Graduate Assistant Cover Letter Writing Guide

A Graduate Assistant is a student who holds a position at a university or college to assist faculty members, researchers, or administrative staff in various teaching, research, or administrative work tasks. Their primary role is to support and aid in the smooth functioning of academic or administrative departments. Graduate Assistants may be involved in tasks such as conducting research, grading assignments, assisting with class preparation, coordinating events, managing administrative duties, or providing support in laboratory settings.

When writing a cover letter for a Graduate Assistant position, it is important to focus on several key aspects. Firstly, highlight your academic achievements and qualifications. Graduate Assistants are typically enrolled in a graduate program, pursuing a master’s or doctoral degree in a specific field. Discuss your area of study, any relevant coursework, and any specialized skills or knowledge you have acquired during your academic journey.

Secondly, emphasize your relevant experiences and skills. Graduate Assistants often assist in teaching or research, so discuss any previous teaching or research experiences, your ability to work with students or faculty, and your proficiency in conducting academic or laboratory tasks.

In the next paragraph, showcase your passion for learning and dedication to contributing to the university’s academic community. Discuss your interest in the specific department or area where you are applying for the Graduate Assistant position, and explain how your skills and knowledge align with the department’s goals and activities.

Lastly, convey your strong work ethic and ability to multitask. Graduate Assistants are often required to juggle various responsibilities, so discuss your organizational skills, time management abilities, and willingness to take on new challenges and responsibilities.

Remember to tailor your cover letter to the specific department or position you are applying to. Research the department’s ongoing projects, faculty members, and relevant activities or events. Incorporate this information into your cover letter to demonstrate your understanding of their needs and your enthusiasm about contributing as a Graduate Assistant.

By focusing on your academic achievements and qualifications, relevant experiences and skills, passion for learning, and strong work ethic, you can craft a compelling cover letter highlighting your suitability for a Graduate Assistant position.

How to write a Graduate cover letter

Here’s how to write your own winning Graduate cover letter

How to write a cover letter

Write your cover letter in the body of an email/message

When writing your Graduate cover letter, it’s best to type the content into the body of your email (or the job site messaging system) and not to attach the cover letter as a separate document.

This ensures that your cover letter gets seen as soon as a recruiter or employer opens your message.

If you attach the cover letter as a document, you’re making the reader go through an unnecessary step of opening the document before reading it.

If it’s in the body of the message itself, it will be seen instantly, which hugely increases the chances of it being read.

Write cover letter in body of email

Start with a friendly greeting

Cover letter address

To kick your cover letter off, start with a friendly greeting to build rapport with the recruiter instantly.

Your greeting should be personable but professional. Not too casual, but not too formal either

Go with something like…

  • Hi [insert recruiter name]
  • Hi [insert department/team name]

Avoid old-fashioned greetings like “Dear sir/madam ” unless applying to very formal companies.

How to find the contact’s name?

Addressing the recruitment contact by name is an excellent way to start building a strong relationship. If it is not listed in the job advert, try these methods to find it.

  • Check out the company website and look at their  About page. If you see a hiring manager, HR person or internal recruiter, use their name. You could also try to figure out who would be your manager in the role and use their name.
  • Head to LinkedIn , search for the company and scan through the list of employees. Most professionals are on LinkedIn these days, so this is a good bet.

Identify the role you are applying for

Once you’ve opened up the cover letter with a warm greeting to start building a relationship, it is time to identify which role you want to apply for.

Recruiters are often managing multiple vacancies, so you need to ensure you apply to the correct one.

Be very specific and use a reference number if you can find one.

  • I am interested in applying for the position of *Graduate position* with your company.
  • I would like to apply for the role of Sales assistant (Ref: 406f57393)
  • I would like to express my interest in the customer service vacancy within your retail department
  • I saw your advert for a junior project manager on Reed and would like to apply for the role.

Highlight your suitability

The sole objective of your cover letter is to motivate recruiters into to opening your CV. And you achieve this by quickly explaining your suitability to the roles you are applying for.

Take a look at the job descriptions you are applying to, and make note of the most important skills and qualifications being asked for.

Then, when crafting your cover letter, make your suitability the central focus.

Explain why you are the best qualified candidate, and why you are so well suited to carry out the job.

This will give recruiters all the encouragement they need to open your CV and consider you for the job.

Cover letter tips

Keep it short and sharp

A good cover letter is short and sharp, getting to the point quickly with just enough information to grab the attention of recruiters.

Ideally your cover letter should be around 4-8 sentences long – anything longer will risk losing the attention of time-strapped recruiters and hiring managers .

Essentially you need to include just enough information to persuade the reader to open up your CV, where the in-depth details will sit.

Sign off professionally

To round of your CV, you should sign off with a professional signature.

This will give your cover letter a slick appearance and also give the recruiter all of the necessary contact information they need to get in touch with you.

