This guide was created to help ph.d. students in engineering fields to design dissertation defense presentations. the guide provides 1) tips on how to effectively communicate research, and 2) full presentation examples from ph.d. graduates. the tips on designing effective slides are not restricted to dissertation defense presentations; they can be used in designing other types of presentations such as conference talks, qualification and proposal exams, and technical seminars., the tips and examples are used to help students to design effective presentation. the technical contents in all examples are subject to copyright, please do not replicate. , if you need help in designing your presentation, please contact julie chen ([email protected]) for individual consultation. .

Top 7 tips for your defense presentation

1. show why your study is important, remember, your audience is your committee members, researchers in other fields, and even the general public. you want to convince all of them why you deserve a ph.d. degree. you need to talk about why your study is important to the world. in the engineering field, you also need to talk about how your study is useful. try to discuss why current practice is problematic or not good enough, what needs to be solved, and what the potential benefits will be. , see how dr. posen and dr. malings explained the importance of their studies..

2. Emphasize YOUR contribution 

Having a ph.d. means that you have made some novel contributions to the grand field. this is about you and your research. you need to keep emphasizing your contributions throughout your presentation. after talking about what needs to be solved, try to focus on emphasizing the novelty of your work. what problems can be solved using your research outcomes what breakthroughs have you made to the field why are your methods and outcomes outstanding you need to incorporate answers to these questions in your presentation. , be clear what your contributions are in the introduction section; separate what was done by others and what was done by you. , 3. connect your projects into a whole piece of work, you might have been doing multiple projects that are not strongly connected. to figure out how to connect them into a whole piece, use visualizations such as flow charts to convince your audience. the two slides below are two examples. in the first slide, which was presented in the introduction section, the presenter used a flow diagram to show the connection between the three projects. in the second slide, the presenter used key figures and a unique color for each project to show the connection..

4. Tell a good story 

The committee members do not necessarily have the same background knowledge as you. plus, there could be researchers from other fields and even the general public in the room. you want to make sure all of your audience can understand as much as possible. focus on the big picture rather than technical details; make sure you use simple language to explain your methods and results. your committee has read your dissertation before your defense, but others have not. , dr. cook and dr. velibeyoglu did a good job explaining their research to everyone. the introduction sessions in their presentations are well designed for this purpose. .

5. Transition, transition, transition

Use transition slides to connect projects , it's a long presentation with different research projects. you want to use some sort of transition to remind your audience what you have been talking about and what is next. you may use a slide that is designed for this purpose throughout your presentation. , below are two examples. these slides were presented after the introduction section. the presenters used the same slides and highlighted the items for project one to indicate that they were moving on to the first project. throughout the presentation, they used these slides and highlighted different sections to indicate how these projects fit into the whole dissertation. .

You can also use some other indications on your slides, but remember not to make your slides too busy.  Below are two examples. In the first example, the presenter used chapter numbers to indicate what he was talking about. In the second example, the presenter used a progress bar with keywords for each chapter as the indicator.

Use transition sentences to connect slides 

Remember transition sentences are also important; use them to summarize what you have said and tell your audience what they will expect next. if you keep forgetting the transition sentence, write a note on your presentation. you can either write down a full sentence of what you want to say or some keywords., 6. be brief, put details in backup slides , you won't have time to explain all of the details. if your defense presentation is scheduled for 45 minutes, you can only spend around 10 minutes for each project - that's shorter than a normal research conference presentation focus on the big picture and leave details behind. you can put the details in your backup slides, so you might find them useful when your committee (and other members of the audience) ask questions regarding these details., 7. show your presentation to your advisor and colleagues, make sure to ask your advisor(s) for their comments. they might have a different view on what should be emphasized and what should be elaborated. , you also want to practice at least once in front of your colleagues. they can be your lab mates, people who work in your research group, and/or your friends. they do not have to be experts in your field. ask them to give you some feedback - their comments can be extremely helpful to improve your presentation. , below are some other tips and resources to design your defense presentation. .

Whether you’re pursuing a master’s degree or doctorate, it’s the final step to that much-deserved achievement. 

A thesis defense requires a lot of prior research and preparation. And as important as its content is, so is how you present it because a stunning design with clear data and text hierarchy plays an immense role in comprehension.

In this article, we’ll explore how you make your thesis defense .

The organization is the key to success. Establishing some previous steps before any project or work is essential for the result to be very positive. And the defense of a thesis could not be less. 

Below, we will develop all the necessary steps to make a thesis defense presentation and we will give you some tips on how to carry them out.

How to Make an Amazing Presentation

Defining the concept of your thesis presentation, structuring your thesis defense presentation, how do you welcome the audience, tell them why you did this thesis, go into the content by explaining your thesis part by part, how to end the defense of the thesis.

After a long time of research and study, the content of your thesis is ready. Now, you have to find the best way to reflect all that effort behind your work. The information comes across more clearly if you use a visual format, as it attracts the attention of the audience. To present your thesis information in a clear, concise, and ultimately amazing way, you can use one of our unique thesis defense templates , available at Slidesgo.

As an example, in this article, we are going to use the Ecology Thesis template . With it, we will show you what to include in your presentation and how to make an attractive design.

After choosing the Google Slides and PowerPoint template that best suits the needs and subject matter of your thesis, it is time to define an overarching concept.

This is the main theme on which your designs are based. It must be relevant to your thesis as its purpose is to guide your selection of colors, typography, images, style, etc. 

These must be portrayed in a way that supports the main message of your slides and should be aligned with your concept both visually and sociologically.

Once you have defined the concept, you will have to move on to the next step: structuring the content of your thesis. A good structure will show that there is a good organization behind the work, but most importantly: it will highlight your content.

In this article, we are going to show you a structure that could be a good example of how to structure a thesis, but you can adapt it to what your specific content requires.

Before you begin your thesis defense, you should welcome your audience. A good presentation will make you connect with your audience, which will result in more general interest in your work.

Use an appropriate language register (avoid informal language), but be approachable and natural.

"Welcome to the thesis defense on [the title of your thesis]". Next, introduce yourself with your name and give a short description of your background and occupation.

Don't forget to say “thank you for attending!”

To continue establishing that connection with your audience, explain the reasons that led you to do this thesis. Tell the professional reasons, and you can even say some personal ones, which will denote closeness, and your audience will appreciate it.

Now it's time to go into the content of the thesis ! After these preliminary steps, which are just as important as the thesis itself, it is time to explain part by part the structure (which you had previously established). We are going to propose a structure for your project, but the final decision is always yours!

First impressions are very important. Because your title page is the very first thing viewers see, it must be striking and impactful. It also sets the stage for the rest of your slides.

In one glance, the following should be established:

  • Thesis defense topic
  • Design style

For instance, the ecology thesis’s title page uses illustrations of a natural landscape to represent the topic of nature and a striking shade of blue to set the tone.

The sans serif font used depicts clean-cut typography and style and the thesis topic is written in large and bold typography, which draws attention to it immediately.

Right after your title page, include an introduction slide to provide more details about your topic. 

This means explaining what you hope to answer with your research, its importance to your field, and why you chose it.

Continue to incorporate design elements relevant to your concept. This example has done just that by using a different natural landscape and including animals. For coherence, stick to the same typography and style throughout your presentation.

The aim of the literature review slide is to illustrate your knowledge of your thesis topic and any relevant theories.

Walls of text kill a design. For clarity, we recommend presenting this with bullet points. Each one should be short and sweet and only touch on the basics; you can elaborate on them in your speech. 

Don’t forget to be consistent with your design. In our example, we’ve maintained the tone of blue chosen and added illustrations of leaves in the far corners of the slide. 

Also, address similar research that has been done. This is to showcase your topic’s originality and, if relevant, how it’s different and/or an improvement from previously done research.

This is one of the most important parts of a thesis defense presentation.

It allows your viewers to assess the rationality and validity of your approach and consequently, the accuracy of your results.

A great methodology slide explains the what , how, and why :

  • What method did you use for your research
  • Why did you choose it
  • How did you conduct it

Because this part of your thesis will be rather technical, the most effective way to aid understanding is by using graphics like charts and tables.

