বাংলায় আবেদন পত্র লেখার নিয়ম (নমুনা সহ)

বাংলায় আবেদন পত্র বা দরখাস্ত লিখার নিয়ম সম্পর্কে জানতে চাইলে আপনি সঠিক যায়গায় এসেছেন। এই আর্টিকেলটিতে আমি জানাব কীভাবে বাংলা ভাষায় আবেদন পত্র লিখতে হয়, এর উপাদান কী কী ইত্যাদি।

আপনি একজন স্কুল ছাত্র বা একজন কর্মচারী, ছুটির আবেদন লেখা একটি দক্ষতা যা আপনাকে অবশ্যই জানতে হবে। যদিও আমরা জানি যে একজনকে একটি আনুষ্ঠানিক সুরের পাশাপাশি একটি সুনির্দিষ্ট কাঠামো রাখতে হবে, এই নথির অনেক উপাদান রয়েছে যা প্রায়শই উপেক্ষা করা হয়।

ফরম্যাট এবং এর মূল উপাদানগুলি বোঝা গুরুত্বপূর্ণ যাতে আপনি এটিকে ভালভাবে লিখতে পারেন। এই ব্লগের মাধ্যমে, আমরা কিছু সহায়ক নমুনা সহ আবেদনের গঠন, বিন্যাস এবং উপাদানগুলির উপর একটি বিস্তারিত আলোচনা করা হবে।

আবেদন পত্র কী?

আবেদনপত্র হল একটি চিঠি যা আমাদের দৈনন্দিন কাজের বিভিন্ন উদ্দেশ্যে লেখা যা ঘরোয়া বা পেশাদার হতে পারে। এটি একটি কর্তৃপক্ষ কর্তৃক প্রেরকের উপর প্রদত্ত দায়।

• এই ধরনের দায়বদ্ধতার ক্ষেত্রে প্রেরকের কাছ থেকে প্রত্যাশিত হয় যে তিনি নির্দিষ্ট চলমান/আসন্ন কার্যক্রম, ইভেন্ট, প্রক্রিয়া বা পদ্ধতি সম্পর্কে প্রাক-প্রমাণিক প্রাপককে ব্যাখ্যা, অবহিত/প্রাক-অবহিত করবেন।
• এটি একটি লিখিত অনুরোধ যখনে সাহায্য, ভর্তি, চাকরি, সুবিধা, তথ্য, অনুমতি, সার্ভিস ইত্যাদির জন্য লিখিত হয়৷ যখন প্রয়োজন হয় তখন আবেদনপত্র একটি সহকারী নথি৷
• চাকরীর জন্য দরখাস্ত, কভার লেটার নামে পরিচিত। একটি আবেদনপত্র মূলত একটি আনুষ্ঠানিক ধরনের চিঠি কারণ এটি একটি পূর্বনির্ধারিত বিন্যাস অনুসরণ করে যা বেশিরভাগ ধরনের আবেদনপত্রের ক্ষেত্রে প্রযোজ্য।

আবেদনপত্রের ধরন

করার কারণ অনুসারে আবেদন পত্রকে ১১ টি ভাগে ভাগ করা যেতে পারে। সেগুলি হোল-

• ছুটির জন্য আবেদন (স্কুল, কলেজ, চাকুরীক্ষেত্রে ছুটি পাবার জন্য যে দরখাস্ত করা হয়)
• শিক্ষা প্রতিষ্ঠানে বেতন মওকুফের জন্য আবেদন
• সরকারি ও বেসরকারি চাকরির দরখাস্ত (এটাকে কভার লেটারও বলা হয়)
• Bursary আবেদনপত্র / অনুদানের জন্য আবেদন
• ব্যবসায়িক আবেদনপত্র (ব্যবসার কাগজ, অনুমতি পাবার জন্য)
• ইন্টার্নশিপের আবেদনপত্র
• ঋণের জন্য আবেদন (সরকারি ও বেসরকারি প্রতিষ্ঠান থেকে আর্থিক লোণ পাবার জন্য লেখা হয়)
• স্কুলে পড়ালেখার আবেদনপত্র (পরীক্ষার খাতায় আমারা যে আপ্লিকেশন লিখি)
• শিক্ষা বৃত্তির আবেদনপত্র (উপবৃত্তি)
• ভিসা জন্য আবেদনপত্র (দেশের বাইরে পড়াশুনা, কাজ, ভ্রমন, ও চিকীৎসা ইত্যাদির জন্য)
• সরকারি সেবা পাবার জন্য আবেদন ( মিটার, বিদ্যুৎ, রাস্তাঘাট ইত্যাদি)।