The information to add should include:

  • A friendly sign off – e.g. “Kindest regards”
  • Your full name
  • Phone number (one you can answer quickly)
  • Email address
  • Profession title
  • Professional social network –  e.g. LinkedIn

Here is an example signature;

Warm regards,

Jill North IT Project Manager 078837437373 [email protected] LinkedIn

Quick tip: To save yourself from having to write your signature every time you send a job application, you can save it within your email drafts, or on a separate documents that you could copy in.

What to include in your Graduate cover letter

Here’s what kind of content you should include in your Graduate cover letter…

The exact info will obviously depend on your industry and experience level, but these are the essentials.

  • Your relevant experience – Where have you worked and what type of jobs have you held?
  • Your qualifications – Let recruiters know about your highest level of qualification to show them you have the credentials for the job.
  • The impact you have made – Show how your actions have made a positive impact on previous employers; perhaps you’ve saved them money or helped them to acquire new customers?
  • Your reasons for moving – Hiring managers will want to know why you are leaving your current or previous role, so give them a brief explanation.
  • Your availability – When can you start a new job ? Recruiters will want to know how soon they can get you on board.

Don’t forget to tailor these points to the requirements of the job advert for best results.

How to Write an Excellent Research Assistant Cover Letter

Salesperson pops out of computer screen to depict outselling the competition with sales cover letter

Once you’ve captured the attention of recruiters or professors with your research assistant resume , the next step is to seal the deal with an excellent cover letter. Make sure your cover letter matches the job description but adds a personal flair that goes beyond mere keywords.

Use your cover letter to highlight your passion for your field, your experience in research and data analysis, and, most of all, your excitement at joining that particular company or institution.

Tailoring your cover letter to match the job is a good way to show dedication and the ability to draw useful insights based on a limited amount of information. As both of those qualities are crucial for a research assistant, it’s a good way to impress the reader.

cover letter graduate assistant

Write an intro that hooks the reader

If you want to prove that you’re a skilled researcher right off the bat, impress the recipient by addressing them by name.

This might be easier if you’re applying for a position within your college, as you likely already have connections and may be addressing a professor or another faculty member. However, it’s just as important to do if you’re applying for a job, so be ready to do some digging.

Use the first paragraph of your cover letter to show that you’re familiar not just with the intricacies of your field, but also with the company you’re applying to.

Lastly, make sure to paint yourself as an expert from the get-go. For example, if you’re applying for a role in clinical research, mention your in-depth knowledge of medical studies and how you want to leverage it in a way that aligns with the company’s values.

The following opener fails to tick the boxes we’ve talked about above—it’s not at all personalized.

Better not!

I saw your job listing online and I want to apply for this position. I’m looking for any role that is hiring right away.

Now, the below example is what you want to aim for. It showcases an interest and expertise in a relevant field, and most of all, it explains why they chose this job and not any other.

cover letter graduate assistant

Elaborate on your expertise in the body paragraphs

Research assistant jobs vary wildly, so use this part of your cover letter to show that you know what you’re about in your chosen field of study.

Pick the things you’re most proud of for this. It’s okay if you don’t have professional experience yet—talk about your projects and academic background to give employers some insight into your level of knowledge.

Pepper in some useful metrics to make this section stand out even more. For instance, if you’re applying to a role that heavily prioritizes managing and collecting data, talk about how you’ve already analyzed over 50,000 entries in Python to identify crucial patterns, streamlining the process by 39%.

That sounds impressive!

cover letter graduate assistant

End on a strong note with a closer and signoff

Having covered your background in using Matlab to automate data processing or conducting comprehensive literature reviews to support your research projects, you’ve established yourself as an expert.

To leave a lasting impression on the reader, pick out a couple of skills that are key to this particular role, such as data visualization and technical writing. Next, describe how you’re excited to put them to good use and contribute to impactful research studies at your new workplace.

Demonstrate that you’re a pleasant person to work with—a key factor in busy research facilities—and thank the reader for their consideration. Lastly, express how eager you are to join this research team to further seal the deal.

This closing paragraph doesn’t really work. It’s very generic and doesn’t highlight the applicant’s unique blend of expertise.

That won’t work…

I’m not an expert yet, but if you take the time to train me, I will do what I can. I really need a research placement for extra credits so please let me know if I can work with you.

The example below does a much better job. It delves into the applicant’s strengths and clearly shows what they can bring to the role.

You got this!

It would be an honor to discuss how my skills and enthusiasm for finance can enhance JPMorgan Chase & Co.’s esteemed reputation. Thank you for considering my application.

This depends on whether you’re applying for a part-time research role as part of your education or a full-time job. For the former, you’ll likely apply directly to the professor or researcher leading the project or department, so ask a faculty member if you’re unsure. Outside of academia, start by checking LinkedIn and the company website, then call or email the business if all else fails.

