to why you’re applying for the job. Part of writing an effective cover letter is curating key information that relates to that specific job opportunity and shows the reader that you're a good fit for the role.

5. Don't start with “To Whom It May Concern”

Find an alternative to “ To Whom It May Concern .” Seriously, banish those five words from your cover letter vocabulary forever. Nowadays, this phrase is seen as outdated, overused, and even rude—especially when better options exist.

Start with humor and creativity

OK, before you read any of these, we have to stamp them with a big, blaring disclaimer: Do your homework before trying anything like this—learn everything you can about the company and the hiring manager to gauge whether or not they’d appreciate some comedic relief or a bit of snark. If it seems like they would, it’s a great way to make them smile (then call you). If they don’t? Try a different approach.

When writing a cover letter to include with your resume, it's important to pay attention to every detail, since you only get one chance to make that first impression. So, what exactly should you include in your signature when you're writing your cover letter to apply for a job?

It varies, depending on how you apply for the position. The format and information included in your signature will change according to whether you are mailing, uploading, or emailing your cover letter document. 

Does Your Cover Letter Need a Written Signature?

When distributing your cover letter online by emailing it or uploading it onto a company’s web portal, it is not necessary to hand sign your cover letter. Employers don’t expect to see your handwritten signature on your cover letter. You could add a scanned image of your signature to your document, but it is optional and not required.

How To Sign an Uploaded or Printed Cover Letter

Uploaded Letter:  If you're uploading your cover letter to a job site, your signature will simply include an  appropriate closing phrase and your full name. Place a comma after your close, such as  Best,  or  Sincerely yours,  and then insert your name in the line below. 

Use a formal business-style letter format that includes a heading, salutation, the body of the letter, closing phrase, and your signature. Review these  guidelines for what to include in your letter .

Hard Copy Letter:  When you're printing a hard copy letter, include a closing phrase, your handwritten signature, and your typed full name. If you are emailing your cover letter or inquiry letter, end with a polite sign-off followed by your full name. There is no need to sign a cover letter that's being sent electronically. Several people close to President Biden said on Thursday that they believe he has begun to accept the idea that he may not be able to win in November and may have to drop out of the race, bowing to the growing demands of many anxious members of his party.

One of the people close to him warned that the president had not yet made up his mind to leave the race after three weeks of insisting that almost nothing would drive him out. But another said that “reality is setting in,” and that it would not be a surprise if Mr. Biden made an announcement soon endorsing Vice President Kamala Harris as his replacement.

Some people in Mr. Biden’s camp have told Democratic allies that the president’s resolve to stay in the race has been most shaken by three developments: The decision by Representative Nancy Pelosi, the former speaker, to weigh in so strongly, new state polls showing that his path to an Electoral College victory has grown far more remote and the boycott of key party donors.

The discussions among Mr. Biden’s advisers have advanced to the point that they are talking about the best timing and other details for an announcement if the president decides to give up his bid for a second term, according to one of the people informed about the situation. While some were anticipating that an announcement could come as early as the next few days, the timing remained in flux in part because Mr. Biden is in isolation at his vacation home in Rehoboth Beach, Del., after a Covid diagnosis.

This account is based on interviews with five people close to the president, all of whom described the situation as extremely delicate and spoke on the condition of anonymity to avoid offending the president.
