If you know you'll be referring to the content of a previously-viewed slide at some point during your presentation, it might be useful to insert a link pointing back to that slide for quick access. Here's how to set it up.

Open your presentation and navigate to the slide that will contain the hyperlink. Once there, highlight the text, object, shape, or image to which you want to attach the link.

Next, head over to the “Insert” tab and click the “Link” button.

In the Insert Hyperlink window that opens, select “Place in This Document” on the “Link To” list on the left.

On the right, under the “Select a place in this document” list, select the destination slide.

The four options at the top of the list let you select the first or last slide in the presentation or the slide that comes right before or after the slide containing the link.

If you need to link to a different slide, expand the “Slide Titles” category. This shows you a list of all the slides in your document. If a slide has a title, the list shows the title. If a slide does not have a title, the list shows it as something like "Slide 7."

Click the slide to which you want to link.

A preview of the selected slide will appear in the window to the right. If you’re unsure which slide it was that you needed to link back to, this will come in handy.

Once you’re finished, click “OK” and PowerPoint will insert your link.

As a matter of good practice, double-check to make sure the link is working properly. To test the link in the regular slide editing view, Ctrl-click the linked object. To test the link when playing your presentation, you don't have to hold the Ctrl key; just click the linked object.

If for some reason you need to remove the hyperlink, right-click the object and then select “Remove Link.”

If you’re using PowerPoint for Office 365 or PowerPoint 2019, then you can take advantage of the new “Zoom” feature, which lets you seamlessly transition to any slide in the presentation by placing it inside another slide.

First, go to the slide that you'll be linking from. Using “Normal View,” click and drag the slide you want to insert from the left-hand pane to the current slide.

Once the slide is inserted, a new “Format” tab will appear. Click it.

In the “Zoom Options” group, check the box next to “Zoom Transition.” You’re also able to specify the duration of the transition, with 01.00 being the default.

Now let’s take a look at what happens when we click that slide during our presentation.

As you can see in the above GIF, clicking the “Introduction” slide that we placed inside our “Information” transitions back to the "Introduction" slide. Clicking again brings us back to the original "Information" slide.

Microsoft PowerPoint offers several ways to merge slides from several decks into one. This saves time and effort, giving you the ability to be creative without getting lost in the details. It lets you share content from across your presentation library. 

When you know how to combine PowerPoints, you can use slides you already have to make new presentations. It’s a powerful way to pull in content from many sources to build a winning slide deck in 2023.

Here’s how to combine multiple PowerPoints into one, using several of my favorite techniques.

Method 1: Copy and Paste Slides

One of the simplest ways of combining PPT slide decks is to paste slides from one presentation to the other. Let's learn how to combine PowerPoints with copy and paste.

To get started, open both presentations in PowerPoint. If you can, this is a great time to use two displays to streamline the process of merging PowerPoints.

Navigate to the PowerPoint deck that you want to paste slides from. Notice the slide preview sidebar on the left side. In it, you’ll see thumbnails of each slide in the deck. To copy and paste slides, begin by clicking on the first slide that you want to work with.

Now, you've got three options as you learn how to combine PowerPoints:?

  • To copy only a single slide, right-click and choose Copy.
  • To copy several slides in a row, click on the first slide thumbnail. Then, hold down Shift on your keyboard, and select the last slide that you want to copy. All slides in the range are selected. Right-click and choose Copy.
  • If you've got several slides to copy that aren't in a row, click on the first thumbnail. Then, select later slides by holding down Control on your keyboard, and clicking other thumbnails. Again, right-click and choose Copy when you’re done.

With a slide or slides selected, open the destination PPT deck. Return to the sidebar with the slide previews. Scroll until you find the location where you want to paste your selected slides. For example, here we’d like to place them between slides 3 and 4 in the deck.

How to merge PowerPoints

Click into the open space between the thumbnails for slide 3 and 4. You’ll see an orange line appear, indicating your selection. Right-click here, and you should choose from the first two key combining PPT options in the Paste Options group:

  • Use Destination Theme. This converts the slides you're pasting to match the theme of your destination presentation. It’s a good way to ensure slides are stylistically the same, with an identical theme and appearance. 
  • Keep Source Formatting. This pastes slides into the deck, but keeps their appearance the way it was in the prior presentation.

Both of these are great choices. I like to choose Use Destination Theme, because it makes my slide deck look the same throughout. 

Scroll through the pasted slides to be sure their layouts converted correctly. You may need to spend a few minutes rearranging some slides to ensure content is in the right place.

How to combine multiple PowerPoints into one

Copying and pasting slides offers several key advantages. It’s often your best bet. It’s remarkably easy to pick and choose exactly what slides you want to copy and paste into a new slide deck. Learning how to merge PPT presentation includes these style merge options.