পাঠানোর মিডিয়াম বা মাধ্যমের এর উপর ভিত্তি করে দুই ধরনের ফরম্যাট আছে:

• চিঠির ফরম্যাট
• ই-মেইল ফরম্যাট

আবেদন পত্র লেখার নিয়ম

যারা ব্যবসায়িক চিঠি সম্পর্কে জানেন তাদের জন্য একটি আবেদনপত্র লেখা একটি সহজ কাজ হবে। অন্যান্য আনুষ্ঠানিক আবেদনপত্র বিভিন্ন ফরম্যাট অনুসরণ করে যার বিভিন্ন মাত্রার পার্থক্য রয়েছে।

যেমন ব্লক, ফুল ব্লক, সেমি-ব্লক বা পরিবর্তিত সেমি-ব্লক style। নির্দিষ্ট সেটিংসে আপনাকে একটি নির্দিষ্ট পদ্ধতিতে একটি আবেদনপত্র লেখার নির্দেশিকা দেওয়া হতে পারে।অন্যথায় পরামর্শ অনুযায়ী আবেদনপত্র লেখা যেতে পারে।

কোন প্রশাসনিক কাজ করতে হলে আবেদন পত্রের প্রযোজন হয়। আবেদন পত্র এখন আর হাতে হাত হস্তান্তর হয় না। এগুলো এখন ইমেইলের মাধ্যমে হস্তান্তর করা হয়। প্রযুক্তির কারণে আবেদন পত্রের ব্যবহার অনেক কমে গেছে।

এর পরেও সরকারি ও বেসরকারি কাজে আমরা আবেদন পত্র লিখে থাকী। আবেদন পত্র লেখার কিছু নিয়ম কারুন রয়েছে।আমদের সেই নিয়মগুলো জেনে নেওয়া উচিত।

• ধাপ ১: সবার উপরে তারিখ লিখতে হবে।
• ধাপ ২: প্রাপকের নাম, পদবী এবং ঠিকানা লিখতে হবে।
• ধাপ ৩: এর নিচেেআপনার আবেদনের বিষয় লিখতে হবে।বিষয় আপনার আবেদনের মূল অংশ।
• ধাপ ৪: লেখার নিচে জনাব/জনাবা শব্দটি লিখতে হবে।
• ধাপ ৫: এরপর আপনার  আবেদন পত্রটি যে বিষয়ে তার উপরে সংক্ষিপ্ত আকারে গঠনমূলকভাবে বর্ণনা করতে হবে।
• ধাপ ৬: সংক্ষিপ্ত বর্ণনা লেখার পরে বিনীত বা ইতি কথাটি লিখতে হবে।
• ধাপ ৭: আপনার নাম অর্থাৎ আবেদনকারীর নাম ও ঠিকানা দিতে হবে।
• ধাপ ৮:এখন আপনার আবেদনটি একটি সুন্দর খামের মাধ্যে রেখে প্রাপকের নিকট পাঠাতে হবে।

আবেদনপত্র লেখার জন্য টিপস

১. একটি রূপরেখা ও খসড়া তৈরি করুন.

আপনি লিখতে শুরু করার আগে আপনার আবেদনের একটি রূপরেখা তৈরি করুন। আপনি কী চান বা প্রয়োজনে দরখাস্ত লিখছেন তা ঠিক করুন।

আপনার প্রয়োজন হতে পারে এমন জিনিসগুলির একটি তালিকা প্রস্তুত করুন। এটি আপনার সময় এবং শক্তি সাশ্রয় করবে।

খসড়া তৈরির সময় ব্যাকরণগত ভুল, বিরাম চিহ্ন, বানান, বাক্যের গঠন বা শব্দ সীমা নিয়ে চিন্তা করবেন না। আপনি যদি একটি নির্দিষ্ট ফরম্যাট সম্পর্কে নিশ্চিত না হন তবে একাধিক ফর্ম্যাট তৈরি করুন এবং দেখুন কোনটি সেরা।