Keep text to a minimum to avoid drawing attention away from the graphics. If there is a text that must absolutely be included, consider using bullet points and keep them short.

Don’t forget to maintain color, style, and typography coherence.

The results slides are easily the most quantitative part of a thesis defense. 

Here, your aim is to simply introduce your findings. Select the most impactful data and highlight them here.

Just as with methodology, use graphics like charts, tables, and graphs to portray the data in a clear way. And, once again, try not to write too much text. Let the visual content do the talking .

After you’ve introduced your data, the next step would be to help your audience make sense of it. That means understanding what it means in the context of your thesis research topic and your discipline. 

Simply put, you should answer the question: What do the numbers mean?

The best way to approach this would be to do it as if you were creating an infographic . 

Illustrations like icons are a quick and simple way to represent your message. It also reduces the amount of text on your slide, which makes the information much more digestible. 

For a balanced thesis presentation, you should also address any outliers and anomalies.

To quote bestselling author Robin Sharma, “Starting strong is good. Finishing strong is epic.”

That’s exactly what to aim for in your conclusion.

Provide an overview of your thesis topic and remind your audience what you set out to answer with your research. In our example, we’ve used three icons accompanied by a short title and text.

Following that, reiterate the important points of your research results you want your audience to take away from your thesis defense presentation.

PhD Oral Defense Tips (You Need These)

When you first start your PhD, the required oral defense seems so far away. But then you blink and the time to defend is now !

This is the last step and the only thing standing between you and the title of “doctor.” Ya, baby!

So, what exactly is an oral defense?

After you hand in your dissertation (you know, that large paper you spent the last year pouring your blood, sweat and tears into), your committee will take time to review your work and then assign a date when you will go and “defend” your research.

A PhD oral defense is usually a day-long event where you give a public presentation and/ or a private presentation to some examiners. These examiners will be people from your University or from other universities.

You will spend your time presenting your findings, answering questions about your work and proving to your committee that you have a solid understanding of your field of study and focus area.

If you are in a PhD program, defending your dissertation is most likely the final requirement.

Know What They Are Looking For

Generally, by the time you get to your defense you have made any required, last minute edits to your paper. You have received feedback from your committee members and are prepared to present your final product and answer questions.

The exact format of your defense will depend on your university and the requirements of your grad school. So, make sure you check your grad school’s website and speak with your advisor to get as many details about necessities in order to prepare.

Find out if you need to put together a presentation to go along with your speech. If so, you can prepare presentation slides by using information from your first chapter to design an outline.

Substantive information from your dissertation should be included on your slides and correspond with the important aspects highlighted in your paper.

If you are still unsure of exactly what to expect, ask around- ask colleagues that have already successfully defended their dissertation, ask other committee members or see if you can sit in on someone else’s defense.

Gaining insight into the defense process and knowing what to expect can provide you with confidence and reassurance.

Be Honest with Yourself.

You’ve recently spent day in and day out working on your dissertation and you can probably cite all the literature used during your research, in your sleep. You are an expert on your topic and you’re passionate about your research.

However, you likely don’t know it all. And that’s ok!

One of the most nerve-wracking things about preparing for a defense is thinking about being asked a question that you can’t answer. While we can attend defenses, talk to colleagues, and practice over and over, there is no way to predict every question that the committee will ask.

Luckily for you, once upon a time, your committee was in your same shoes. They know there will be gaps in your knowledge. Your defense is not about being perfect. You aren’t expected to know everything. If you get asked a question and you don’t know the answer, it is ok to just say, “I don’t know.”

You can try to have them rephrase the question or ask for clarification if you aren’t quite sure, but chances are they have asked the question out of curiosity and may not even know the answer themselves.

It is completely acceptable to let them know you haven’t thought of that before but that you’d be happy to do a little more research to find the answer to their question.

Try to create discussions among the examiners. If the examiner asks you a question that you simply can’t answer, you can ask them for their input in what they would do in this circumstance. Show them that you have the ability to think as a scholar.

Be Prepared to Answer Questions

Since your paper has already been evaluated, the questions your committee asks are typically not designed to trick or stump you. Some committees may provide you with the questions before your defense in order to prepare, while others will wait until after you have finished your presentation to decide what to ask.

Questions are usually open-ended and revolve around the core content of your dissertation. They will require you to describe the reasons you chose your topic, summarize your findings and explain how your work will contribute to the current knowledge surrounding your topic. These questions are designed to allow you to show what you know, as well as to have you think critically about your work.

One question that I feel very certain you will be asked in one way or another is, “So what?” Now that you have completed this research and conducted your studies, what have you accomplished? What is your field of study gaining with the completion of your work?

Another question may be, “What’s next?”  They may want to see if your study has influenced your future plans or if this process has brought forward any areas of interest for future research.

You may be able to anticipate some of the other questions you’ll be asked by reviewing the work of your committee members. Then, take another look at your own dissertation through the lens of your committee, keeping in consideration their areas of expertise. You can also try to prepare for possible questions by sitting in other defenses with these committee members to get a better feel for what they will ask.

When you answer questions, don’t rush your responses. It is completely ok to take a few seconds to think before answering. They are looking for solid responses, not quick ones. Also, make your answers concise and to the point; state enough to show you have understanding without going all over the map.

Keep the Discussion Moving

PhDs (professors) have a tendency to be full of hot air and probably could ask a lot of questions. if you feel like they’re focusing too much on one particular area you can guide the conversation on to another topic by continuing forward with the discussion.

Designing an outline of your dissertation and starting your defense with a clear thesis statement can get the discussion off on the right foot.

Try to be crystal clear with your construct definitions and what you did in your study. Many of the questions will be focused on what you did or didn’t do in the limitations of what you chose to do. Understand that every study has limitations and that is okay.

Visual aids, such as PowerPoint presentations with bulleted lists and clearly labeled graphs, can accompany your talk and enhance the flow of your presentation. This will save you if you find yourself rambling or getting off topic; just look back to your current slide, refocus and move to the next.   

Just make sure that your presentation isn’t overloaded with too much text or too many graphics. Your slides should highlight the main points of your research, and include visual representations of data, or other important findings from your study. You may need to sacrifice details from your slides, and just work them into your conversation, if you feel they are vital in telling the story of your research.  

Also know that just reading off of your slides isn’t going to impress anyone. Even the most impressive visuals aren’t going to save you if you haven’t practiced what you are going to say.

The goal with the PhD oral defense is just to make sure that you are comfortable with doing research. It’s a lot like getting the blessing from your examiners, and other people that are going to be your peers, that you are capable of doing research.

It’s All About the Mindset

The biggest hurdle with the PhD oral defense is remembering to view it as a way to improve your thoughts. Your examiners are there to work with you not against you.

Don’t fear your committee. It may seem like they are out to get you once their questions and need for clarification begin, but don’t let that intimidate you. Your advisor or committee chair would not have let you submit your dissertation, or get this far, without thinking that you were ready for the defense.

Believe in yourself!

It’s best to enter your oral defense with a proactive and positive mindset.

If you begin to feel stressed or panicked, take a moment to think before formulating a response. Take a deep breath and remind yourself that you are there because you are an expert on your topic.

It’s impossible to completely anticipate how your committee will respond to your thoughts but taking the time to reread your dissertation and re-familiarize yourself with your work will make you better prepared and more at ease.

Also, getting in lots of practice and plenty of rest will help reduce stress levels, allow you to think more clearly, and be able to reply to questions in a satisfactory way.

Practice Makes Perfect (Better)

Once you submit your dissertation to your committee, most of the hard work is done. Now all that is left is to practice, practice, practice.

Don’t just write down your presentation plan or potential questions and responses; you need to practice saying it aloud. By speaking your thoughts, you will get more comfortable with the flow of your ideas and it will make it easier to identify areas that may need a little more focus.

It may feel silly presenting to an empty room, or to people that are unfamiliar with the process, but this practice will help rid some of the discomfort that comes with talking in front of an audience. You may also be able to get some feedback that will make your defense day even more successful. (Read this interesting blog post on how to get feedback on your writing).

