Here’s everything that’s new in Microsoft Office 2021

If you’re not interested in subscribing or paying a monthly fee to use Microsoft Word and other apps, then you might want to consider buying what’s known as the “perpetual” or “stand-alone” version. The most current version of this is Office 2019 , but on October 5, Microsoft will be releasing Office 2021.

Pricing details for Office 2021 haven’t been shared at the time of writing, but it’s expected to be the same as Office 2019. Yet, there are a few minor differences in the core apps, including Microsoft Word, PowerPoint, Excel, and Outlook. Office 2021 brings a new visual look for all the core apps and a set of new features. Here’s a look at some of those.

Microsoft Word 2021 brings a few new features absent from Word 2019. Note that we’ll be talking about both Windows and Mac throughout this piece. We’re starting first with Windows in all of our sections, followed up by Mac.

On Windows, the first of those new features in Word 2021 is the ability to enjoy a new collection of stock media. Microsoft says that it is adding more rich media content and a better-curated library of stock images and icons. Basically, you’ll have more ways to make your documents look nice!

Also new is the ability to use Microsoft Search. This is a new tool that can help you find text, get online help, use commands, and more. It is at the top of the screen.

Rounding out the list of new features in Word 2021 is an updated Draw tab, support for OpenDocument format, and the Sketched style outline. New drawing tools let you quickly access and change the color of all your inking tools, all in one place. The new Sketched style outline, meanwhile, gives a casual, hand-drawn look to shapes in your presentation.

As for Word 2021 on Mac, you should notice a big visual refresh, with cleaner tabs and monoline iconography. Some of the other new features include advanced page color support in the immersive reader, natural-sounding voices with Read Aloud, and the ability to save pictures and charts in the .SVG file format. Note that the new stock media and search button from Windows also are rolling out on Mac, too.

Microsoft Excel 2021 is one of the apps that gets the most new features. On Windows, there are a lot of new functions to analyze data, including Dynamic Arrays, XLOOKIP, and LET functions. These are catered to enterprise users, however. For everyone else, the most notable new features will be performance improvements, new stock media, an updated Draw tab, the new Microsoft Search button, as well as support for the OpenDocument format.

With XLOOKUP, you can find anything you need in a table or range. With the LET function, you can assign names to calculation results for storing intermediate calculations, values, or defining names inside a formula. Microsoft describes the other new Excel features below:

Dynamic Arrays: Write one formula and it return an array of values. XMATCH function: This searches for a specified item in an array or range of cells, and then returns the item’s relative position. New input field in the colors dialogue for Hex color values. New workbook statistics function.

Over on Excel 2021 for Mac, you can expect all the same features mentioned above, plus the addition of a new “Watch Window” option. Microsoft says this window should make it convenient to inspect, audit, or confirm formula calculations and results in large worksheets.

When it comes to Microsoft PowerPoint 2021, the many new features are designed to help you improve your presentations, as well as your slideshows. We’re starting first with PowerPoint for Windows.

One of the biggest features in PowerPoint 2021 is an improved Record Slide Show feature that now supports presenter video recording and laser pointer recording. You can also expect a new ability to replay your ink strokes, the ability to find what you need in Microsoft Search, and new ways to arrange elements on your slides for screen readers.

The other features from Excel and Word are here, too. Those include the Sketched style outline, new colors, updated Draw tab, support for OpenDocument format, and new stock media.

On Microsoft PowerPoint 2021 for Mac, meanwhile, you can enjoy a big visual refresh, which Microsoft says is a “modern clean, clear style.” Other new features include the ability to make an animated GIF from a slideshow and to save your pictures and graphics as SVG, as well as the Sketched style outline.

Outlook is one of the most used Microsoft Office apps, and it’s getting just a small set of features themed toward discovery and translation. On Windows, a new Instant Search feature lets you find emails anywhere when in Outlook.