Now, let’s move on and explore other ways of combining PPT decks.

Method 2: Use the Reuse Slides Menu

The Reuse Slides menu in PowerPoint is how to merge PPT presentation decks quickly, without having to open another file. To get started, be sure that you’re working in the presentation where you want to add slides. 

Then, repeat the earlier step of choosing a position for new slides in the sidebar. For example, click between slides 8 and 9 to add slides to that spot. 

Now, navigate to the Home tab on PowerPoint’s ribbon. You’ll find it at the top of your screen, between File and Insert . Click on the Home tab, and then choose the New Slide dropdown arrow.

Combining PPT

With the dropdown open, you’ll see a list of options. The one you want here is Reuse Slides. Go ahead and click on it.

PowerPoint opens the Reuse Slides sidebar menu on the right side of your screen. Click on Browse , then navigate to a stored PPT file on your computer. Click on it, then choose Open .

How to merge PPT presentation

When you click Open , you’ll see thumbnail previews of each slide in the other deck. To add them into your combined PPT, simply click on their thumbnails. Watch as the slide or slides you choose appear in the deck.

By default, their formatting will be merged to match your new design. To change this, check the Keep Source Formatting box at the bottom of the sidebar menu. 

This is how to combine PowerPoints using the Reuse Slides feature. It’s a top choice for 2023 and beyond, but let’s keep moving to explore even more great ways to merge PowerPoint decks.

Method 3: Compare and Combine PowerPoint Presentations

A third way of merging PowerPoint decks is the Compare and Combine feature in PowerPoint. This is a powerful tool that allows you to merge two presentations into one slide deck. 

It stands out because it also highlights the differences between the original presentations. This is very useful when working with presentations created by multiple authors.

To use Compare and Combine , open the presentation that you want to merge slides into. Then, find the Review tab on PowerPoint’s ribbon and open it up. In the Compare group, find and click on the Compare button.

How to combine PPT files

When you click Compare , the Choose File to Merge with Current Presentation browser opens. Find the PPT deck that you want to merge into your current presentation, click on it, and then choose Open. 

PowerPoint merges the two presentations. You’ll see a new sidebar launch on the right, labeled Revisions .

This shows you any changes made by PowerPoint when the presentations were merged. These are grouped into the Slide Changes and Presentation Changes groups.

You can work through these, clicking Accept on the ribbon to approve changes made. You can also reject changes. When you’re finished, choose End Review. Just like that, you’ve merged two PowerPoint slide decks into one - fast.

Whenever we create a presentation, we want to captivate our audience and highlight the important information we are delivering. While many users are familiar with the basics of creating slides, many users are not aware that you can create links between slides. This process can elevate your presentation to a whole new level of professionalism and interactivity. This is especially important in presentations which are meant to be browsed at the leisure of the audience (sometimes referred to as a kiosk or interactive presentation), rather than delivered by a presenter with a live audience.

Today we are going to explore the use of links between slides in a Microsoft PowerPoint presentation, and provide step-by-step instructions to help you utilise this feature.

Why include Links Between Slides?

  • The main reason is enhanced navigation. Including links between slides allows for seamless navigation throughout your presentation. Instead of users starting at slide 1 and working their way through in order, they will be able to jump to specific sections or topics which enhances the flow and organisation of your content.
  • Links provide strategic interactivity, engaging your audience on a deeper level. By directing viewers to relevant slides based on their interests or questions, you can create a more personalised and engaging experience.
  • The use of link allows you to distribute content across multiple slides and link them together for easy access. This is especially useful for presentations which contain a large amount of information.

Create links between slides

Now that you understand some of the reasons why you might include links in a presentation, let’s get to the important part of how we add links.

  • Open Microsoft PowerPoint .
  • Open the presentation you would like to add links to, or create a simple opening slide such as below:

  • If you are creating a sample file, add 3 x additional slides to add a heading.

  • For more in-depth presentations, ensure that your slides are organised in a logical sequence before adding links between them.
  • Return to Slide 1, or the slide where you want to insert the link. This could be a title slide, agenda slide, or any other slide where you want to begin navigation.
  • Insert an object (such as a text box, image or shape) that you want to use as a link. This could be a word, phrase, or icon that prompts the viewer to navigate to another slide. Create one for each link you plan to create.

I have inserted shapes for my links and have added text to them by right-mouse clicking each shape and choosing Edit Text from the menu. I have also chosen a different Fill Color for each from the Shape Format tab on the Ribbon.

  • Click to select text or object, then select the Insert tab from the ribbon.
  • Click the Link button, or you can press Ctrl + K on your keyboard.
  • The Insert Hyperlink dialog box will appear:

  • Select the Place in This Document option on the left-hand side.
  • A list of available slides in your presentation will appear.
  • Click on the slide you want to link to, then press OK to confirm your selection.