২. প্রাপকে সম্বোধন করার নিয়ম

• প্রাপকে সাথে আপনার অনানুষ্ঠানিক সম্পর্ক না থাকলে শুধুমাত্র ব্যক্তির সম্পূর্ণ নাম ব্যবহার করা অব্যবসায়ী। অভিবাদন এর শেষে একটি কমা প্রয়োজন – জনাব আব্দুল হাকীম।
• প্রাপকে সাথে আপনার অনানুষ্ঠানিক সম্পর্ক থাকলে, তাকে প্রিয় লিখে সম্বোধন করতে পারেন ও শেষে সন্মান সূচক পদবী ব্যাবহার করতে পারেন। যেমনঃ প্রিয় আব্দুল হাকীম স্যার।
• একাধিক প্রাপক থাকলে আপনাকে ‘প্রিয় স্যার/ম্যাডাম’ ব্যবহার করতে হবে
• ভিন্ন লিঙ্গের শুধুমাত্র দুজন প্রাপক থাকলে, আপনাকে ‘প্রিয় আব্দুল হাকীম এবং মিস সুমাইয়া আক্তার’ ব্যবহার করতে হবে।
• যদি প্রাপকের নাম না জানা থাকে তবে কেবল লিখুন, ‘প্রিয় স্যার/ম্যাডাম’ বা ‘সন্মানিত প্রধান শিক্ষক’।

৩. সুনির্দিষ্ট এবং সংক্ষিপ্ত আকারে লিখুন

রিসিভারের হাতে বেশি সময় নাও থাকতে পারে। প্রথম অনুচ্ছেদে চিঠির উদ্দেশ্য উল্লেখ করুন । প্রথম অনুচ্ছেদে আপনার মন্তব্য এড়িয়ে চলুন ও সিরিয়াল অনুযায়ী তথ্য দিন।

৪. সৌজন্য বজায় রেখে লিখুন

সৌজন্য মানে অভিবাদন লেখা নয়, এর মানে হল আপনি প্রাপককে গুরুত্বের যোগ্য মনে করেন। যুক্তিযুক্ত, সৌহার্দ্যপূর্ণ হন এবং চিঠিটি সম্বোধন করার জন্য একটি আনুষ্ঠানিক ভাষা ব্যবহার করুন। কোনো অপভাষা বা দ্বৈত অর্থের শব্দ ব্যবহার করবেন না।

৫. হাতে লেখা টাইপিং এবং প্রিন্টিং এর নিয়ম

সাধারণত ব্যবহৃত ফন্টগুলি যেমন এরিয়াল বা টাইমস নিউ রোমান ব্যবহার করুন কারণ এগুলো চোখে সহজ। অভিনব ফন্ট ব্যবহার করবেন না যা অন্য ব্যক্তি পড়তে সক্ষম নাও হতে পারে।

প্রয়োজন অনুসারে ফন্টের সঠিক আকার ব্যবহার করুন।

হাতে লেখা হলে- নিশ্চিত করুন যে আপনি চিঠিটি সুন্দর ও কাটাকাটি মুক্ত ভাবে লিখছেন, অক্ষরগুলি ফাঁকা, সমানভাবে সারিবদ্ধ রাখুন এতে এটি পড়তে সহজ হবে।

৬. আনুষ্ঠানিক সমাপনী অভিবাদন জানান

সমাপনী অভিবাদন চিঠির স্বরের সাথে মিলিত হওয়া উচিত। একটি আনুষ্ঠানিক অভিবাদন বিনয়ী, বিনয়ী এবং প্রাপকের প্রতি শ্রদ্ধাশীলতা প্রদর্শন করুন। যেমন ‘আপনার একান্ত নিবেদিত’, ‘বিনীত নিবেদক’ আপনার অনুগত’ ‘আপনার বিশ্বস্ত’, ইত্যাদি।

৭. প্রুফরিডিং

একটি চিঠি প্রুফিং মানে কোন ত্রুটি দেখতে চিঠি পড়া। আপনি যদি কোনও ভুল মিস করেন তবে আপনি নিজের কাছে জোরে জোরে পড়ে সেগুলি সংশোধন করতে পারেন।

বানান পরীক্ষা করুন, ত্রুটিগুলি সম্পাদনা করুন, কখনও কখনও আমরা ভুলগুলি মিস করি। এগুলি লক্ষ্য রাখুন।

দরখাস্ত লেখার ফরম্যাট

অফিসের জন্য ছুটির আবেদনে কী অন্তর্ভুক্ত করতে হবে (লেটার ফরম্যাট).