New translation features, meanwhile, let you translate email messages in more than 70 languages via a sidebar. Of course, the ink features are there, too, letting you annotate email images or draw in a separate canvas using your finger, pen, or mouse. Other features include more stock media and a new input field in the Colors dialogue for Hex color values.

Over on Microsoft Outlook 2021 for Mac, you’re getting a visual refresh, as well as the ability to save your pictures and charts as SVG.

We’re only covering the core apps, but Microsoft did list all the major changes in the other Office apps over on its support page . Those apps include Access, OneNote, Project, and Visio. These apps are more catered to enterprise and education users. The changes are mainly relating to formulas, new templates, and new datasets.

Google is adding to its AI repertoire with a new plug-in that will serve corporate teams for the not-so-low price of $30 per month. It's called Google Duet, and it allows you to translate your documents into various different Google apps with a click.

The Google Duet assistant is now available after being showcased at the Google I/O developer conference in May. The assistant is compatible with Google's Workspace apps, including Gmail, Drive, Slides, Docs, and others.

Microsoft Outlook is set to get an update that will address the size limit that is currently in place when sharing files on the email service. In the future, instead of attachment limits, users will be able to upload files to OneDrive and share them through email.

The way Microsoft Outlook is set up makes it challenging for users to attach and send large files. It is easy to exceed the maximum size limit and be unable to send certain files through Outlook.

Microsoft recently announced a major update to its communities and GroupMe features on its free Teams app. In addition to more features that mirror a platform like Discord, Teams now supports AI-generated images in Communities, à la Midjourney.

The Communities feature has been a breakout hit for Microsoft Teams since its introduction in December 2022, and has been available for Microsoft 365 Personal and Family plans, along with Teams Essentials accounts. Since then, many people have found the feature beneficial for local collaboration such as sharing projects, exchanging ideas, and pooling resources. According to user feedback, the feature allows collaborators to stay connected before, during, and after gatherings, Microsoft said.

Have you  ever  wished you could easily export an existing  Word document into a great PowerPoint presentation?  If so, the wait is over!   

When you use the Export command, it creates a  presentation  based on   all   the summarized sections of the document.  It also  adds   imagery, icons, videos, themes, and fonts  using  AI.  

How it works  

To turn your Word document into a PowerPoint presentation:  

  • Open any document  you want to convert into a presentation  in Word for  the  web.  
  • Click  File   >   Export > Export to PowerPoint presentation .  
  • When  prompted ,  choose a design theme for your presentation.  
  • Click  Open presentation  to  re view  the results  in PowerPoint for  the   w eb.  
  • The presentation  w ill  be  created  in the OneDrive  root folder  of the user who used this option.

Create, open, and name a presentation

Go to powerpoint.office.com .

Select New blank presentation , open a Recent file, select one of the themes , or start with a presentation template .

To name the presentation, select the title at the top and type a name.

If you need to rename the presentation, select the title and retype the name.

Select Layout and the you type want from the drop-down.

When working in PowerPoint for the web, your work is saved every few seconds. You can select File > Save a Copy to create a duplicate copy in another location.

When you're online, AutoSave is always on and saves your changes as you work. If at any time you lose your Internet connection or turn it off, any pending changes will sync as soon as you’re back online.

You might have converted a PowerPoint presentation to a Word document before so that you could edit it. But did you know that you can do the reverse? Take your Microsoft Word document and turn it into a Microsoft PowerPoint slideshow.

Maybe you want a jumpstart on creating your presentation using the text that you've saved in Word. Or maybe you've realized that your document would be better presented as a PowerPoint slideshow. With Word on the web, you can convert your document easily.

Here are a few things to keep in mind in terms of converting Microsoft Word documents to PowerPoint presentations. These points might be updated over time. The feature began rolling out in early 2021 :

  • The ability to convert PowerPoint presentations is currently only available in Word for the web.
  • The option is currently only available in English.
  • The feature is not currently available when using Safari or Internet Explorer.
  • At the time of writing, text content is available for export. If you have media content in your Word document, you'll need to add it to the PowerPoint presentation separately.