Preview the Slide Show

Now that you have added a link, you will want to test the link to make sure it works as expected.

  • Select the Slide Show tab from the Ribbon.
  • Choose to run the slideshow From Beginning or From Current Slide . Alternatively you can press F5 on the keyboard to run the slide show from beginning.
  • Click and test the links work correctly.
  • Press Esc to exit Slide Show mode.
  • Continue adding links between slides as necessary.

Create a link back to the start

When adding links to a presentation, you may want to consider if you need/want users to be able to navigate back to the slide they came from. In my example, Slide 1 has the option of choosing between 3 links. But once a user has read each individual slide, I want them to come back to Slide 1 and choose another option.

  • Select the first slide where you want to provide a link back to Slide 1 or the equivalent.
  • Repeat the process and add a shape, or text box to link back, or alternatively, PowerPoint provides a Home button which will automatically link back to Slide 1.
  • Click the Insert tab from the Ribbon.
  • Choose Shapes from the ribbon and scroll to the bottom of the Shapes gallery to find the Action Buttons .

  • Select the button containing the House icon.
  • Click on the Slide to insert the action button.
  • The Action Settings dialog box will appear:

  • By default, the Hyperlink to option is selected and First Slide is selected. Leave as is, or if you want to link to a different slide, use the drop-down menu to change the setting.
  • Copy and paste the button to any other slides where you want users to be able to navigate back to Slide 1.

Save your presentation

Now that all links have been added, and tested, ensure you have saved your presentation.

  • Select the File tab and choose Save or press Ctrl + S on the keyboard.
  • If you have not saved the presentation before, the Save as dialog will appear.
  • Choose a location to save your presentation.
  • Enter a File name .
  • Click Save .

3. Select slides:  Click on the desired slide(s) to copy. You can hold down the Ctrl key to choose multiple non-consecutive slides or Shift for consecutive slides.

4. Copy slides:  Right-click on the selected slides and choose “Copy” from the context menu. Alternatively, use the keyboard shortcut Ctrl+C.

5. Navigate to the destination presentation:  Switch to the other presentation where you want to insert the copied slides.

6. Choose insertion location:  Click on the slide thumbnail where you want the copied slides to appear after. This will determine their order in the final presentation.

7. Paste slides:  Right-click on the chosen location and select “Paste” from the context menu. You can also use Ctrl+V.

8. Adjust formatting (optional):  If the pasted slides don’t match the formatting of your destination presentation, you can manually adjust them using the options in the “Home” and “Format” tabs.

Method 2: Reuse PowerPoint Slides

You can also combine PowerPoint slides using the “Reuse” option. It’s straightforward and lets you choose which slides you want to add and where you want them. Here’s how you do it:

1. Open the target presentation:  Launch PowerPoint and open the presentation where you want to include slides from another presentation.

2. Access the “Reuse Slides” pane:  Go to the “Home” tab in the ribbon. Click on the “New Slide” button and select “Reuse Slides” from the dropdown menu.

3. Browse for the source presentation:  In the “Reuse Slides” pane on the right, click on “Browse” and locate the presentation containing the slides you want to reuse. Select the file and click “Open.”

4. Choose slides to reuse:  In the “Reuse Slides” pane, you’ll see thumbnails of all slides from the source presentation. Click on the checkbox(es) next to the slides you want to include.

5. Insert the slides:  Click on the “Insert” button at the bottom of the “Reuse Slides” pane. The selected slides will be inserted at the current location in your target presentation.

Method 3: Use Insert Object to Merge PowerPoint Files

Note:  This method has limitations. It inserts the entire source presentation as an object within the target presentation. You cannot edit the content of the inserted slides directly, only their position and size.

2. Go to the “Insert” tab:  Click on the “Insert” tab in the ribbon.

3. Navigate to “Object”:  In the “Insert” tab, click on the “Object” button.

4. Select “Create from File”:  In the “Insert Object” window, choose the “Create from File” option.

5. Browse for the source presentation:  Click on “Browse” and navigate to the presentation containing the slides you want to insert. Select the file and click “Open.”

6. Insert the presentation (as an object):  Click “OK” in the “Insert Object” window. The entire source presentation will be inserted as an object on the current slide of your target presentation.

Method 4: Drag and Drop Slides

Another simple way to merge PowerPoint presentations is by dragging and dropping slides. This is handy if you’re working on different presentations or collaborating on a project. Here’s how to do it:

1. Open Both Presentations:  Launch the presentations containing the slides you want to merge.

2. Arrange Side-by-Side:  Resize and position the presentation windows so you can view both presentations simultaneously.