Make sure to check if there are any time restrictions with your presentation so that you can prepare accordingly. You wouldn’t want to waste your time preparing for a two-hour defense when you only have thirty minutes, nor do you want to show up with only enough material for a short presentation when you need to fill a longer time-slot.

If there are time restrictions, this makes it even more imperative that you are practicing aloud and that you are timing yourself while you do it.  Run through your presentation several times so that you can get a solid feel for transitions and pacing.

Most likely, you will be nervous before your presentation and with nervousness, comes the inadvertent fast talking. Nerves can also cause logical thoughts to come out as long streams of babbling. So, try to also practice taking pauses and giving yourself time to process and breath.

Practice on your own and practice with an audience if possible. Practice your presentation on your best friend, your mirror, your dog, or whatever you have available.

As your defense date gets closer, you should be getting to the point where you can go through most of your presentation without your notes. The goal is to become so familiar with what you are going to say that everything comes out smooth and natural without making it appear that you have just memorized a speech.

Don’t Procrastinate

If there was ever a time to NOT procrastinate, that time is now.

You don’t want to wait until the last minute to start practicing. You need time to formally practice all aspects of your presentation, get feedback, and integrate any changes into your slides and your talk.

You need time to check out the room where you will be presenting and try out any of the equipment you may use on defense day. Decide if you’ll need a microphone, projector or any other technology. Take note of any tools that are available in that room and make your request to ensure they will be present for your big day. Depending on what is available already in the room, you may need to line up other resources to bring with you. You don’t want the added stress of trying to figure out logistics just minutes before you begin your presentation.

While you’re in this space, take the time to practice your presentation just as you would do it on the day of your defense. This will help you work out any kinks and gain more confidence for the real event.

You will also need a well-developed backup plan.

You won’t have time to run around on the morning of your defense trying to find another laptop or an extension cord. We know that even in the 21 st century, technology can be unpredictable. There is no guarantee that your presentation plan will actually unfold the way you have envisioned it.

It’s Defense Day- Now What?

You know your material inside and out; you have practiced in front of anyone that will listen, and your visual presentation is golden.

The day has finally arrived, and it is now time for you to present the work that has been such a huge part of your life for the past few years.

Dress the part and don’t forget your notes.   Both of these things will give you confidence and feel prepared.

On the day of your defense, make sure to arrive at least fifteen minutes before your defense is scheduled to begin. This will give you time to set up your presentation, do one last, quick run through and then try to calm your nerves.

Lastly, make sure to have printed handouts in case your technology fails, water for when your mouth goes dry from all the talking, and definitely have tissues for the tears of joy that come after you rock your presentation !

1. Don’t wait around.

One of the best things you can do for yourself when preparing your PhD dissertation defense is to start the work early. You won’t regret starting “too early” like you would regret starting the preparation too late in the game.

Swath and Dive: A pattern for PhD defense presentations

In recent times I’m having the fortune of seeing several of my own doctoral students approach the end of the doctoral journey (yes, it does end!). As they submit the dissertation and prepare for their defense, there is one piece of advice I find myself giving again and again, about how to tackle the impossible task of presenting multiple years of research work in less than one hour. In this post, I describe a “presentation design pattern” for thesis defenses, which builds upon classic conceptualization exercises advocated in the blog. I also illustrate it with an example from my own thesis defense presentation, more than ten years ago (gasp!).

I still vividly remember when I had to prepare my defense presentation, how I tried to shoehorn tons of concepts into an impossibly small number of slides… which still were too many for the 45-minute talk I was supposed to give at the defense. After several rehearsals (with an audience!) and lots of feedback from my colleagues and advisors, I finally stumbled upon a solution. Later on, I have found that a similar structure was also helpful to other doctoral students preparing their defenses.

The rest of the post takes the form of a presentation design pattern , i.e., a description of “a problem that occurs over and over again in our environment, and […] the core of the solution to that problem, in such a way that you can use this solution a million times over, without ever doing it the same way twice." 1 (a concept originally proposed in architecture, and later used in software engineering, pedagogy and many other fields). I have called this pattern Swath and Dive (for reasons that will become obvious in a minute).

The context: when is this pattern applicable?

When you have to prepare an oral presentation for a doctoral dissertation defense. This pattern is especially helpful if the research is a bit complicated (e.g., composed of multiple contributions , multiple studies, or using multiple research methods) and it is not obvious what contents to include/exclude from the presentation.

What is the problem? What forces are at play?

The main problem this pattern tries to solve is the seeming impossibility of showing 3+ years of research work in less than one hour. While time restrictions and structure for the defense are different in different countries, typically 25-60 minutes are allocated for the presentation. This limited time is a key force at play, but there are others as well:

  • The sheer volume of a thesis dissertation’s contents (typically, a 100-500 pages document), which itself is a condensation of years of hard research work.
  • Defending PhD students need to prove to the jury that they are now competent, independent researchers (i.e., they master the literature of their topic, are able to apply a research methodology and think critically about the results ).
  • The varying levels of expertise and familiarity of the jury members with the concrete thesis topic.
  • The varying levels of knowledge that jury members have of the dissertation materials (i.e., did they read the dissertation document in full? with what level of attention?). While all members are supposed to have read the document, in practice there is a lot of heterogeneity in compliance.

The typical end product of these forces is what I call the “skimming” approach to the defense presentation (see picture below): The presentation provides only a very high level overview of the main elements of the dissertation document (sort of like a table of contents). More often than not, too much time is spent in the introductory and related literature parts of the presentation (which are somehow “safe”, less likely to be criticized – another instance of avoidance at work in the PhD ), and time runs out when the student is getting to the really interesting part for the jury (the student’s own work). This approach of course has the critical flaw of not showcasing enough of the student’s own abilities and research outcomes.

How to avoid “skimming” your dissertation? Enter Swath and Dive .

The solution: Swath and Dive

What I propose in this pattern is to structure the presentation in a different way, a way that tries to balance the need for an overview of the dissertation and (at least some of) the richness of the investigation and the hard work the student has put behind it. The proposed structure goes like this:

A swath is “a long broad strip or belt” of grass, often left by a scythe or a lawnmower. In the context of a dissertation defense presentation, this is where the student gives the overview of the main elements of the thesis: key related scientific literature , main research questions , contributions to knowledge the dissertation makes, etc. Long-time readers of the blog will recognize these key elements as the components of the CQOCE diagram , one of the key reflection exercises in the “Happy PhD Toolkit” to (iteratively) understand and discuss with supervisors the overall view of the thesis. Aside from those key elements, probably some notes about the research methodology followed (which are not part of the canonical CQOCE diagram exercise) will also be needed.

In a sense, the Swath is not so different from the typical “skimming” mentioned above. There are several crucial differences, however: 1) when developing the Swath , we need to keep in mind that this is only a part (say, 50%) of the presentation time/length/slides; 2) the Swath should give equal importance to all its key elements (e.g., avoiding too much time on the literature context of the thesis, and making the necessary time for the student’s own research questions, contributions and studies); and 3) the Swath does not need to follow the chapter structure of the dissertation manuscript, rather focusing on the aforementioned key elements (although scattering pointers to the relevant chapters will help orient the jury members who read the dissertation).

Then, within this high-level Swath describing the dissertation, when we mention a particular contribution or study, it is time to do…

This part of the presentation is where the student selects one study or finding of the thesis and zooms in to describe the nitty-gritty details of the evidence the student gathered and analyzed (if it is empirical research), how that was done, and what findings came out of such analysis. The goal here is to help the audience trace at least one of those high-level, abstract elements, all the way down to (some) particular pieces of the raw data, the evidence used to form them.

How to select which part to Dive into? That is a bit up to the student and the particular dissertation. The student can select the main contribution of the dissertation, the most surprising finding, the largest or most impressive study within the work, or the coolest, most novel, or most difficult research method that was used during the dissertation process (e.g., to showcase how skillfully and systematically it was used). The student should give all the steps of the logic leading from low-level evidence to high-level elements – or as much as possible within the time constraints of the presentation (say, 30% of the total length/time/slides).