Now, if you're ready to give this feature a try, let's get to it! Head to the  Microsoft Office online  website, sign in to your account, and open your document in Word. You do not have to open PowerPoint in another tab or window.

Click File > Export and choose the "Export to PowerPoint Presentation" option.

You'll see a pop-up window with a collection of themes. Select the theme that you want to use and click "Export." You can change the theme in PowerPoint once it's exported if you like.

After several moments, you'll receive a notification that your newly converted presentation is ready. Click the "Open Presentation" button.

The slideshow will open in Microsoft PowerPoint for the web in a new tab.

The presentation will be saved to OneDrive automatically with the same name as your Microsoft Word document. If you haven't named your document, the slideshow will have a default name, such as Document 1. Click the name in the top-left corner and give it a new file name.

Styles like headings and bullet points should transfer as such. However, this could change depending on the theme that you select. Keep in mind that you might need to make some adjustments to the slideshow after you export it.

When it comes to creating a slide show, there are a few things you'll need to get started. First and foremost, you'll need a device equipped with presentation software or access to an online slide show app. Secondly, you’ll need a way to display your slide show, which usually means connecting your device to a projector or big screen TV. Beyond that, you’ll need some visual aids and other media to bring your slide show to life.

Explore each of these slide show requirements in more detail:

Devices and equipment —To create a slide show, you’ll use a computer or other device—such as a tablet or mobile phone—with PowerPoint or a similar program installed. You will also need a way to project the slides onto a screen or wall. This can be done with a projector, but if you don't have one available, you can use your TV or computer monitor. Simply connect your device to the TV or monitor using an HDMI cable and select the correct input. Your slides will now be projected onto the screen.

Media —Of course, creating a slide show requires media that adds visual and even audio elements to your presentation. This can be anything from photos and videos to music and text. You can use search engines to find copyright-free media to use in your slide show.

Another option is to purchase royalty-free stock footage, images, and audio files from online media libraries. This could be a bit more expensive, but it guarantees that you have the legal right to use the media in your presentation.

Finally, you can also use your own videos, images, and even music. While this can be a time-consuming process, it does allow you to create custom content specifically for your slide show.

Start adding photos, videos, and other desired media to your slides. You can upload these from your device or online media libraries. If you planned your slide show in advance, you should have all your media saved in one place.

2. Launch your slide show app

Once you’ve decided on a slide show maker, you’ll want to launch the app from whatever device you’ll be using to create your presentation.

After you’ve arranged the visuals in your slide show, you can provide additional information and communicate sentiment using custom text, music, and timed slide transitions.

Most slide show software offers a variety of pre-set themes, colors, and designs. You can choose one that best suits your slide show or create a custom theme using the program’s various tools and features.

6. Record, save, and share your slide show

Now you’re ready to record your slide show, which can include a voiceover or Cameo . Once your slide show is complete, you can save it as a video to your device or to the cloud, such as OneDrive . You can access your saved slide show at any time to display at events, use in meetings, share online, or send directly to other people.

How to make a slide show with photos

Adding photos to your slide show is a great way to enliven your presentation and make it more visually interesting. Here are a few different ways you can add photos to your slide show in PowerPoint.

Add photos from your device

Whether you’re using a computer, tablet, phone, or other device, you can use photos that are saved to your device to create your slide show. In PowerPoint, simply select “Insert” then “Pictures” from the program menu, then choose “This Device.” This will open your photo library and allow you to find the photos you want to use. Once you’ve selected the photos that you want to import, just click on the "Insert" button and they will be added to your slide show. If you’re using a pre-made theme, you can also right-click the image in the slide show and select “Change Picture.” Again, you will choose “This Device” to access your photo library. After inserting your photo, you can reposition it on your slide or resize it however you like.

