How to Write a Job Application Letter (Tips and Examples)

Do you have your heart set on a specific company but have never seen them post a single vacancy? And are you on the verge of giving up completely, and convinced you’re going to be jobless and broke for the rest of your life?
Well, don’t crumple your perfectly written résumé in a ball of paper just yet — there’s still hope for you!
All you need to do is write an awesome job application letter.
Application letters are a great way to get your foot in the door of a company that hasn’t advertised a position or when you’re applying for an academic program or an internship .

What is a job application letter/email?
Whereas cover letters are used when applying for a specific vacancy, and include details which are complementary to what’s on the applicant’s résumé, application letters are submitted when there is no job opening, and they tend to be more detailed.
Unlike cover letters, which usually span about one page, application letters can be twice as long.
How should you structure your letter?
The structure and formatting of your application letter is just as important as the words you use to sell your skills and enthusiasm for the job. The pointers below will help you deliver your message in a professional and effective way.
Sender’s address
Begin your letter with your address listed in the left-hand corner of the page. In the US, it’s acceptable to list your address in the right-hand corner. (Skip this step if you’re going to send your application via email.)
If you’re applying via email, create an email address for professional use if you haven’t already. This should include your first and last names or initials — no nicknames or years of birth! Two appropriate examples are [email protected] and [email protected] .
As with any official letter, include the date of your letter below your address.
Subject line
The subject of your email should make the manager want to read more and not automatically press the “Delete” button. It could be something like: “Social Media Expert with over 5 Years of Experience”.
Inside address
The company’s address should appear a few lines below your address and the date. Skip this if you’re sending an email.
As with any formal letter, you need to open with the correct formal salutation (such as “Dear Mr [surname]” or “Dear Ms [surname]”).
It’s also best to find out who the head of the department is, and address your letter directly to them to show that you’ve taken the time to really do your research. If you begin with “Dear Hiring Manager”, for example, you’re potentially destroying your chances of getting the job you’re applying for.
Opening paragraph
The opening paragraph should provide details on why you’re getting in touch.
Think about what you want to achieve with this letter before forming your answer. For example, you could say that it’s been a dream of yours to work for the company and that you feel that, given the chance, you’d love to bring new skills and ideas to the table. You can also highlight any qualifications you have here.
Middle paragraph(s)
This is where you will explain why you’re suitable for the position by listing skills you’ve developed through previous work experience . Remember that this shouldn’t be a word-for-word copy of your résumé; rather, you should use this as an opportunity to expand on notable achievements.
And make sure you tailor the content of your letter to the particular job title and company you’re applying to — you don’t want to ramble on about irrelevant details.
Final paragraph
Finally, focus on what you bring to the table and how the company can benefit from your skills and experience. If you have statistics and figures to back up your claims, even better!
For example, if you’re an experienced project manager, you could say how you want to showcase your leadership skills and help the company reach its desired turnover, and then back this up with statistics on how you did just that in previous positions.
You should close your letter with a call-to-action. For example, you could say something like: “I look forward to hearing back from you to discuss any possibilities”. And don’t forget to thank the reader for their time!
Your name and signature
If you’re sending this by snail mail, opt for a handwritten signature. If, on the other hand, you’re sending an email, simply write your name, followed by your contact information.
Most application letter templates (and formal letter templates in general) use the Times New Roman typeface at 12 points. Other recommended fonts include Arial, Georgia and Calibri.

When it’s time to write an application letter, bear the following points in mind to ensure that your document captures the hiring manager’s attention and successfully creates the impression that you’d make a good fit for their company.
1. Include bullet points
Bullet points can be used as an effective formatting tool when writing your application letter. They can demonstrate points clearly and concisely, as well as help with the overall layout, allowing for bite-sized, readable chunks of information.
2. Make sure the language you use is easy to read
You might be a literary wizard , but those long words won’t impress the hiring manager if they make your letter difficult to read.
3. Use positive language
Positivity is the way forward when it comes to selling your skills to a potential employer. Therefore, you should use positive words when explaining your previous work experience.
These words include “assisted”, “conducted”, “executed”, “proposed” and “recommended”, which (when used right) can demonstrate your contribution and dedication to your role and organization.
4. Be creative
Depending on the industry that you’re interested in, you can be a bit creative with your approach . This means that you don’t have to follow the conventional structure of a cover letter, and can instead adopt a more story-like approach.
Should you add any attachments?
Since application letters are not submitted in response to particular job ads, but rather serve as an inquiry into any unadvertised openings which may be available, they tend to be standalone documents. That is to say they are not typically accompanied by other files.
Whereas cover letters are concise, tailored to the job posting and accompanied by résumés, your letter of application will be a more extensive account of your skills and experiences.
That being said, if you’re applying for a creative position such as that of a video editor or blog writer, it makes sense to include a few samples of your work that best represent your talent and ability.