An essential coda: Limitations and Future Work

Although this didn’t make it to the title of the pattern, I believe it is crucially important to keep in mind another element in any good defense presentation: the limitations of the student’s research work, and the new avenues for research that the dissertation opens. These two areas are often neglected in crafting the defense presentation, maybe with a single slide just copy-pasting a few ideas from the dissertation manuscript (which were themselves hastily written when the student was exhausted and rushing to finish the whole thing). Yet, if the student convinced the jury of her basic research competence and knowledge during the Swath and Dive part, a big part of the jury questions and discussion will focus on these apparently trivial sections.

When doing the limitations, the student should gloss over the obvious (e.g., sample could have been bigger, there are questions about the generalizability of results) and think a bit deeper about alternative explanations that cannot be entirely ruled out, debatable aspects of the methodology followed… squeeze your brain (and ask your supervisors/colleagues) to brainstorm as many ideas as possible, and select the most juicy ones. For future work, also go beyond the obvious and think big : if someone gave you one million dollars (or 10 million!), what cool new studies could continue the path you opened? what new methods could be applied? what experts would you bring from other disciplines to understand the phenomenon from a different perspective? what other phenomena could be studied in the same way as you did this one? Try to close the presentation with a vision of the brighter future that this research might unleash upon the world.

Give a high level overview of the key elements of the dissertation and a deep dive into at least one interesting finding

Swath and Dive: a different way of structuring your defense presentation

To understand how this pattern could look like, I can point you to my own thesis defense presentation, which is still available online . This is not because the presentation is perfect in any way, or even a good example (viewing it today I find it overcomplicated, and people complained of motion sickness due to its fast pace and Prezi’s presentation metaphor of moving along an infinite canvas)… but at least it will give you a concrete idea of what I described in abstract terms above.

If you play the presentation , you will notice that the first few slides (frames 1-6) just lay out the main construct the dissertation focuses on (“orchestration”), the structure of the presentation and its mapping to dissertation chapters. Then, the bulk of the presentation (frames 7-117) goes over the main elements of the dissertation according to the CQOCE diagram , i.e., the Swath part of the pattern. Within this high-level view of the dissertation, I inserted a short detour on the research methodology followed (frames 25-28) and, more importantly, several Dives into specific findings and the evidence behind them (frames 43-48, 66-72, and 99-112). Then, frames 118-136 provide the conclusive coda that includes the future work (but not the limitations, which were peppered through the Swath part of the presentation – a dubious choice, if you ask me today).

Variations and related patterns

As you can see from the example above, one does not need to follow the canonical version of Swath and Dive (mine is rather Swath and Three Dives ). Yet, paraphrasing Alexander, that is the point of the pattern: to have the core of the idea, which you can use to produce a million different solutions, tailored to your particular context and subject matter.

It is also important to realize that this structuring pattern for thesis defense presentations does not invalidate (rather, complements) other advice on preparing scientific presentations 2 , 3 , 4 and thesis defenses more specifically 5 . It is all very sound advice! For instance, once you have the structure of your Swath and Dive defense presentation, you could use the NABC technique to ensure that the Need, Approach, Benefits and Competition of each of your knowledge contributions are adequately emphasized. And you can rehearse intensively, and with an audience able to come up with nasty questions. And so on…

Please submit this form at least three business days prior to the requested conference call date.  This form is used when the necessary approvals are in place to hold a conference call for one of the following: For Student and Committee Members  (sessions are recorded):

  • Proposal Oral Presentation - The Proposal Oral Presentation should only be scheduled  after committee approval of the proposal has been finalized .
  • Final Oral Presentation - The Final Oral Presentation should only be scheduled  after Form & Style approval has been finalized . When scheduling the Final Oral Presentation, the requested day/time should take place no sooner than the day following the Form & Style due date or date of return if completed before the due date.

Step 2: Ask for an outline

With the previously provided information, ask ChatGPT to generate an outline for your presentation. If some of the points listed in the output don’t convince you, then chat with the interface until you reach a final outline. Then, ask to elaborate on each specific point for information or cues you may have overlooked.

Step 3: Ask ChatGPT which content should you place per slide

Instead of debating how are you going to trim your thesis into a presentation format, ask ChatGPT to do the decision process for you. You can be as specific as asking how many words per slide, how many slides should the presentation have, if you need any visual element, etc.

N.B.: We don’t recommend using ChatGPT to retrieve academic references as, in some cases, it can provide faulty results. You can ask if any facts on this presentation need to be checked or similar questions. ChatGPT is a powerful tool, but it shouldn’t be considered a bible, so be extra cautious about grabbing content directly from its outputs.

1. Title Page

Tips During Your Oral Defense!

Review your materials.

Even if you already feel confident with your upcoming presentation, you still need to review your materials.

You can bring the hard copy of your thesis with you during the defense, but you don’t want to get lost in your presentation when you forget some specific details and have to scan your papers.

You should know your paper in and out.

Rehearse Your Presentation

It’s not wrong if it sounds like a script when you speak in your oral defense. It’s expected and understandable.

You need to practice your presentation, especially when there’s a time restriction given to every presenter.

You only need to prepare enough slides that would fit your time limit. A hundred slides aren’t suitable for a 15 to 20-minute presentation, nor 10 slides for an hour of defense.

8 Top Tips for Crushing Your PhD Oral Defense

Once you’ve submitted your PhD dissertation , most of the hard work is done. The one big thing standing between you and your shiny new doctorate is your oral dissertation defense .

The exact format this takes will depend on your grad school, but the general idea is that you present your thesis to a committee who have read your dissertation. The committee members then ask questions about your work , which you have to defend to prove your academic credentials. You may be asked to make revisions to your dissertation based on the discussion.

This might sound a bit like a scholastic Spanish Inquisition , but as long as you prepare thoroughly, your oral defense doesn’t have to be a stressful experience:

1. Ask Around

The first thing to do when preparing for your oral defense is to ask your PhD advisor what to expect and check your grad school’s requirements. You could also ask colleagues who have already completed their defense.

2. Practice Makes Perfect

If you get the chance, sit in on other people’s oral defense sessions. Even better, if you have some willing friends available, try practicing your defense presentation in front of them, including having them ask you questions.

3. Re-read Your Dissertation

You don’t have to memorize every detail, but re-familiarizing yourself with your work before your oral defense is definitely a good idea.

4. Arrive Early

On the day, make sure you know where and when your oral defense is scheduled to take place. Get there at least fifteen minutes early so you have time to set up and settle down.

5. Your Thesis Statement

Make sure you have a clear thesis statement to begin your presentation. This will usually include the problem you’re addressing, why it’s important and what your research has achieved.

6. Use Visual Aids

Having handouts or a PowerPoint slideshow to accompany your talk is pretty much standard these days and can enhance your presentation.

7. Don’t Fear the Committee

It’s easy to feel like the committee members are out to get you once the questions start flying, but try not to panic. It’s perfectly fine to ask for clarification if you’re unsure about something.

Likewise, be honest if you don’t have an immediate response; it’s far better to say you’d need to do more research before answering than it is to try and bluff your way through the conversation.

Similarly, don’t feel like you have to rush. Taking a moment to think before answering a question will help you to formulate a considered answer.

8. Believe in Yourself!

The most important thing to remember is that your advisor will not have let you submit your dissertation unless they thought it was a good piece of work. As such you have every reason to be confident, which will make your presentation more convincing. Try to dress smart too, as you want to make a good first impression.

Before you can start your thesis you must:

  • Complete all courses, exams, and research requirements
  • Meet with your advisory committee to ensure that everyone agrees that the work is ready to defend
  • Decide on a date for the defense
  • Inform your graduate administrator that you have started the process to prepare for your defense

A chair is appointed for each PhD oral defense to monitor and promote fairness and rigor in the conduct of the defense. To help eliminate pre-established judgments on the candidate’s work, the chair should be from a different program/department than the student. For more information about chair responsibilities, read the instructions for the chair .