3. Select and Drag:  In the presentation you’re copying from, click and hold the thumbnail of the desired slide in the left-side navigation pane.

4. Drop into New Location:  Drag the selected slide thumbnail and release it onto the preferred position within the other presentation’s navigation pane. The slide will be copied to the new location.

5. Repeat for Additional Slides:  Continue dragging and dropping any other slides you want to transfer between presentations.

Method 5: Merge with Compare Function

This feature helps you merge your slides while keeping the formatting consistent. Here’s how to use it:

1. Open Destination Presentation:  Open the presentation where you want to merge all the slides from another presentation.

2. Access Compare Function:  Click on the “Review” tab from the top menu bar. Locate the “Compare” button within the “Compare” section and click on it.

3. Browse for Source Presentation:  A new window will appear. Click the “Browse” button and navigate to select the presentation containing the slides you want to merge.

4. Choose Merge Option:  From the “Compare” dropdown menu, select the “Merge” option.

  • A menu will open on the right with recommended presentations. To add yours, click on Browse. We are going to add slides from the presentation Investment Business Plan .
  • Go to the place in the presentation where you want the new content to appear.
  • Choose which slides you want to add and add them one by one by clicking Insert Slide. You can also add the whole presentation by clicking on Insert All.

Pro tip : We recommend that you keep the "Use source formatting" checkbox checked. This feature makes the presentation you are adding keep its original style instead of adapting to the layout of the new one. 

Simple, isn't it? There is also another method, just as quick and easy, using the ancient technique known as "copy and paste". It consists of the following:

  • Open the presentation where you want the new slides to appear.
  • Open the other presentation and choose the slides you want to add. You can select more than one by pressing Control and clicking on them or you can select all of them by pressing Control + E. For this example we are going to add three slides from the Business Plan with Elegant Backgrounds template.
  • Right click and press copy or press Control + C.
  • Now go to the first presentation, choose the location and right click > Paste or press Control + V. Remember to select "Keep source formatting", this will keep the slides from losing their layout.

Add a hyperlink to a slide

The fastest way to create a basic web hyperlink on a PowerPoint slide is to press Enter after you type the address of an existing webpage (such as http://www.contoso.com ).

You can link to a webpage, or you can link to a new document or a place in a existing document, or you can begin a message to an email address.

Link to a website

Select the text, shape, or picture that you want to use as a hyperlink.

Select  Insert  >  Link > Insert Link .

Select  Existing File or Web Page , and add the:

Text to display : Type the text that you want to appear as hyperlink.

ScreenTip : Type the text that you want to appear when the user hovers over the hyperlink (optional).

Current Folder ,  Browsed Pages , or  Recent Files : Select where you want to link to.

Address : If you haven't already selected a location above, insert the URL for the web site you want to link to.

If you link to a file on your computer, and move your PowerPoint presentation to another computer, you'll also need to move any linked files.

4. Select  OK .

Link to a place in a document, new document, or email address

Select  Insert  >  Link > Insert Link  and select an option:

Place in This Document : Link to a specific slide in your presentation.

Create New Document : Link from your presentation to another presentation.

E-mail Address : Link a displayed email address to open up a user's email program.

Fill in the  Text to display ,  ScreenTip , and where you want to link to.

Select  OK .

Change the color of a hyperlink

You can change the color of a hyperlink if you like. If you want to change the display text of a link, right-click it and select Edit Link .

Select the hyperlink you want to re-color.

On the Home tab of the ribbon, select down arrow next to the Font Color button to open the menu of colors.

Once you've inserted the link, you can test it (in Normal view) by right-clicking the hyperlink and selecting Open Hyperlink .

The Show and return box is grayed out unless you are linking to a Custom Show in your presentation.

Highlight the text that you want to be the hyperlink.

To test the hyperlink, select the Slide Show tab on the ribbon, and then select Play from Beginning .

Create links to quickly access all kinds of things in your presentation. Link to a slide in the same PowerPoint presentation , another presentation file, a website, a file on your computer or network, or an email address. To help explain the purpose of the link, add a screen tip to the hyperlink .

Instructions in this article apply to PowerPoint for Microsoft 365, PowerPoint 2019, PowerPoint 2016, PowerPoint 2013, PowerPoint 2010, PowerPoint 2016 for Mac, and PowerPoint 2011 for Mac.

To use text or a picture as a hyperlink:

Open a file in Powerpoint that you want to add a link to.

Select the text or graphic object that will contain the hyperlink.

Select Insert .

Select Hyperlink or Link. The Insert Hyperlink dialog box opens.

Use the keyboard shortcut Ctrl + K to open the Insert Hyperlink dialog box.