Dear Mr Cannon,
I have long been following your company’s growth and progress, being extremely passionate about clean, renewable energy. I remember coming across XYZ Renewables back in the early 2000s, when it was still in its early startup stages, and I admire how your leadership has grown the company since.
Having gained extensive experience as a solar consultant over the last decade, I have kept an eye out for any job opportunities with XYZ Renewables. This is why I am writing to you today: to express a keen interest in working with you in the future, should any solar consultation vacancies become available at your company.
In my current role at ABC Energies, I train new hires in advising and liaising with clients, as well as in designing and installing solar systems that cater to the needs and budget of our clients. During my final year at Arts College, I produced a screenplay for a short film, and found that setting up the scene and creating a whole new world in words was far more fascinating to me than trying to recreate it by moving around and rendering pixels on a screen. I received the highest mark out of everyone on my course for that piece of writing; and that was followed by my screenwriting professor’s recommendation: the way he spoke about AB University’s history and faculty removed any sort of doubt from my mind. It all became clear: this was to be my new path.

While we can provide a cover letter template to serve as a skeleton for your writing, you’ll need to flesh out your work with important details that are relevant to you, your experiences, and the prospective job at hand. As you begin drafting these details, it’s important to remember a few essential moves that are crucial as you learn how to write a cover letter:
1) Do your research
Before you send a cover letter to an employer, it’s imperative that you have a thorough understanding of the position you’re applying for , the job’s expectations and requirements, your future role within the hierarchy of the workplace, and the overall company culture. How long should a cover letter be? In most cases, a cover letter should not exceed one page of single-spaced writing (about 250 to 400 words, max). Remember that your prospective employer may be reading dozens of cover letters. He or she will probably not have the time nor inclination to read an unnecessarily long cover letter.
9) Finish on a promising note
As you consider how to end a cover letter, it’s important to focus on positivity and continuing dialogue with your prospective employer. Gesture toward future communication with closings like, “I look forward to your response,” or “I look forward to sharing more with you about my previous experience and qualifications for this position.”

From the start, applying for a job online requires four basic elements: a digitized version of your resume and cover letter , a professional email address, a good internet connection, and a handful of patience. Below we lay out essential tips for each step of the application process.
1. Write an ATS-friendly resume
Most companies use applicant tracking systems to filter candidates from online applications. This type of software quickly sorts and scans resumes to find the best “match” to a predetermined role. That's why writing an ATS-friendly resume is the first step in applying for jobs online—if your resume is not a match, it might not get selected. But how do you do it?
Simply put, your resume should be tailored to the specific role you're applying for and have keywords from the job description. Keywords in job descriptions include skills, experience, certifications, and education. For instance, “time management,” “HTML, C, and Java,” and “B.S in Computer Science” are often key requirements and terms used in software development job postings. Unless the employer asks for a creative resume, always use a simple and minimalist resume template with one column, standard fonts, and font sizes (for example, Arial 11), and no graph elements to make it easier to be scanned.
2. Have two versions of your resume
If you have a diverse professional background and are applying for different types of positions, you should have two versions of your resume, properly formatted for each role. This makes the online application process faster and easier, as you won't have to redo the whole thing at every new submission, only minor adjustments.
3. Keep your LinkedIn profile updated

4. Have a basic cover letter draft ready
Some companies ask for cover letters, others don't. To save time, always have a basic cover letter drafted and update it to match the jobs you're applying for. As with resumes, if you're applying for two (or more) different roles, consider having two cover letter versions ready to go. 5. Use search engines to find open jobs
Most, if not all, companies post open positions on search engine websites—which include traditional job listing platforms and LinkedIn. You can leverage this by searching for specific keywords related to the job you want and selecting companies to submit an application.

Usually, those websites have a profile page—similar to LinkedIn—that you have to fill up with the following information:
- Certifications
- Awards and recognitions
Some will allow you to register with LinkedIn and autofill the information, which facilitates the process. 8. Be prepared to do employment tests
Online applications in job listing sites often come with employment tests, also known as talent assessment tests, that you have to complete as part of your candidacy. Not doing the tests, when they're mandatory, will automatically disqualify you.