You must identify a faculty member to serve as chair for your defense. The chair must be:

  • A current full-time faculty member at assistant professor rank or higher
  • Outside the department offering the degree program, or outside your advisor's department (interdisciplinary degree programs only)
  • Someone who has not had prior involvement in your research

The selection of the chair is subject to the approval of the department/program, th Arts, Sciences and Engineering dean of graduate education and postdoctoral affairs, and the University dean of graduate studies.

The chair must be physically present during the entire defense, including the public oral presentation (if applicable) and the questioning session. The chair is welcome to read and comment on the dissertation and/or the defense presentation, but this is not required. The chair does not need to be an expert in your research area.

It is your responsibility to get a copy of the final dissertation to the chair at least one week prior to the defense.

You should begin scheduling the actual defense date three months in advance to ensure that your advisor, committee members, and chair are able to be present and that rooms are available on the date and time selected.  

Defenses can be held on any day the University’s Graduate Studies Office is open (not weekends, evenings, holidays, or the days between Christmas and New Year’s). Check the  academic calendar  for important dates and deadlines.

Use the  PhD calendar  to determine the deadline dates for getting your paperwork to the Office of Graduate Education and Postdoctoral Affairs and department committee.

When all committee members and your chair agree to a specific date and time for the defense, inform your graduate administrator as soon as you possibly can, but no later than six weeks prior to your defense date . Your graduate administrator will advise you of any program-specific requirements for the defense as well as work with you to prepare for your thesis defense. They will also help you determine who will schedule the room for your thesis defense.

You should provide your committee members at least two weeks to read and comment on your dissertation before the date you need to register your dissertation.

Participating Via Video Conferencing

While you, your advisor, and the chair must all be physically present in the room for the defense, other committee members are allowed to participate in the defense remotely via Skype or other video conferencing technology so long as all committee members agree to the arrangement. This must also be approved by the AS&E dean of graduate education and postdoctoral affairs and the University dean of graduate studies before the dissertation is registered for defense.

Someone other than you and your committee must handle the IT setup and be on standby for any problems. If anyone involved finds that remote participation is interfering with the defense, he or she can request that the defense be rescheduled.

We strongly recommend that international students meet with an  International Services Office (ISO)  representative as soon as permission to start writing is granted. The ISO will provide information on visa options, documentation, and timelines for applying for a visa for employment in the United States.

You will register for one of the following categories while preparing your defense:

  • 999: Dissertation —Indicates the PhD student has completed all of the requirements for the degree except the dissertation and is in residence as a full-time student
  • 995 : Continuation of Enrollment —Indicates the PhD student has completed all of the requirements for the degree except the dissertation and is not in residence as a full-time student

The Preparing Your Doctoral Dissertation manual is a great resource to help you bring your dissertation up to the required standard of organization, appearance, and format for the University of Rochester. Before preparing the defense copy of your dissertation, check the contents of the manual carefully to help avoid mistakes that can be time-consuming and costly to correct.

Before beginning your dissertation, you should consult with your advisor for your department or program’s preferred style guide (APA, MLA, Chicago).

Including material produced by other authors in your dissertation can serve a legitimate research purpose, but you want to avoid copyright infringement in the process. For detailed instructions on avoiding copyright infringement, please see ProQuest’s  Copyright Guide .

The University requires that you provide copies of the dissertation to your committee members and exam chair. You should check with your committee members to see if they prefer printed or electronic copies (or both). Printed copies do not need to be printed on heavyweight, expensive paper unless there is the need to do so for figures and images. 

Printing and binding a dissertation can be expensive. You can use the Copy Center or FedEx Office to print and bind your dissertation.

In order to register your dissertation, you or your graduate administrator will need to create a record on the Graduate Studies PhD Completion website . This record will include:

  • Degree information
  • Past degrees
  • Contact information
  • The defense version of your dissertation as a PDF
  • Other relevant documents

The version of your dissertation attached to your online record is considered the registration copy.

When your PhD completion record is finalized, committee members will receive emails with links to access your record and approve your dissertation to progress to defense. You’ll need to provide copies of the dissertation identical to the registration copy to all members of your committee, including the chair, at least two weeks before the record is finalized. Everyone but the chair is required to comment or sign off on the dissertation before it is submitted.

There may be deadlines for registering your dissertation specific to your program. Consult with your graduate administrator to ascertain those deadlines and follow them carefully.

After all committee members have provided their approval, your thesis will be reviewed by your faculty director/department chair, the AS&E dean of graduate education and postdoctoral affairs, and the office of the University dean of graduate studies. When all of these officials have approved your committee and dissertation for defense, your dissertation is considered registered. You will be able to track these approvals in your online record and will receive a confirmation email when approvals are complete.

The GEPA Office and the AS&E dean of graduate education and postdoctoral affairs, as well as the University Graduate Studies Office, may make corrections to the PDF of your dissertation. This annotated copy of your dissertation, along with the original version, will be stored in the PhD completion website. You are not allow to distribute updated versions of your dissertation prior to the defense, but be sure to incorporate any corrections before uploading your final dissertation to ProQuest®. 

After the defense, if the committee has required major revisions to be approved by one or more of its members, it is your responsibility to provide them with the corrected final version for their approval.  They will be asked to submit written confirmation of that approval to the University Graduate Studies Office. Failure to do so could delay conferral of your degree.

After the defense, you will receive additional instructions by email for completion of all PhD degree requirements.

It is important to walk into the defense knowing that your committee wants you to pass. Even if criticism is harsh, it is meant to be constructive. The defense is not solely an opportunity for the committee to compliment and congratulate you for the work you have done. It is also meant to challenge you and force you to consider tough questions.

The Defense

The best way to prepare for your defense is to regularly attend the defenses of your colleagues throughout your graduate program, not just several weeks prior to your own defense.

You can also talk to people in your department who already defended to find out what their defenses were like. You should also speak with your advisor to get a sense of his/her specific expectations of a defense.

Guidelines for Presentations

Use PowerPoint or Other Software to Create Slides

You should prepare a presentation of the research that comprises the thesis. Your slides should encapsulate the work and focus on its most salient contributions. In preparing, ask yourself these questions: “What do I want people to know about my thesis? What is the most important information that I can present and talk about?”

Here are some basic tips:

  • Use text large enough to be read by the audience (especially text from figures)
  • Ensure graphics and tables are clear
  • Don’t clutter your slides—if necessary, have things come up on mouse clicks
  • Use spell check and proofread your slides
  • Practice your presentation with your peers
  • Work on pronunciation, if required
  • Time your presentation to ensure it will fit the allotted time while allowing time for questions

If your defense includes a public lecture, we recommended that you do a trial run a day or two before in the room that has been booked for your lecture. This will allow you to familiarize yourself with the space and the equipment and to address any problems that arise during the trial run. 

Plan your public lecture to allow enough time for questions. Present enough information so that the audience understands what you did, why you did it, what the implications are, and what your suggestions are for future research.

Friends and family are welcome to attend your public lecture. Faculty and students in the audience are given the opportunity to ask questions.

Plan to dress professionally for the defense in the same way you would if presenting a paper at a conference or for a job interview. You will be standing for a long time on the day of your defense. You might want to keep this in mind when selecting the shoes you will wear for your defense.

Essentials for your public lecture include:

  • Your presentation
  • A laser pointer
  • A copy of your dissertation
  • A pen or pencil
  • A bottle of water 

You will be asked to leave the room while your committee reviews your program of study, and decides whether:

  • The thesis is acceptable/not acceptable
  • Whether members will ask sequential questions or whether each member will be allotted a specific time period for questioning

The person to start the questioning is designated. You will be called back into the examining room and questioning will begin. After all questions have been addressed, you will be asked to leave the room while your committee decides the outcome of the exam. You will be asked to return to the room to be informed of the outcome by the chair of your exam committee.

  • Listen  to the entire question no matter how long it takes the faculty member or student to ask it (take notes if necessary).
  • Pause and think  about the question before answering.
  • Rephrase  the question.
  • Answer  the question to the best of your ability; if you do not know the answer, remain calm and say so in a professional way.
  • Remember  that no one will know the ins and outs of the thesis and your research materials as well as you.  You  are the foremost expert in the thesis topic and  YOU know the research involved. Be positive!