Decide what type of link you want to insert. Your options include Existing File or Web Page , Place in This Document , and Email Address .

Add a Hyperlink to a Slide in the Same Presentation

To add a link to a different slide in the same presentation:

In the Insert Hyperlink dialog box, select Place in This Document . The options include:

  • First Slide
  • Previous Slide
  • Slide Titles

Choose the slide that you want to link to. A preview of the slide appears to help you make your choice.

Select OK to close the dialog box and create the link.

If you want to edit the hyperlink, select the link text and select Insert > Link or Insert > Hyperlink to open the Edit Hyperlink dialog box.

Add a Hyperlink to Another File on Your Computer or Network

You are not limited to creating hyperlinks to other PowerPoint slides . Create a hyperlink to any file on your computer or network, no matter what program was used to create the other file.

There are two scenarios available during your slide show presentation:

  • If the hyperlink goes to another PowerPoint presentation, the linked presentation opens and is the active presentation on the screen.
  • If the hyperlink is to a file created in another program, the linked file opens in its corresponding program. It is then the active program on the screen.

Choose Existing File or Web Page in the Insert Hyperlink dialog box.

Locate the file on your computer or network that you wish to link to and select it.

If the linked file is located on your local computer, the hyperlink will be broken when showing the presentation on a different device. Keep all files that are needed for a presentation in the same folder as the presentation and copy these files to the other device.

To open a website from your PowerPoint presentation, enter the complete internet address (URL) of the website.

In the Insert Hyperlink dialog box, select Existing File or Web Page .

In the Address text box, enter the URL of the website you want to link to.

Select OK .

To prevent typing errors, copy the URL from the address bar of the web page and paste it into the Address text box.

Add a Screen Tip to a Hyperlink on Your PowerPoint Slide

Screen tips add additional information to hyperlinks on a PowerPoint slide. When the viewer hovers over the hyperlink during the slideshow, the screen tip appears.

In the Insert Hyperlink dialog box, select ScreenTip .

In the Set Hyperlink ScreenTip dialog box, enter the ScreenTip text you want to appear.

Select OK to save the screen tip text and return to the Insert Hyperlink dialog box.

Select OK to exit the Insert Hyperlink dialog box and apply the screen tip.

Start a screen show and hover over the link to test the hyperlink screen tip.

  • Open PowerPoint, then open the document to which you wish to add slides.
  • Select where you wish to add a slide or slides. Then, click between two existing slides.
  • In the ‘Main Menu,’ click the ‘Insert’ tab.
  • Then, on the left side of the menu, click the ‘New Slide’ option.
  • Then choose ‘Reuse Slides.’
  • Click the ‘Browse’ button to access the ‘Reuse Slides’ dialog box. If you click the option next to ‘Keep source formatting,’ the newly added slides will keep their original formatting. When you uncheck the box, their formatting will match the main presentation.
  • Insert your slide here. Browse the presentations, choose the one from which you wish to add the slides, and then click ‘Open.’
  • You will see the thumbnails of the available slides. Browse and pick the ones you want to include in your main document. You can import all slides from the external presentation by clicking ‘Insert All Slides.’
  • When choosing the slides to include, click the ‘Apply Theme to All Slides’ option to replace the theme of the primary presentation with that of the secondary presentation.

This feature is useful if you have two different presentations that you want to combine with PowerPoint or are working on a collective project. Follow the below steps to learn how to combine two powerpoints into one:

  • Open both presentations on your PC or Mac, and minimize the PowerPoint software so that you can view both simultaneously.
  • Long-press the slide you want to relocate and drag it to its new location with your mouse. You should do this for each slide; luckily, you can select all of them by clicking on the first slide, holding down the ‘Shift’ key, and then clicking on the final slide.
  • The slide’s position will be highlighted with a red line. Your final presentation will be updated to match the design of the receiving document. Of course, you can always change the document’s overall look by clicking the ‘Design’ button at the top of your presentation.

How to combine and merge PowerPoint-presentations

In my work as an AV-technician on conference and events, I receive Powerpoint presentations from speakers that represents different companies. My job is to make sure that these are displayed on the projector/screen at the right moment exactly as they were made. To simplify this task, we made Auto Presentation Switcher (APS) which lets you open and display new presentations using keyboard-shortcuts and network-commands. But you may ask, isn’t this something that can be done from within PowerPoint? How can we merge and switch PowerPoint presentations without using third-party software?

And yes, as it turns out, Powerpoint has methods for combining slides and linking presentations. Today we will show different ways to work with multiple PowerPoint presentations for live events, and focus on 3 methods:

  • Paste and reuse slides
  • Switch presentations with APS
  • Use hyperlinks

After reading this blogpost, you should be a master of combining and merging PowerPoint-presentations. This can solve a lot of problems if you work as an event-producer or AV-technician on live events.