Use stock photos

Another way to add photos in PowerPoint is to follow the same process you would when adding photos from your device, but when prompted to choose your photo source, select “From Stock Images” instead of “This Device.” This will display a library of photos that you can use in your slide show without worrying about copyright infringement. There are thousands of stock images available in most slide show maker programs. Once the library is open, you can explore existing photo categories or use keywords to search for photos that fit your needs.

Explore online photo sources

Online photos are images you can insert into a PowerPoint slide show directly from the internet, as opposed to using those you have saved on your device. This is a convenient option if you don't have photos already prepared for your slide show, or if you can’t find the right kind of photo in the stock image library. However, there are some potential risks associated with using online photos, namely that you must be careful to use royalty-free images so not to infringe on any copyrights. In PowerPoint, there is a filtering option to ensure your search results only show royalty-free photos. Inserting photos from online sources follows the same process as the previous two methods, but this time, you’ll select “From Online Sources.”

How to add videos to PowerPoint slide shows

Adding videos to your slide show involves accessing videos from your device, a stock video library, or online video sources—just as you would when adding photos. In this case, however, you’ll navigate to the menu in PowerPoint and select “Insert,” followed by “Media,” then “Video.” Once your video appears on your slide, you can resize or reposition it to fit your presentation needs. You can also set your video to play automatically in the slide show by selecting “Playback” on the menu and choosing “Start Automatically.”

How to add music to PowerPoint slide shows

Much like adding videos, you can add music to individual slides in PowerPoint by navigating to “Insert” on the menu, then “Media,” and finally “Audio.” You can then import music from your device, or you can record your own audio directly in PowerPoint. However, if you want your audio to play across multiple slides in your presentation—for example, as background music for a slide show—you’ll have to take a couple of extra steps. Once you’ve imported your audio file, select “Playback” from the menu and choose the “Play in Background” option. Your music will now play across all slides. You can set one song to loop for the duration of the slide show, or you can add more songs to play continuously throughout the slide show.

How to add text to PowerPoint slide shows

Premade themes in PowerPoint make adding text slide shows easy. On slides that already have templated content, you can simply click on the text and begin editing. In addition to changing what the text says, you can resize, recolor, reposition, and add special effects to the text. Of course, you can also change the font—or style—of the text. Most of this can be done from the “Home” tab on the menu while certain effects, such as shadows, can be found on the “Shape Format” tab. If you’re designing your presentation slides from scratch, or want to create additional text, find “Insert” on the menu, then choose “Text Box” or “Word Art,” depending on your desired text effect.

Set slide show timing

Adding timing to your slide show is a great way to control the pacing and flow of your presentation. To add timing in PowerPoint, go to the "Transitions" tab on the menu and find the "Advance Slide" area. Make sure the box next to “After:” is checked, then input the amount of time you’d like each slide to appear on-screen. The slides will automatically advance, creating a movie-like effect that’s great for events and special occasions.

Create slide show transitions

Now that you’ve added automatic timing to your slide show, you can make it more visually appealing by creating slide transitions. Transitions are special effects that allow you to animate the way your slides change from one to the next, and there are a variety of different transitions in PowerPoint that you can choose from. You can add these transitions to your slide show from the "Transitions” tab. From there, you’ll select the transition you want to add. To preview the transition, simply click on it. You can click “Apply To All” to automatically add the same transition to every slide in your slide show, or you can manually add different transitions to different slides.

Loop your slide show

If you want your slide show to play continuously until you choose to turn it off, you can set your PowerPoint presentation to loop. This will ensure your slide show automatically starts over from the beginning once it reaches the end. To get started, navigate to the “Slide Show” tab on the menu and select “Set Up Slide Show.” When the settings window opens, check the box next to “Loop continuously until ‘ESC’” and then click “OK.” When you’re ready to turn your slide show off, simply press the Esc key on your keyboard.

Microsoft PowerPoint Designer

Microsoft today announced a new feature in Word that will allow you to   t ransform Word document s   in to PowerPoint presentation s . This feature is now available in Word for the web First Release users .  When you use the new Transform feature, Word will create a  presentation  based on   all   the summarized sections of the document.  It will also add   imagery, icons, videos, themes, and fonts  using  AI.  