Possible outcomes include:

  • Acceptable with minor or no revisions (no further approval required)
  • Acceptable with major revisions in content or format (in this case, one or more committee members must be responsible for overseeing and approving the major revisions before the final copies are submitted)
  • Not acceptable

After the Defense

You can submit the final corrected copies of your dissertation as soon as you address any remaining comments that were brought up during the defense or noted in the registration copy of your dissertation, which will be returned to you usually within a few days before or after the defense. You can take up to one semester following the defense to address any comments, during which you can remain a full-time student. Your degree conferral date will depend on when you submit the final corrected copies of your dissertation.

The day after your defense, you will receive an email from the University dean of graduate studies that provides instructions on how to:

  • Submit the final corrected copies of your dissertation through ProQuest
  • Provide authorization for the release of your dissertation through UR Research
  • Complete a mandatory online exit survey
  • Verify to the University dean of graduate studies’ office that the dissertation has been submitted

The University of Rochester requires all doctoral candidates to deposit their dissertations for publication with ProQuest Dissertation Publishing and with the University libraries. Hard copies are not required. The library receives an electronic copy of the dissertation from ProQuest, but students must give the University permission to obtain it.

Once you have submitted your dissertation, you may be asked to do a defence of your dissertation. This could be in the form of an oral presentation, a poster presentation of your findings, or you could be invited to a viva voce. Vivas, as they are usually known, are particularly common for research degrees such as MPhils or PhDs and are essentially a verbal defence of your thesis that is conducted in an interview style format. At a minimum, the viva is a way of checking you authored the thesis yourself and understand the detail, but it is also an opportunity to discuss your research findings and interpretations in depth with experts. Preparation is key for defending your thesis in a viva or a presentation format. With a bit of groundwork, you could even enjoy the discussion, after all the thesis is the culmination of all your hard work, and no one knows it better than you.

Defense and Dissertation Overview

Once a student’s box is checked, the BPH student should set up a one-on-one “Defense Packet Meeting” with the BPH Associate Director to review the Defense and Dissertation Process, which includes reviewing all required materials, logistics, timing, FAS/Harvard Griffin GSAS Form of the Dissertation, sample forms, and to answer student questions related to these processes.

  • Defense Committee Chair: One member of the student’s DAC, often the DAC chair, is required to chair the oral defense. This required holdover from the DAC serves the purpose of providing insight to the examiners regarding the path the student has taken in completing the dissertation research. Their primary role is to assess committee satisfaction with the written dissertation, administer the exam, arbitrate any problems that may arise, and make final recommendations for completion of necessary corrections and additions to the dissertation. No other DAC members can serve on the defense committee .
  • At least one member must be a BPH faculty member, often from the same academic department.
  • One member of the examination committee must be from outside of Harvard University.
  • The fourth member may be from either BPH or another Harvard-affiliated program.
  • Co-authors and collaborators cannot be members of the Defense committee
DEFENSE TIMING AND FORMAT
  • Students should notify the BPH Program as far in advance as possible with the details of the exam. 
  • The student is required to notify the BPH office no later than 3 weeks in advance of the defense with the final dissertation title.
  • At least two weeks before the date of exam, defense members should be sent copies of the dissertation for review. A copy of the dissertation should also be sent to the BPH program.
  • If any defense committee member foresees problems with the exam, they should contact the chair of the defense committee in advance of the meeting. If major problems are found with the written document, the Committee can decide to postpone the oral defense until satisfactory changes are made. While rare in our program, these occasions can involve the insufficient or improper use of statistical methods, grossly overstated conclusions, insufficient background or discussion, or evidence of plagiarism.
  • More details about the timing and format are provided in the “Defense Packet Meeting” held with each student.

STIPEND GUIDELINES

If a student successfully defends the dissertation before the 15th of the month, the stipend will be terminated at the end of that month. If the student successfully defends on or after the 15th, the next month’s stipend will be the final month the student is paid, at the discretion of their advisor.

Students are encouraged to speak to their advisors directly about how they should be paid as they complete their graduate work. If an advisor wishes to pay the student for one additional month, beyond what has been explained above, the advisor must notify the department’s financial administrator. For administrative reasons, a stipend cannot be issued to a student after their graduation/degree conferral date.

ORAL DEFENSE PROCEDURES

Part 1: Public Seminar As part of the exam, the PhD candidate will present a public seminar followed by a private oral examination.  The public presentation lasts no longer than 1 hour, which includes time for the advisor’s introduction, the student’s oral presentation and acknowledgements, and time for audience questions and answers.  The Defense Committee is required to attend the public seminar; however, it is customary for members of the defense committee to hold their questions until the private oral exam.

Part 2: Private Oral Examination A private oral examination follows the public seminar.  Initially, the student will be asked to leave the room for several minutes, along with the dissertation advisor if the dissertation advisor has decided to remain for the private exam.  During this time, the committee will discuss the merits of the dissertation, any issues with the dissertation, and areas they may want to focus on during the oral exam.  The student (and advisor if present) is then asked back into the room for the exam.

Each member of the defense committee will direct questions to the candidate based on their review of the dissertation and presentation of the seminar. The Defense Chair will moderate the discussion between the panel and the student.  The closed defense takes up to two hours and involves detailed technical questions as well as broader questions on the conclusions, impact, and limitations of the research.  Dissertation advisors may be present, but they must not participate in the exam (e.g., answer questions posed by the committee).

At the end of the examination, the student (and advisor if present) is once again asked to step out of the room for several minutes.  The Committee will discuss any revisions needed for the thesis and whether these revisions need to be reviewed and by whom.  Once the committee determines the outcomes, the student will be asked back into the room and the Committee provides the student with any [minor] changes needed to the dissertation. While it is extremely rare for the student to fail at this stage, the committee will provide recommendations to the student on their research, communication skills, and development as a scientist, as well as delineating the required changes to the dissertation.

PREPARING FOR THE DEFENSE/WRITING THE DISSERTATION

Students preparing to write and defend their dissertation must review University requirements as outlined in “ Dissertations ” with guidelines published at the Graduate School of Arts and Sciences.

Students are also welcome to visit the BPH Student Lounge (Building 2, Room 113) to look at copies of previous BPH bound dissertations.

Writing the Dissertation Each student must write a comprehensive PhD dissertation on their research topic and the original results of their research. There are a variety of ways a dissertation can be composed, but the core elements described below must be included. The dissertation must show original treatment of the subject, contain a scholarly review of the pertinent literature, provide evidence of independent research of publishable quality, and be clearly, logically, and carefully written. In addition to a compendium of the student’s research, including detailed methods and results, the dissertation must contain a thoughtful discussion of the conclusions, impact, and limitations of the research. The completed work should be critically reviewed by the dissertation advisor before being submitted to the Dissertation Defense Committee.

In some cases, the student has done all of the work in the dissertation; more often portions of the dissertation result from collaborative research. In all dissertations containing collaborative results, the dissertation should indicate concisely who contributed to the work and how.  For example, a chapter containing multi-authored, published work must include a complete reference of the publication and a brief description of the candidate’s and the colleagues’ contributions. For work that is not published but which resulted from multiple researchers, the contributors must be named and respective attributions made clear. This policy allows stylistic flexibility; depending on the amount of collaborative work in the dissertation and the status of publication(s), the attributions can be, preferably, on or accompanying the cover page for each chapter or within an extended acknowledgements section at the end of each chapter. It is recommended that if figures or figure panels are included that are the work of others that the figure panels be clearly identified and the work properly attributed. It is permissible for more than one student to include work from the same collaboration or publication as long as the required attributions are clear, justified, and complete.

