Submitting your cover letter to an architecture firm

Now that you have successfully written a cover letter, it is time to send it out to a prospective employer with your resume, and in some cases, a portfolio .

In general, most job applications are sent via email. Submissions via the company’s website, or a job recruitment website, are quite common as well. There are some employers that would rather have the old-fashioned hard copy submission method.

Email Submission

There are three email submission methods, namely:

Option 1: Cover letter in body of email, resume and portfolio attached separately

• It is more likely that the cover letter will be read if it is in the body of the email, as opposed to it being in a separate attachment.
• This is a great option to use if the formatting of the resume and portfolio are different from that of the cover letter.
• The package is more interesting, as opposed to opening an attachment and seeing just a letter in it.
• The benefit of the resume and portfolio attachments being separate, could also be a disadvantage, as they could both remain unopened after the cover letter has been viewed.

Option 2: Cover letter, resume and portfolio attached separately

• This allows for different formatting to be used in each document
• The hiring manager can simply skip to the exact document they are looking for
• Documents can easily be lost or skipped. Also, more files to open for the hiring manager.

Option 3: Cover letter, resume and portfolio joined into one attachment

• Keeping track of just one document is a lot easier.
• It makes it easier for the hiring manager to print all, if need be.
• If the body of the email is not compelling enough, the attached documents may not be opened at all.
• In the case where the cover letter is included in the body of the email and also in the attachment, it becomes redundant.
• It is a bit trickier if you have different formatting in the documents, e.g. portrait and landscape modes.

Website Submissions

A lot of large architectural organizations allow job applicants submit the application on their websites. Usually, there is a form on the website for the applicant to fill in their details, and attach resumes and portfolios.

PDF documents can also be attached and a text box is incorporated in case candidates want to write their cover letters.

Simply follow the directions on the website, as they vary based on the company.

Mailed Hard Copies

Yes, there are still companies out there that expect you to mail hard copies of your cover letters, resumes and portfolios to them. You might also want to drop in on the architectural firm, and hand in your documents in person.

In that case, ensure that your documents are printed out on high-quality, white-colored bond paper. Place documents in a waterproof envelope to reduce chances of them getting wet. Do not forget to sign the cover letter by hand before submission.

Before diving into how you go about writing a strong architecture cover letter we’ll need to get a general idea of what a cover letter is and why it’s important to your job search. 

A cover letter is the first impression the hiring manager gets of you. She has probably already read your resume - your cover letter is the icing on the cake. It’s here you show your voice, your ability to communicate, and you demonstrate how you plan to add value to the company. Do not repeat the information from your resume. Your cover letter is supposed to show how you’ll fit into the culture of the company. Include extra details about how you work, who you are, what your values are, your work ethics and so on. 

Your cover letter is built up with just a few, but important, paragraphs. The ideal cover letter format for your content is this: 

A personal salutation

Your opening paragraph.

• Why you’re the perfect match for the job
• Why the company is the perfect fit for you
• Ending paragraph with a call to action
• Complimentary close
• Optional: a postscript (p.s.)

I am pleased to be applying for the Intern Architect position within Freeman & Sons, Inc. as I am certain that my qualifications and qualities make me a perfect fit for the role. What is more, I believe that it would be the opportunity of a lifetime for me to learn new things, further develop my expertise, and grow both personally and professionally.

First of all, I am a third-year Architecture and Building Sciences student at the Delft University of Technology. During my studies there, I have worked on multiple individual and group projects and these assignments have allowed me to become a great team player and taught me how to function well in fast-paced and deadline-driven environments. Moreover, at the university, I also serve as a President of the TEDx Club and this valuable experience has played a crucial role in the development of my excellent time management and organizational skills.

On top of my education, I worked as an Intern Architect at Accenture, Ltd. for three months last Summer. There, I was given the responsibility for completing professional site visits, producing detailed drawings and sketches, and maintaining relevant correspondence. Additionally, I assisted in the design of multiple commercial/residential properties, generated regular reports on the progress of the assigned projects, and presented results to supervisors.