1. Paste and reuse Powerpoint slides

Some event-organizers want to have all the slides from the different speakers in one master-presentation. Then they can control everything from one presentation-clicker, and never exit the presentation during the show.

To create this presentation, you can paste the slides you need into one master-presentation. Or you can use the Reuse Slides method, which is an option in Powerpoint to import multiple slides. When pasting and reusing slides, there is one pitfall that you should be aware of, which can easily be overlooked: By default, if you bring slides from one presentation into another, PowerPoint can automatically make those slides look like the new presentation, by applying the destination theme to them. If you want the pasted slides to look identical to the original, you need to apply the option “Keep Source Formatting”

Pasting and reusing slides on Mac

This video shows how to paste slides and keep source formatting when using Mac:

There is an easier way to import multiple slides: using the “Reuse Slides” method. However, when I tested this for Mac, I couldn’t find a way to keep the source formatting. Notice in the video below that the popup-square for the theme-options doesn’t appear after reusing the slides. So, unless I did something fundamentally wrong here, the “reuse slides” method on Mac can´t be used in my workflow. The reused slides wont be identical to the originals.

It seems that these things work better on Windows: When I paste slides, the formatting-options appear as an option before the slide is inserted, making it harder to miss:

And when re-using slides, the “keep original formatting” is chosen as the default option: 

This is one example where the PC version of PowerPoint is more developed than the Mac counterpart. If your workflow relies heavily on combining slides from different presentations, I recommend using the Windows version.

2. Use APS to switch between different PowerPoint presentations

The method of pasting and reusing slides takes time, and it’s easy to screw up the formatting. And, if the presentations have different aspect-ratio of let’s say 16:9 and 4:3, then combining the slides becomes more difficult. For these reasons, I think its a good idea to have alternative solutions for working with multiple Powerpoint presentations. One of the reasons we made APS was to solve this problem of quickly and seamlessly displaying content from different presentations. With APS, you don’t need to edit the presentations at all, instead you get shortcuts and network-commands to open and display new presentations. And with the seamless switching method , the audience wont notice the switch: The transitions will look the same as if you progress to the next slide.

3. Link PowerPoint presentations with internal hyperlinks

If you don’t want to use a third-party program like APS to switch presentations, you can try the internal solution presented by Powerpoint: Hyperlinks. This lets you create buttons in a slide that jumps to another presentation. This video shows how it’s done: 

The Hyperlink-button switches seamlessly to the next presentation. When pushing “escape”, you go back to the presentation with the hyperlink. I recently had a discussion on Reddit where the user u/SteveRindsberg explained how he used Hyperlinks to display different Powerpoint presentations: He has one presentation which only consists of one slide with hyperlinks to all the other speaker-presentations. The hyperlink-slide acts as a remote control. To exit the speaker-presentations and return to the hyperlink-slide, he push “escape”. In this setup, the presentation with the hyperlink is always in slideshow-mode but hidden behind the speaker-presentations started from the hyperlink. I think this is a sound method, and a viable alternative to APS. However, in my biased opinion, being the founder of APS, I do want to point out some advantages of using APS compared to using hyperlinks:

  • Easier preparation. With APS you just need to sort the presentations in a folder. Creating a master-slide with the hyperlinks can be more intimidating if you don’t know Powerpoint very well.
  • You get more ways to trigger the command to switch presentations. The commands can be controlled from Companion and Stream Deck, making APS compatible with professional A/V networks. With Hyperlinks you can only start the presentations by pushing the links with the mouse
  • Switching presentations with APS are seamless, whereas with the Hyperlink-method there is no way to avoid displaying the slide with all the hyperlinks. Arguably, you can use a video-switcher to smooth out the transitions, but with APS these things are taken care of within the computer.

Summary: The best way to combine and merge Powerpoint presentations for professional live A/V

In this blogtext we have shown different ways you can merge slides and switch presentations, and if you are a professional A/V technician working with presentations, I think its useful to know all of them:

  • Pasting and reusing slides can be a good solution if you have time to prepare this, and the organizer wants to have all the slides in one presentation
  • APS works great to quickly and seamlessly switch between different presentations with a minimum of preparation
  • Hyperlinks works well if you are experienced with Powerpoint, you like to have a page with links to all your presentations, and you don’t need the seamless transitions between the presentations.

As always, bring different tools to your arsenal, and be prepared for any request the client might have. But before we finish this text I want to repeat one thing: If you decide to paste slides or reuse slides, remember to turn on the setting for Keep Source Formatting. Otherwise the speakers can be in for a surprise when they see the presentation on the projector.

Yes, you can run two PowerPoint presentations at the same time from your computer. This dogged me for years until I realized how easy this was to setup in PowerPoint.