Individual chapters can be that of published articles as long as there are also comprehensive Introduction and Conclusion chapters written by the student. While the text can be the same, use of journal reprints as a chapter is not permissible. A word document of the published article must be used, and the pages in the dissertation must be consecutively numbered. Furthermore, the figures and accompanying figure legends must be integrated into the main body of each chapter, preferably following the first mention of the given figure, not clustered at the end of the chapter. Any dissertation that varies significantly from the Graduate School or FAS guidelines, or is not neat and readable, is subject to required stylistic revision before acceptance by the University. DEFENSE FORMS AND PAPERWORK

Dissertation Acceptance Certificate Before the examination, the BPH Program Office will provide the Defense Committee Chair with a copy of the official Dissertation Acceptance Certificate. This certificate must be signed by all readers of the dissertation at the end of the examination and returned to the BPH Program Office. This certificate will be scanned and sent to the student so it can be inserted as page one of the dissertation prior to the online submission. The student must submit the one original, official copy to the Registrar’s in Cambridge by the appropriate deadline.

If extensive corrections are to be made, the BPH Program Office will hold the certificate until the Defense Committee Chair, and/or assigned reviewer(s) provide a written notification to the BPH Program to confirm that the corrected work has been reviewed and approved.

Dissertation Defense Exam Report The Dissertation Defense Exam Report is completed by the members of the Dissertation Defense Committee to provide a record of any comments or recommendations they may have. The report must be signed by all members immediately after the private exam. The completed report must be submitted to the BPH Program Office at the same time as the Dissertation Acceptance Certificate.

Preparing for the Oral Defence

PhD candidates are required to take an oral exam called an Oral Defence (or Oral Defence in American English), which is often called a ‘Viva Voce’, or ‘Viva’ for short.

The purpose of the oral defence is for you to explain your study and its contribution to the field convincingly. You will need to cover the problem or question that prompted your research, the methods used, the findings and their implications, significance or application, and future directions.

This guide provides advice on the following areas of preparing and delivering an Oral Defence.

I'm Dr. Valerie Balester, I am the executive director of the University Writing Center. I am an English professor with a specialization in rhetoric and composition, in other words, in writing. I was thinking about it before today. I have been on at least 60 or probably 75 defences, and not all in English: in English, in education, in linguistics, and then also in engineering, in architecture.

We used to have somebody from outside of your home department, sitting on each dissertation defence, as what they call them: a graduate committee reviewer, to make sure that the process went smoothly. So I did that for many different areas. I think many in the sciences and engineering. So I'm very confident about the structure of a dissertation defence.

I'm wondering what you know about the structure of a dissertation defence. Anything that you know at all about it that you could tell me? What do you think happens in that little room? You go with your committee into a little conference room usually, right? Sometimes it's open to the public, and sometimes--I mean, technically it’s always open to the public--but whether you announce it to the public or not is going to determine whether people come or don't come, and in my department, in English, it's not customary for the public to ever attend. If it's open to the public, there is a point at which they will leave, and you will be sitting alone with your committee.

So, what you're doing here is you have to muster up all of your confidence now. This is about confidence. Okay? It's very important and you have to present yourself as a scholar in the discipline and authority on your subject. You have to show them what you have to offer as a scholar, and that's really what it's about. Nervousness is probably the biggest problem, but I’ve seen all of them work through it. I've never seen anyone fail, and have only seen one person ever fail a dissertation in all of those defences. Only one person didn't pass, so your odds, one out of sixty, your odds are good, you're going to pass. So go in there with that impression. The person who didn’t pass wasn't prepared and hadn't talked to his committee beforehand. So, you are most likely going to pass this.

You're going to be expected to clearly and cogently explain your work, and explain how your work fits in with your discipline. Where's your place in this big conversation that's going on in your discipline? What have you contributed to the field, because a dissertation is supposed to be an original contribution to knowledge. What have you contributed to the field? What more needs to be done? That's the kind of thing they're interested in.

So it's not really a grilling. And in your head I want you to turn it from a grilling, because really I’ve never seen when it is a grilling, and the word grilling means where they put you on the grill and cook you until you're finished. It means where they ask you this, this, this, tell me this, do you know this, do you know that, you know, where they just ask you lots of questions, like a big--it's usually not that, it's usually conversation among equals. They're trying to see if you can function as an equal with them now. It's their first opportunity to say you are now an equal, please come in and give me some information, but as an equal, I expect you to be able to explain your ideas, defend your ideas, tell me where your ideas fit in, because they expect it of each other. They're not asking you to do anything that they don't do with each other, and that's why you shouldn't worry. If they suddenly stop talking to you and start talking to each other--that's a good sign actually--that means that you have stimulated their brain. This is what these people live for, they're academics, and they like that.

Sometimes they get into arguments with each other. It's okay and your chair should gently bring that back. If your chair doesn't do it, just let it go, let it happen. If they disagree with you, they expect you to come back with a defence and that's where the word "defence" comes from.

So, you need to know what the rules are. Have a talk with your advisor, and find out. If you don't know now, you can talk to other students, but you definitely need to talk to your advisor a good while before the defence, and say, "I would like to know what to expect. Can you explain to me how defence happens in our department? What is the usual thing that happens? What do you want from me as your candidate?", and then know your committee as well. Sometimes when we work on a dissertation, we get isolated from our committee. Make sure that the committee gets the dissertation in plenty of time--that's something your advisor can tell you. If you give it to them two weeks before, they'll probably read it the night before, and then any objections they have they didn't have chance to tell you about. So if you can give it to them like a month before, even more, you can work that out with your advisor, but the sooner they get it, the more time they have to respond to it and to let you know before the defence, where are their areas of concern. If you go in then and meet with them, but you get your… I think you should get your committee chair’s advice and permission before you go meet with all your members. But when you do that, they even sometimes tell you what question they're going to ask you or maybe they'll give you a hint about what question, because they'll tell you: "What concerns me about your work is this," “what I like about your work is this," "I see this, but did you do that?". And then when they read it again, their minds are going to go back, and "oh we had a conversation, we talked about this, I’m gonna ask the question I'm going to ask". Because when I'm a committee member, and I'm sitting there on the hot spot and I have to ask an intelligent question, I'm gonna go back to what I remember most about your dissertation.

Now the first thing you should be able to do is answer the question: tell me about your dissertation. This will come in handy on the job market as well. So, in your head write a speech, just a brief speech, and you can break it up so that you're basically repeating what’s the information in your abstract. This is the question or problem that led me to research. This is the method I used, the way that I decided to, to deal with that (I should have added a method in here) this is what I found, and I put the thesis separate from here. Thesis is really, what is my hypothesis? This is the problem and this is what I think is gonna happen, then this is what I found happened. In the humanities, we're gonna call it a thesis, and in Sciences we might call it a hypothesis, but I had a question, here's how I thought it would be answered and here's how it actually was answered. And then, this is the significance of my work: how it can be applied, what it means for the profession, how it changes our theories, how it changes our practices, whatever the significance might be.

And don't forget to bring a copy of the dissertation with you to the meeting, because people will surely, usually the committee brings their own copy. Again, that's a thing you want to check within your own department: will they bring their copies, or do I have to provide copies for everybody? But usually they bring their own copies and they'll say: "on page 55, you said blank, blank, blank… explain it." Then you need to have page 55, so you need your own copy, minimum.

Try not to wait until the last minute. If it's not finished, say here's what I have so far. Just put a deadline date and say I don't have everything finished, but here's what I have so far. That gives them the opportunity to respond, and you'll know and they are gonna say, "oh, but you don't have this," and then you're working on it, so be ready to answer about it.

So you have to practice, just like the little girls doing ballet, you need to practice. So, write down, just so you have it in your head, how you would answer the question: tell me about your dissertation. And then practice it. Practice in front of a mirror, say it out loud. Don't memorize it, because you want to be agile. If somebody interrupts you, you want to remember where you are. You don't want to be just rote. You want to be able to say it even in a few different ways, but you want to be able to say that. You get so focused on what you're doing, you want to talk about the details and you forget that other people don't even know what question you're trying to answer. What brought you into the research interests people. What's the problem? How did you approach the problem? What did you think you were going to find? What did you find and what does all this mean?

Of course you want to dress for success, and you want to stay calm, and you want to smile. It's important not to be too serious. To show that you can do this and you can do this, remember the success rate is high. In some fields, it's optional to present, and in some fields it's always done.