Finally, I am a native Croatian speaker with a proficiency in English and a basic knowledge of Japanese. Offering the ability to use all software programs necessary for the role, including 3DS Max, AutoCAD, and CATIA at an intermediate level, I would appreciate the opportunity to meet with you in person to discuss the internship in more detail. Architectural Intern

An architectural intern receives the formal practice needed to become a certified architect. They gain well-balanced experiences, learning how to develop and execute design and construction projects. They often work on 3D visualization, construction administration, physical models, and drawing revisions. Six-month internship for architects

The intent of the internship is to give an architect the opportunity for professional growth while they contribute to a studio doing cutting-edge design work in cohousing and other community-enhanced design. You will be contributing to the completion of real projects and unlike the majority of jobs, this internship provides a much wider array of experiences designing cohousing and multi-family and writing projects, we have published 14 books in the last 32 years. In this internship, you would be an activist and an organizer, as well as, an architect. The internship is not “limited” like typical entry jobs are, nor is it like school. You’ll do a little of everything, from design programs to design to construction drawings to construction administration and land use planning, all in the context of community-enhanced design as a basis to building a viable and sustainable society. We design cohousing communities, affordable housing, childcare centers, and town planning. Although in these COVID times, we are mostly doing housing and planning consulting, schematic designs, but also doing a lot of planning and housing books, and activist architecture projects. You will definitely work on a book these days. It’s a great experience to venture into the world of activist architecture.

We take the internship and the growth of the individual intern very seriously. Interns learn specific design information and techniques and develop skills not readily accessible to someone fresh out of school, or typical architectural practices, such as participatory design and sustainable architecture in the production of inexpensive multi-family housing. An internship at The Cohousing Company is an opportunity to participate in an office with a distinct social agenda—promotion of community, creating more sustainable environments and contribution to the human experience. “If it doesn’t work socially why bother”, is our mantra. It turns out if you can make it work socially, then cooperation will allow other goals like sustainability to more readily fall into place. Within The Cohousing Company framework there is opportunity for interns to explore their individual interests and their role in the fields of architecture, planning, and environmental design. We have also been doing more urban design of late.

Design Philosophy

It is our aim always to honor natural resources and to facilitate environmental design of the highest standard possible. We strive to make the buildings and environments beautiful and to employ energy and resource-efficient building techniques at all times. We specify low or non-toxic materials. And just because we are designing state-of-the-art housing does not mean that it is okay if the roof leaks—construction and architecture are one. In the end, we attempt to practice the art to its highest level. Once we agree that a proposed project is congruent with our basic philosophy and values, it is then our intent to fulfill it to its highest potential. This is where the intern comes in—developing models, sketches, research, and other means by which we can see, and thereby solve the problems and challenges posed by each project always trying to take the design to the next level.

The Cohousing Company intern is engaged in whatever projects are currently on the boards. This usually includes cohousing projects (mostly schematic designs in the COVID times), an affordable nonprofit housing project (activism), a planning project, and a book project.

Written Projects: Usually, each intern performs a research project, such as a post-occupancy evaluation project or similar.

Expectations

We expect that you come to the internship with basic drafting and presentation skills. We are a Macintosh office and use Vectorworks, SketchUp, Photoshop and InDesign—it is important you know these programs prior to interning here, at least the basics. Vectorworks has a free one-month trial. If a foreign student, we also would like you to be familiar with the feet and inches system. In recent years, we have had extremely qualified interns who were able to grow extensively from their previous experiences, and go forth and implement high-quality, yet affordable, multi-family housing, and highly functional neighborhoods.

We like a friendly, informal atmosphere. Our office has a full kitchen for your lunch preparation as well as many fine local cafés. We are fully back in the office, and everyone is fully vaccinated.

Compensation: Interns are paid $15.00 per hour for the first six months. We do not attempt to make money with intern labor. The intern wage demonstrates more than anything else, that this is a steep learning curve scenario. You will learn a lot that you are not currently familiar with. If a six-month internship is not possible for you, a shorter not paid (all volunteer) option may be possible—but we don’t recommend it, because it’s hard to learn enough in a shorter amount of time. I thought that I would learn what I need in 6 months in Denmark but stayed for 13 months for no pay. The internship is designed for a post undergraduate or post master’s degree, and is often a practicing architect and often after they have started working in the studios of other architects.

Employment: Many interns have gone on to work for us. We give employment preference to former interns, but it depends on the nature and volume of what is on our boards at the time. We encourage interns to keep in touch with us; over the years several have come back to work here.

Evaluations: Chuck Durrett will meet with you at the end of each month to discuss how the internship is going. The focus is the growth curve and critical reading (2-3 books per month). The last meeting will concentrate on what you want your professional trajectory to be and how we can help you accomplish it. In the past, our letters of recommendation seem to have been helpful. There is a thorough evaluation after the first month. Two of the 50 plus interns that have interned here over the last 30 years and from around the world did not make it past the first month. Even after a great portfolio and references, it sometimes has not been a perfect match. That risk always exists, and you should be aware of it.