এইচআর ম্যানেজার বা আপনার সুপারভাইজারকে চিঠির বিন্যাসে ছুটির আবেদনের খসড়া তৈরি করার সময় কিছু বিভাগ অন্তর্ভুক্ত করা অপরিহার্য।

• প্রাপকের নাম এবং ঠিকানা: চিঠিটি সংশ্লিষ্ট একজন ব্যক্তির নাম এবং ঠিকানা যোগ করুন।
• সাবজেক্ট লাইন: আপনার সাবজেক্ট লাইনে ‘লিভ অ্যাপ্লিকেশান’ যোগ করুন অন্যান্য বিবরণের সাথে (যদি প্রয়োজন হয়)
• অভিবাদন: প্রাপকের নাম যোগ করুন। আপনি যদি ব্যক্তিটিকে শনাক্ত করেন তবে শুধুমাত্র প্রথম শিরোনাম ব্যবহার করুন।
• মূল অংশ: আপনাকে অবশ্যই আপনার অনুপস্থিতির উদ্দেশ্য, আপনার অনুপলব্ধতার সময়কাল, সহকর্মীর নাম উল্লেখ করতে হবে যিনি আপনার কাজ এবং যোগাযোগের স্থানটি দেখবেন (মোড এবং সময় উপলব্ধতা)
• ধন্যবাদ নোট : ছুটি স্বীকার করার জন্য পাঠককে ধন্যবাদ
• কমপ্লিমেন্টারি ক্লোজিং : শুধুমাত্র আনুষ্ঠানিক সমাপ্তি যোগ করুন।
• নাম: আপনার পুরো নাম যোগ করুন।
• চাকরির অবস্থান: আপনার চাকরির শিরোনাম যোগ করুন। এটি একটি ঐচ্ছিক ক্ষেত্র।
• তারিখ: আবেদন প্রত্র প্রদানের তারিখ যোগ করুন

অফিসের জন্য ছুটির আবেদনে কী অন্তর্ভুক্ত করতে হবে (ইমেল ফর্ম্যাট)

এইচআর ম্যানেজার বা আপনার ম্যানেজারের কাছে একটি ইমেল ফরম্যাটে ছুটির আবেদনের খসড়া তৈরি করার সময় কিছু বিভাগ অন্তর্ভুক্ত করা অপরিহার্য।

• সাবজেক্ট লাইন – আপনার সাবজেক্ট লাইনে অন্যান্য বিবরণ সহ ‘লিভ অ্যাপ্লিকেশান’ যোগ করুন (যদি প্রয়োজন হয়)
• অভিবাদন- প্রাপকের নাম যোগ করুন। আপনি যদি ব্যক্তিটিকে শনাক্ত করেন তবে শুধুমাত্র প্রাথমিক শিরোনাম ব্যবহার করুন।
• মূল অংশ – আপনাকে অবশ্যই আপনার অনুপস্থিতির কারণ, আপনার অনুপলব্ধতার সময়কাল, আপানর ঊর্ধ্বতন কর্মকর্তার বা সহকর্মীর নাম উল্লেখ করতে হবে যিনি আপনার কাজ এবং যোগাযোগের দেখবেন।
• ধন্যবাদ নোট – ছুটি বিবেচনা করার জন্য পাঠককে ধন্যবাদ
• কমপ্লিমেন্টারি ক্লোজিং – শুধুমাত্র আনুষ্ঠানিক সমাপনী যোগ করুন।
• নাম – আপনার পুরো নাম যোগ করুন।
• চাকরির ডেজিগনেশন (ঐচ্ছিক) – আপনি আপনার ডেজিগনেশন ও ডিপার্টমেন্ট অন্তর্ভুক্ত করতে পারেন

দরখাস্ত লেখার বিভিন্ন প্রকার ফরমেট রয়েছে। কেউ অফিসের প্রয়োজনে বা অফিস থেকে ছুটি নিতে দরখাস্ত লিখছেন, কেউ বা আবার চাকরির দরখাস্ত লিখছেন, আবার শিক্ষার্থীরা তাদের প্রাতিষ্ঠানিক প্রয়োজনে স্কুল-কলেজের প্রধান বরাবরে দরখাস্ত লিখছেন। যদিও কাজের ধরন অনুয়ায়ী আবেদন ভিন্ন ভিন্ন হয় তবে আপনি যদি একটি আবেদন বা দরখাস্ত লেখার নিয়ম সঠিকভাবে আয়ত্বে আনতে পারেন, তাহলে যেকোন প্রকারের দরখাস্ত লিখতে অপনার সমস্যা হবে না।