First is prepare for technical difficulties. If I came in here today and this was not working, I have my handout, so I could use that. For yourself, if your slides are reminding you what to say, make notecards or make a copy of your slideshow, so you see every slide so you can follow along. Be ready for technical difficulties. It could be that you are in a room where there's never a failure, and the electricity goes out that day, and you have worked a month to get all these people into the same room at the same time--it's not easy to schedule a defence, because every professor has a different schedule and they are all very busy, so you're gonna have it even though the electricity is out. Okay? So, be ready.

Consider handouts. you don't want to give everybody lots and lots of handouts, just to give out handouts. Because you don't want them looking at the handout, you want them looking at you, you want them looking at your slides. So make sure your handouts are only used to present things that can't go on a slide, that can't fit on the slide, or things that you really want them to remember. maybe it's a photograph or an illustration. Maybe it's a chart or a graph, maybe it's a quote. But whatever it is, it should be things you want them to take away with them, to remember, to be very vivid or things that are hard to put on a slide.

Find out how long the presentation usually is. Typically, they're eight to ten minutes. In many cases you're going to need time for questions. In other cases, no, because you're just presenting to the committee and that's just what they're going to do. They're going to start with questions as soon it's over. So find that out from again from your advisor; ask how much time do I have to do the presentation? do I have a public audience? If I do have a public audience, how much time should I give them for questions? It's usually five minutes for questions approximately. So if they say you have ten minutes total, it's five to talk, five for the questions.

We have a handout in the Writing Center called "Designing Effective Presentation Slides" and it's under oral communications, so I suggest you look at that. You want to be sure you don't put too many words on the slide. Make sure your slides basically cover your main points, but that people are looking at you as much as they're looking at the slides. The slides help them if they lose their place. The slides emphasize your main points, but they should be listening to you, not just reading the slides. So, I recommend the handout "Designing Effective Presentation Slides." That will tell you how to divide your presentation, how to organize.

It's the same thing I told you to memorize: the problem or questions that led to your research, your methods for answering the question or solving the problem, your major findings, the implications, significance, or application of your findings. And add to that, your next step in your scholarly career. They'll be interested, if you don't say, they'll probably ask at least. They might want to know if you've applied for any jobs, but when I'm talking about your scholarly career, I'm talking about your research part: what will you research next? Will this dissertation lead to articles? Will it lead to a book? Will it lead to another grant? Another research program? So, where will this take you from here?

The chair will probably say, "okay, we are going to ask you to leave the room." They're just deciding what procedures will be followed, so everybody agrees on the procedures. If they're gonna be allowed to interrupt each other with a follow-up question, or they have to each wait their turn, that's all they're deciding now.

And the next thing they're gonna do is have you come back in and your chair will tell you, “okay this is what we're going to do: we're going to start with Dr. Balester--" and now Dr. Balester has to sound very smart, give a really good question, right? And sometimes in the process in her head, she is still forming the question. So she may ramble on a bit. That's why you have to listen. Listen, really focus, don't be thinking about what I'm going to say next, listen to what they're saying now. Because then, she's going, "well in chapter three, you did blah blah blah blah... And in chapter seven you said la la la la... And then there's a contradiction here, but I kind of think that if we bring in so and so scholar, this might resolve the contradiction and…" and she keeps going on and on. And you're like, “and you wanna know what? What is your question?” And she might say, "and what do you think of that?" So you have to be listening closely. Now you don't know what she said, so what do you do?

Ask her to clarify or repeat the question or you clarify, you say “I think I heard you ask… is that correct?" Okay, now what happens when you don't know the answer? So you have lots of options when you don't know the answer, but I came up with a few options. You asked me whether I think that this is a regular phenomenon. “I'm not sure, but I think...” So you don't have to go: "yes, it's a regular phenomenon”, “no, it's not a regular phenomenon." You can say "I'm not sure," but take a stab at the answer, try to answer. And let them see your thought process. That's what they're doing for you. They're letting you see their thought process when they're going on and on, so you do the same thing. They want to see that you can think. That's what they're looking for: can you think? “Is this a regular phenomenon?” “I don't know, but that question has interesting implications. For example, if I knew the climatic changes in August, then knowing that would help me do this." Keep yourself focused on your data. You are the expert on your data, on your project, on your ideas. You are the expert and they're actually trying to treat you like the expert. They want you to answer like the expert. They respect you, believe me.

There's never any perfect data, so the data are saying “man if I only could have done this”, so that's good to talk about. Be confident however. Say: "given the constraints I was working with, this was what I was able to do. But if I could do more, if, you know, this is my dream, if I could really have done this," or "in doing this, I learned a problem with this kind of data collection. Next time I'm gonna do it this way." Is it okay to just say I don't know? It's okay if you really don't know. This may be a little better. It's better to say I don't know than to fake it. The thing you don't wanna do is fake it. These are not people that will be fooled. So don't fake it at all.

Sometimes when they ask the questions and they're coming and coming, and you're trying to listen. You need a little time. You can slow things down. You can slow things down by pausing, take a breath, look at your notes, even state, "and you think this is a regular phenomenon?" “I need a little time to answer that, can I just have a minute to gather my thoughts?" They'll always say yes. Don't take three minutes, but just a few seconds. Maybe at that point, look down so that you're not distracted by them.

Focus, focus, okay? I can answer this question. Boost your confidence, and then go for it. Another thing is to ask them to repeat the question both when you don't understand the question and when you need a little time. Maybe you did understand it, but you just want to slow things down.

So if you have said something wrong or you realize that you started answering a new question, and suddenly "oh, I should have said that too." How do you handle that? Well it's a good idea to just admit it: "Oh, wait a minute I'm wrong about that, aren't I? I realized that just now." Just correct yourself. Or you can finish answering the question you're on, and then go: "May I also add something else? I realized that when you asked me this, I answered, but I could have said something more," and just go ahead and say it. So you have the opportunity and you have the right to say "I want to say something more I want to correct it. Thank you for that question, I wish I had thought of that earlier, that is a really good point.”

So at the end, they finish asking you questions. They ask you to leave again. Don't go too far, go outside, now you are really sweating. Remember the odds, you're going to come back in and they're going to say, "congratulations!"

“Now, we want you to rewrite the conclusion. However, you have passed, okay?" So, just remember it is very common that they will ask for revisions. They did for me, in fact, one of my committee member said: “Valerie, you know that conclusion just won't do." That's okay, because I managed to pass the defence part, they knew I knew what I was talking about, but they knew that my writing fell down in the hardest part. The conclusion is usually the hardest part where you have to think about the significance and fit it into the, all the literature that you've done. So it's very common for that part, or it could be that you have some tables that are not in the right format, or it could be something else they noticed that some problem they thought that you just did not quite capture. Sometimes you said something in the defence, but they want you to put into the dissertation. Usually when you come back into the room and they say you passed, but we want you to make the revisions, they expect your chair to keep notes, and he or she will actually make sure you make the revisions. However, you could also suggest at that point when they say “we're gonna need revisions”, you can ask them, “could you please summarize the major revisions you want for me to make so I can make some notes now?" Now, whether each committee member is going to have to see those changes or not will also depend on what they decide with your chair. Many times they decide that the chair will be responsible for making sure those revisions are made and they don't have to see it again. But you know they still have to sign your dissertation. So sometimes they'll sign it there if you take your title page in with you they will sign it right there, and sometimes they won't sign it until they see those revisions. So that's another reason, you go see your chair to find out how it's normally done.

At other times, everything is fine, they don't even want any revisions, and as I said, it's possible they will say you did not pass the defence. Knowing your material is extremely important. Don't go in there without having read your own work. You think you've read it, because you wrote it, but you haven't read it. Even if you finish writing it a week before, give yourself a little time, and read it again. Practice and knowledge of your topic will make you feel really confident and positive self-talk, remember who you are. You probably know more about this topic than anybody. I can guarantee you know more about this topic than anybody, even more than your advisor, okay? Because that's what a dissertation is: it's going farther than where your advisor can take you, you have to go rest of the way. So hopefully even though your advisor is going with you, and following behind, you really do know more if you stop. Think a lot before you get there, that's why you need the time to prepare it. Read your dissertation though.