This 0.25 GSI position assists with coordinating the fieldwork portion of the course for all sections by working with community partner agencies, arranging individual student placements, coordinating transportation for students to site visits, monitoring student progress on sites, and serving as the site liaison between the community partners and students throughout the term.
With the faculty director, the site coordinator GSI works in advance of the term to set up placements at each partnering agency for volunteering shifts. They also begin working with students as soon as enrollment occurs to prepare them for requirements at site placements and transportation planning. Workload: GSI effort in Psych 306/Psych 211 is heavily front loaded, requiring advance planning to set up and match students to placement sites, requirements, and transportation in advance of the start of the term. Effort in planning and establishing individual student placements falls mainly in the first month of the term. Once students are launched on sites, the workload during the term is lighter, centering on monitoring and supervising student success in their placements. Management activities are conducted collaboratively with the instructor and coordinated with the section GSIs, including attending initial section meetings on Tuesday ( D evelopment), Wednesday (me n tal wellness), or Thursday (health) from 5 to 6 pm. for the first month of the term. The GSI must be available for instructional team meetings (likely Mondays 3:30 - 5 pm) throughout the term to coordinate with the teaching team. The GSI maintains records from sites and provides posted information to students on Canvas, responds to student and site emails within 24 hrs on weekdays, and consults with the instructor and teaching team as needed/desired.
REQUIRED TRAININGS - There are trainings required each term for Psychology GSIs, new and returning, as listed below. It is your responsibility to plan your travel and other responsibilities around these training sessions.
All students hired as Psychology GSIs are required to take U of M's Family Educational Rights and Privacy Act (FERPA) Online Training Module, RO 100: FERPA, through My Linc. This only needs to be taken once.
ALL FIRST-TIME GSIs are required to attend each of the following trainings: 1. Psychology Department New GSI Orientation: Wednesday, August 21, 2024- 9am-2pm in EHB247. 2. DPSS Training - TBA 3. Center for Research on Learning and Teaching GSI Orientation (CRLT GSITO): Canvas course with required asynchronous and synchronous components. Opens August 2024 (exact dates TBA). NOTE: If you previously GSI'd in another department at U of M and already attended the CRLT GSITO, you do not have to attend again).
ALL RETURNING GSIs, who have taught for the Psych Dept. in a PRIOR Term: 1. DPSS Training - TBA 2. It is recommended returning Psych GSIs attend a CRLT Seminar during the Fall 2024 term. Seminars will be listed on the CRLT website closer to the start of the term - http://www.crlt.umich.edu/events .
Required Qualifications*
Applicant must be a graduate student in good standing at the University of Michigan. Applicant must not have exceeded the College's Ten Term Rule.
Graduate students hired as GSIs (0.5 or higher appointment) for a Psychology course should not hold another 0.5 appointment (GSI/GSRA/Staff) during the same term.
Students who did not attend an English-speaking undergraduate institution must be evaluated by the English Language Institute (ELI) for English proficiency and either pass the GSI-OET, or have this test waived by the ELI before they can be eligible for a GSI Appointment in LSA.
Desired Qualifications*
Strong project management, communication, and organization skills are required. This GSI must be available and responsive to emergent situations throughout the school week for placement sites, students, and the teaching team. Experience managing field placements, such as preschools, healthcare settings, or psychoeducational programs, is required. The GSI must also be familiar with logistical planning, community-based experiential learning, and with the local Ann Arbor and Ypsilanti area.
Previous GSI experience with favorable student evaluations. LSA student enrolled in a graduate program.

Decision Making Process
Faculty review applications and note their preferences and indicate any applicants deemed unqualified. Psychology will make reasonable efforts to extend an offer to the successful applicant by 8/21/24.
Selection Process
Faculty recommendations, relevance to graduate training and academic preparation for teaching the course are considered. Psychology Ph. D graduate students will have priority in placement.