• প্রাপক/বরাবর (যার নিকট আবেদন করছেন তার নাম, পদবী ও ঠিকানা)।
• আবেদনপত্রের বিষয়।
• সম্ভাষণ/জনাব/স্যার/ম্যাডাম/মহোদয় ইত্যাদি।
• আবেদনের বিষয়ে গঠনমূলক বিস্তারিত বর্ণনা।
• আবেদনকারীর নাম, ঠিকানা।

TC পূর্ণ ফর্ম Transfer Certificate বাংলায় ছাড়পত্রের জন্য আবেদন হল স্কুল, কলেজ, ভার্সিটি বা যে কোন শিক্ষা প্রতিষ্ঠান ইন্সটিউশন পরিবর্তন করার কারন উপস্থাপন করে, ছাত্রের পক্ষ হতে লিখিত আবেদন পত্র। যা একজন ছাত্রের শিক্ষা প্রতিষ্ঠান পরিবর্তন করে অন্য কোন প্রতিষ্ঠানে ভর্তি হতে প্রয়োজন পড়ে। যা ”ছাড়পত্রের জন্য আবেদন” নামেই পরিচিত। ছাড়পত্রের জন্য তৈরী চিঠি সাধারণত একজন আবেদনকারীকে স্কুল বা কলেজের অধ্যক্ষের কাছে জমা দিতে হয়। প্রাথমিক ৫ম গ্রেড, মাধ্যমিক ৮ম গ্রেড, এছাড়াও ১০ তম, ১২ তম এবং স্নাতক শেষ করার পরেও ছাড়পত্রের প্রয়োজন পড়ে।

Transfer Certificate : Application for TC [Transfer Certificate] is usually required to a student to submit to principal for changing school or college, when he need to leave or change school due to any reason or he has been completed his primary 5th grade education level, middle 8th grade education level and also after completing 10th, 12th and after graduation.   

ট্রান্সফার সার্টিফিকেট : এটি একটি ডকুমেন্টারি, যা প্রমাণ করে যে, প্রতিষ্ঠান ইনচার্জ দ্বারা একজন ছাত্রকে প্রতিষ্ঠান ছেড়ে দেয়ার সিদ্ধান্ত প্রদান করে থাকে যখন ছাত্র প্রতিষ্ঠানটি ছেড়ে যাওয়ার সিদ্ধান্ত নেয়। এতে মূলত শিক্ষার্থীর ব্যক্তিগত বিবরণ থাকে। যেমন – কলেজের রেকর্ড অনুযায়ী জন্ম তারিখ, পিতামাতার বিবরণ এবং তাদের পেশাগত রেকর্ড, পাসের বিবরণ, প্রতিষ্ঠানে অধ্যয়ন করা প্রোগ্রামের বিবরণ, ফি বিবরণ ইত্যাদি। এই প্রশংসাপত্রটি নিশ্চিত করে যে শিক্ষার্থীর কোনো বকেয়া নেই এবং তারা যে সমস্ত পরীক্ষায় অংশ নিয়েছিল সেগুলি পাস করেছে, এবং উক্ত ছাত্র স্কুলের সকল নিয়াম কানুন যথাযথ মেনে চলেছে ৷ এটি একটি কন্ডাক্ট সার্টিফিকেট হিসেবেও কাজ করে । এটি আরো প্রমান করে যে, একজন ছাত্র একটি নির্দিষ্ট সময়ে এই স্কুল, কলেজ বা ইউনিভার্সিটিতে নথিভুক্ত ছিলো। এটি নতুন স্কুল, কলেজে ভর্তি হবার একটি অপরিহার্য চিঠি।

টিসি বা ট্রান্সফার সার্টিফিকেটের প্রয়োজনীয়তা

ট্রান্সফার সার্টিফিকেট নিশ্চিত করে যে, নির্দিষ্ট সময়ে একজন শিক্ষার্থী একটি নির্দিষ্ট প্রতিষ্ঠানে অধ্যয়ন করেছিলো বা তার নাম নথিভুক্ত ছিলো। আরো নিশ্চিত করে যে শিক্ষার্থী প্রতিষ্ঠানের সমস্ত বকেয়া পরিশোধ করেছে। এটি একজন শিক্ষার্থীর আচরণও এবং প্রতিষ্ঠানের সকল নিয়ম কানুনে শ্রদ্ধাশীল ছিলো তা প্রমান করে। অনেক প্রতিষ্ঠান ট্রান্সফার সার্টিফিকেট প্রদানের জন্য নামমাত্র ফি নেয়। এটি সাধারণত গভর্নিং বডির রেজিস্ট্রার দ্বারা স্বাক্ষরিত হয়।