Mention the company by name a couple of times, especially in the opening and closing paragraphs. Delve into why you chose it above others—perhaps it’s an industry leader or its mission to introduce new life-saving medicine is close to your heart. Lastly, emphasize your expertise in relevant fields like qualitative and quantitive research.

Lean into your education and discuss relevant coursework and projects you were part of, such as field studies and laboratory work. You can also mention transferable skills from part-time jobs, including attention to detail and database management.

  • Header (apart from your contact information, include your name, the role you're applying for, and the date);
  • Personalized salutation;
  • Opening paragraph to win the recruiters over;
  • Middle paragraph with key details;
  • Closing that starts from clichés;
  • Sign off (that's not mandatory).

Industry standards dictate your paragraphs to be single-spaced and to wrap your content in a one-inch margin. Designing your graduate teaching assistant cover letter, refer to one of our templates , which automatically takes care of the spacing and margins.

The graduate teaching assistant cover letter salutation: how to address hiring managers

After covering the format of your graduate teaching assistant cover letter, let's look at the salutation.

Back in the day, the cordial "To whom it may concern" or "Dear Sir/Madam", might have worked out fine.

But, nowadays, your cover letter should approach hiring managers on a more personal basis.

So, what to do about your cover letter salutation ?

If you've messaged the recruiters and are on a first name basis or a more formal one, use the hiring manager's name in the greeting (e.g. "Dear Sophie," "Dear Ms. Givens", or "Dear Mr. Everett,").

Always aim to make the effort to find out the name of the hiring manager, who'd be assessing your application. Search on LinkedIn, double-check the advert on the corporate website, or message the brand on social media to find out more about the role.

If you can't find the hiring manager's name (and still want to sound professional), use "Dear HR Team,", "Dear Hiring Manager,", or the likes.

List of salutations you can use

  • Dear Hiring Committee,
  • Dear [Department Name] Selection Committee,
  • Dear Professor [Last Name],
  • Dear Dr. [Last Name],
  • Dear Search Committee,
  • Dear [University Name] Graduate Department,

Get creative with your graduate teaching assistant cover letter introduction

Recruiters are going to assess plenty of candidate profiles for the role. Thus, anything you do to stand out will win you brownie points.

Use your graduate teaching assistant cover letter introduction to share something memorable about your experience .

But before you go down the rabbit hole of creativity and humor, align your message with the company culture.

For example, if you are applying for a role in some startup, use those first two sentences to tell a funny story (about your experience) to quickly connect with the recruiter.

What to write in the middle or body of your graduate teaching assistant cover letter

Here's where it gets tricky.

Your graduate teaching assistant cover letter body should present you in the best light possible and, at the same time, differ from your resume.

Don't be stuck in making up new things or copy-pasting from your resume. Instead, select just one achievement from your experience.

Use it to succinctly tell a story of the job-crucial skills and knowledge this taught you.

Your graduate teaching assistant cover letter is the magic card you need to further show how any organization or team would benefit from working with you.

A sincere and original way to end your graduate teaching assistant cover letter

When writing their graduate teaching assistant cover letter, candidates tend to use one of these phrases, "Sincerely yours" or "I look forward to hearing from you".

Both statements show good manners, but your cover letter should end in a more actionable manner .

Write about:

  • how you see yourself growing in the role/organization;
  • the benefits you would bring about (you'd impress even more with tangible metrics);
  • the next steps in the process (provide your availability for interviews).

Which story should you tell in your graduate teaching assistant cover letter when you have zero experience

Candidates, lacking professional experience in the field - this one is for you.

Your graduate teaching assistant cover letter is an exercise of integrity, honesty, and, above all, spinning a positive narrative around your strengths.

And what better way to capture recruiters' attention than with your most job-relevant achievement (this could be from your internship or volunteering experience)?

Make sure to back up your success with transferrable skills that are relevant to the job (e.g. how your year, studying abroad, has taught you to be more motivated and handle multicultural environments).

Another safe card you can bet on is your career dream: in the body of your graduate teaching assistant cover letter, go into the details of how your ambitions would help make the company you're applying for better.

Key takeaways

Writing your graduate teaching assistant cover letter doesn't need to turn into an endless quest, but instead:

  • Create an individual graduate teaching assistant cover letter for each role you apply to, based on job criteria (use our builder to transform your resume into a cover letter, which you could edit to match the job);
  • Stick with the same font you've used in your resume (e.g. Raleway) and ensure your graduate teaching assistant cover letter is single-spaced and has a one-inch margin all around;
  • Introduce your enthusiasm for the role or the company at the beginning of your graduate teaching assistant cover letter to make a good first impression;
  • Align what matters most to the company by selecting just one achievement from your experience, that has taught you valuable skills and knowledge for the job;
  • End your graduate teaching assistant cover letter like any good story - with a promise for greatness or follow-up for an interview.