As you begin to do deals overseas, work with international clients and investors, you will eventually be asked to run two different translations of your PowerPoint presentation, at the same time on the same monitor. When I was working in China, I was asked to do this all the time. That is, showing both an English and Chinese version of our deal, at the same time as you can see below.

To be clear, PowerPoint presentations by default, run as full screen slides. That is, after starting your slide show, your slides take up the entirety of your screen, monitor, or overhead projector.

The trick to running two PowerPoint presentations at the same time is to change the default behavior of how PowerPoint runs your presentations in slide show mode. That is, you need to change them to run as individual windows that you can resize and rearrange. In this way, you can present two or more presentations at the same time, on the same screen.

Presenting two or more presentations at the same time is useful when you need to:

  • Present the same presentation in two different languages (or for two different audiences)
  • Compare two different presentations side-by-side in Slide Show mode
  • Run a presentation on half of your screen, while you add speaker notes in the other half

NOTE: When running two presentations at the same time on your computer, each presentation needs to be advanced individually. On top of that, some of the presentation tools like the pen and highlighter do not work when running multiple presentations at the same time. See below for further details.

Setting up two presentations to run side-by-side

Setting up two presentations to run like this is easy in PowerPoint. Just remember to change the settings back before you send your presentation to your boss or client.

Once you change how PowerPoint runs in Slide Show mode, it remains that way until you change it back to its default.

If you send your client a deck that runs differently than they expect, I guarantee they will send it back to you and tell you that PowerPoint is broken. This has happened to be a couple of times over the years, so that is a friendly reminder for you.

1. Open the Set Up Slide Show dialog box

To open the Set Up Slide Show dialog box, simply:

  • Click the Slide Show tab
  • Select the Set Up Slide Show command

You can also shortcut the process by holding the Shift key on your keyboard and clicking the Reading Pane icon at the bottom of your PowerPoint screen.

NOTE:  Once you have your two or more presentations setup to run as individual windows, you can use the Windows snap shortcuts to quickly arrange the windows on your screen. To learn how to use these Windows shortcuts and more,  read my guide here .

2. Select Browsed by an individual (window)

The goal of this step is to get your presentations to run in a resizable window as pictured below. This allows you to then run and resize as many presentations as you want on the same monitor.

To present multiple presentations at the same time like this, you need to change the default behavior from Presented by a speaker (full screen) to Browsed by an individual (window) .

In the Set Up Show dialog box, select Browsed by an individual window.

Once you’ve made the selection, click OK to return to the Normal View in PowerPoint.

3. Snap your two slide shows into place on your computer

In the image below, I’m using the Windows snap feature options at the top of my screen. To open these, simply click and drag your window to the top of your screen to display them.

After you have changed both of your PowerPoint presentations to run in individual windows, snap the two presentations into place, in the order you want them to display in. The easiest way to do this is to use the Windows snap features at the top of your screen. In this case, I’m using the side-by-side view.

As you do this, make sure you put the presentations in the order you want them to present in. In this case, I’ve put the English version of my presentation on the left, and the Chinese version on the right.

NOTE: You can alternatively start your slide shows first, and then snap them. Once your presentations are set to run as individual windows, is doesn’t matter which order you do this in.

4. Start your two slide shows individually

To start a PowerPoint presentation from the beginning, hit F5 on your keyboard.

Once your two presentations are set up the way you want them, all you need to do is start your presentations. The easiest way to do that is to hit F5 on your keyboard. To see alternative ways to start your presentations (including shortcuts), see my guide here .

Below is an example of two 16×9 presentations running side-by-side in slide show mode. My computer monitor is not large enough to show each Slide Show well in the 16:9 format, but you get the idea of how this works.

NOTE: There is no easy way to flip between the 4:3 and 16:9 slide sizes without messing up your presentation. To see why, see my slide size guide here .

NOTE: You can still use the PowerPoint laser pointer shortcut when running two presentations side-by-side. The laser pointer works, but only if you use its shortcut.

Advancing side-by-side slide shows

Now that you are running two or more presentations on the same monitor, your next question is going to be “Can I advance both presentations at the same time?”

Unfortunately, each slide show must be advanced on its own. There is no way to advance both PowerPoint presentations with the single click of your mouse. Instead, you need to click into each presentation individually and advance it.

NOTE: The number of Slide Show commands is limited when running two presentations at the same time. For example, you cannot draw on your PowerPoint slides , and can only use a limited number of commands in the right-click menu.

You are all set for doing international deals now! The next time you are pitching a client and your boss asked you to get two translations of your presentation running at the same time, you will know how to set it up using the Set Up Slide Show dialog box.