How to apply for 15 hours free childcare for parents of 9-month- olds
Since April, eligible working parents of 2-year-olds have been able to access 15 hours of childcare support as part of the expansion of childcare in England.
This comes on top of the pre-existing offer for eligible working parents of 3- and 4-year-olds, who can access 30 hours of government-funded childcare by combining the universal 15 hours, which is available to all families, with a further 15-hour entitlement for working parents.
From September 2024 , 15 hours of childcare support will be extended to eligible working parents with a child from age 9-months-old. Applications are now open – more on this below.
It's worth noting that some providers may charge for extra services, such as providing lunch and nappies in addition to the government funded childcare. Visit childcarechoices.gov.uk for further information.
We recommend that everyone who is seeking a childcare place for September 2024 and has not yet done so, speaks to their chosen provider and applies for a code as soon as possible.
It may be difficult at this stage to secure your first-place provider. If you are struggling to find a place you should contact your local authority, who will be able to help source a local provider offering the entitlements.
When can I apply and how do I get my code?
Applications are open for eligible working parents whose children will be aged at least 9-months-old on or before 31 August, to receive 15 hours childcare starting from September.
This can be combined with the universal 15 hours to make 30 hours childcare when your child turns 3 or 4.
When you apply, you’ll receive a code to give to your childcare provider.
It’s important to remember that codes need to be renewed every three months . To do this, you’ll need to remember to login to your childcare account to check when your reconfirmation dates are, so that you can renew your code on time. If you don’t renew it on time, you will need to reapply.
You can claim your place the term after your child turns the relevant age. This gives local authorities and childcare providers enough time to prepare.
There is no limit on the number of codes available. However, if you’re applying for childcare to start in September 2024, we recommend that you reach out to your preferred provider now to check when they will need your code.
How do I apply?
You apply online here on gov.uk once you have checked our eligibility criteria .
You’ll need to make sure you have the following information to hand before starting the application:
- your national insurance number (or unique taxpayer reference if you are self-employed)
- the date you started or are due to start work
- details of any government support or benefits you receive
- the UK birth certificate reference number (if you have one) for your child.
You may find out if you’re eligible straight away, but it can take up to 7 days.
Once your application has been approved, you’ll get a code to give to your childcare provider.
Eligible parents are also able to access Tax-Free Childcare through the same application system. You can apply for Tax-Free Childcare at any time. However, you don't need to apply for Tax-Free Childcare to be eligible to apply for the 15 hours childcare scheme.
Can I apply for government-funded childcare if I’m on parental leave?
Yes, you can.
If you’re applying for childcare for an older child, who is not the reason for your parental leave, you can continue to apply in the usual way.
For parents applying for funded childcare for the child who is the reason for your parental leave, you can apply for a childcare code at the same time as everyone else as long as you plan to return to work from parental leave or start a new job by the end of September 2024.
Parents on parental leave will need to apply online. They may be told their application is ‘pending’ if it is more than 31 days before they return to work, but they will still receive a letter in the post within 1 to 2 weeks so they can access their childcare entitlement.
Parents starting new work before 30 September can call HMRC on 0300 123 4097 to receive a code.
What if I’m on parental leave and returning to work after 1 October 2024?
Parents who plan to start or return to work between 1 October 2024 and 31 January 2025 will be able to apply for a code from 1 September 2024 to use from 1 January 2025.
After 1 October 2024, the following dates will apply:
1 October to 31 January | 1 September to 31 December | 1 January |
1 February to 30 April | 1 January to 31 March | 1 April |
1 May to 30 September | 1 April to 31 August | 1 September |
It is important to remember that if you are applying for childcare for an older child, who is not the reason for your parental leave, you can apply regardless of your return-to-work date.
What happens once I receive my code?
Once you receive your code, you’ll need to take it to your childcare provider, along with your National Insurance number and your child’s date of birth.
Your childcare provider will process the code to provide your place.
Your local authority can provide support for finding a government-funded place in your area. You can find out who your local authority is here .
If I receive a code in a letter from HMRC, does this make my code on my Childcare Account invalid?
No. Both codes will be valid.
If you have two codes, one from your letter beginning with 11 and one from the website beginning with 50, please give your provider the code from the website, as this is the permanent digital code for your child.
If you only have one code (beginning with 11) then you can use this code to start using your government-funded hours.
Please remember that once your reconfirmation window opens, you will still need to reconfirm your eligibility through your Childcare Account and share the digital code you receive with your provider.
Do I need to wait for my reconfirmation window to add another child to my account?
A parent who is already using the childcare service for another child can add a new child to their account at any time.
Your reconfirmation cycle for your current Tax-Free Childcare won’t affect this.
What happens if I’m using an entitlement for my 2-year-old when they become 3?
Parents are able to access the universal 15 hours childcare support from the term after the child’s third birthday through to when they start school.
If your child is accessing the 15 hours entitlement for 2-year-olds and you remain eligible, your child will automatically be moved onto 30 hours (universal 15 hours + 15 hours for working parents) from the term after your child turns 3.
You will just need to keep reconfirming your code as normal, and it will become usable to claim 30 hours.
You should also speak to your provider to let them know you intend to take up 30 hours.
If you are accessing disadvantaged entitlement childcare for, you will also able to access the universal entitlement from the term after your child turns 3.