Just remember that when running presentations in an individual windows like this, there are a limited number of slide show commands you can use, and you need to advanced each presentation separately.

How to Merge Two or Multiple PowerPoint Presentations

If there are 2 or even more related PowerPoint presentations, and you want to merge them into one to make the presentation more informative, there’s a simple method to insert the slides from different files.

1. Open PowerPoint and create a new blank presentation.

2. Click Home > New Slide > Reuse Slides…

3. Hit Browse button on the Reuse Slides pane and choose Browse File… in the drop-down menu.

4. Find the PPT presentation you want on the computer and Open it.

6. Right-click any of the slides and choose Insert All Slides in the menu. Then all the slides from the selected file will be inserted to the presentation.

Before we start, kindly note that both presentations need to be in the same folder to link them together. Moving or renaming the second file after the link has been created will cause the slide to break.

Linking two presentations together is not magic, but it is as simple as inserting and clicking a hyperlink. This will allow you to insert a link within an object or text from presentation A that brings you to a specific slide of presentation B while still in presentation mode.

Once you have opened the first presentation and have navigated to the slide in which you will be linking. Then, select the text or object where you want to place the hyperlink.

If you have not already inserted an object, you can do the same by selecting any of the options in the “Images” or “Illustrations” group of the “Insert” tab. After that selecting the object you’d like to insert.

Once you have selected, head over to the “Links” group of the “Insert” tab and select “Action.”

Now you will be at the “Action Settings” menu. Now, select the “Hyperlink To” option. Once selected the option then, you will be able to open the drop-down menu underneath it. Do so, and then select “Other PowerPoint Presentation” option.

Once you select that option then, File Explorer (Windows) or Finder (macOS) will open. Now, select the presentation you would like to link to. Click the “OK” button.

Next, you will be greeted with a list of the slides from the presentation that you are linking to. Now select the slide that you would like to go to and then click “OK.”

Now you will notice the file path of the second presentation appears under the “Hyperlink To” box. Once you are ready then select the “OK” button.

After that, Your hyperlink gets inserted in the chosen text or object. To ensure it inserted correctly, you can hover your mouse over the text or object and then the file path will appear.

If you want to double-check that you pointed toward the correct presentation, just press the Ctrl key while clicking the link to follow it.

Now, when you play the PowerPoint in presentation mode, simply tap the hyperlinked text or object to give you a seamless transition from the first presentation to the second.

How to Link Multiple Slides in PowerPoint Presentations

From time to time, we may need to do a big presentation, which may need to get together different presentations at some point. By mixing presentations with PowerPoint, you will be able to get together a lot of information without getting everything mis-formatted. In this article, we will present how to link multiple presentations in one .

First of all we need to have a couple of presentations done, put them all in one directory.

Now go to Insert > Object > Create from file. Go to browse and look out for any of the other presentations you already have.

How to Link PowerPoint Presentations

Enable the “Link” checkbox and “Display as Icon” box. Then click “Ok” button.

Now, you will have a PowerPoint Icon in your presentation. When you click this Icon the new presentation will start, but if you want it to do automatically you just need to add an animation which starts with the previous one.

What are the Geneva Conventions and their Additional Protocols?

The Geneva Conventions and their Additional Protocols are international treaties that contain the most important rules limiting the barbarity of war. They protect people who do not take part in the fighting (civilians, medics, aid workers) and those who can no longer fight (wounded, sick and shipwrecked troops, prisoners of war).

The Geneva Conventions – one of humanity's most important accomplishments of the last century – turned 70 on 12 August 2019. It was an opportunity to celebrate all the lives the Conventions have helped save, determine what further work needs to be done and remind the world of the importance of protecting people from the worst of war.

The Geneva Conventions and their Additional Protocols are at the core of international humanitarian law , the body of international law that regulates the conduct of armed conflict and seeks to limit its effects. They specifically protect people who are not taking part in the hostilities, including civilians, health workers and aid workers, and those who are no longer participating, such as wounded, sick and shipwrecked soldiers and prisoners of war. The Conventions and their Protocols call for measures to be taken to prevent or put an end to all breaches. They contain stringent rules to deal with what are known as "grave breaches". Those who commit grave breaches must be pursued and tried or extradited, whatever their nationality. 

The ICRC has produced Commentaries on each of the Geneva Conventions and their Additional Protocols to promote better understanding of and respect for these vital treaties. They are currently being updated to incorporate developments in the application and interpretation of these treaties since their negotiation. The main aim of the updated Commentaries is to give people an understanding of the law as it is currently interpreted so that it can be applied effectively in today's armed conflicts. They are an essential tool for practitioners, reaffirming the continued relevance of the Conventions, generating respect for them and strengthening protection for people affected by armed conflict.