Here’s how you can use this feature:

  • Open any document  you want to convert into a presentation  in Word for  the  web.  
  • Click  File   >   Transform  > Transform to PowerPoint presentation .  
  • When  prompted ,  choose a design theme for your presentation.  
  • Click  Open presentation  to  re view  the results  in PowerPoint for  the   w eb.  
  • The presentation  w ill  be  created  in the OneDrive  root folder  of the user who used this option.  

This feature will work only for English language Word documents for now.

MS word, Excell and Powerpoint not showing in right click ->New context manue even after regestry update. PLease help me how do I solve this problem

I have installed Office 365, but Word Excell PowerPoint can never be opened from "Right Click"-->New. In the "New" these items are not present. I edited the registry as many people suggested but it never worked. Can anyone help me?

Type the name of the application that you want to start into the Windows search facility and then click on the App that appears

Once the application starts and its Icon appears on the Task Bar at the bottom of the screen, right click on the Icon and then left click on Pin to Task Bar where it will then remain so that you can simply start it by clicking on that Icon.

I want the following:

Right-click at the desktop (or any folder)

Click on New

It's quite convenient to have the option to create a new Word document, Excel sheet, or PowerPoint presentation directly in the folder where I want to save it.

However, no MS Office package options are in "New." I have checked the registry, and the values are correct. How do I get Word and Excel available for that New thing? How do I get word excell etc from this option "New". I have corrected the registry for example ".docx". It did not worked

New York Governor Kathy Hochul has been forced to walk back her comments after she claimed that Black children in the Bronx don’t know the word “computer”.

Speaking at the Milken Institute Global Conference in California on Monday about her state’s artificial intelligence initiative (AI), Ms Hochul claimed: “We have young Black kids growing up in the Bronx who don’t even know what the word ‘computer’ is… And I want the world opened up to all of them.”

After facing backlash over her remarks, the governor apologized and said that she “misspoke”.

“I misspoke and I regret it,” Ms Hochul told The New York Post in a statement.

“Of course Black children in the Bronx know what computers are — the problem is that they too often lack access to the technology needed to get on track to high-paying jobs in emerging industries like AI.”

New York State Assembly members from the Bronx branded her comments as “misinformed” and “disheartening”.

Amanda Septimo, an assembly member for the 84th district including the Bronx, called Ms Hochul’s comments “harmful, deeply misinformed, and genuinely appalling”.

She wrote : “I would invite Governor Hochul to visit us in The Bronx to experience firsthand the intelligence, resilience, and joy that radiate from Bronx children and residents each day.”

Assembly member John Zaccaro Jr also condemned the governor’s comments in a statement.

“The underlying perception conveyed about Black and brown children from the Bronx is not only disheartening but also deeply concerning,” he wrote .

“They are not only capable but deserving of every opportunity that their counterparts are offered.”

Karines Reyes, who also represents an area in the Bronx, similarly said she was “deeply disturbed” by Ms Hochul’s remarks “and the underlying perception that she has of Black & brown children” from the Bronx.

She added : “Our children are bright, brilliant, extremely capable, and more than deserving of any opportunities that are extended to other kids.”

“Do better,” Ms Reyes said.

Edit the presentation to suit your needs, ask Copilot to add a slide , or start over with a new presentation and refine your prompt to include more specifics. For example, "Create a presentation about hybrid meeting best practices that includes examples for team building.”

With Copilot in PowerPoint, you can create a presentation from an existing Word document. Point Copilot in PowerPoint to your Word document, and it will generate slides, apply layouts, create speaker notes, and choose a theme for you.

Best practices when creating a presentation from a Word document

Leverage word styles to help copilot understand the structure of your document.

By using Styles in Word to organize your document, Copilot will better understand your document structure and how to break it up into slides of a presentation. Structure your content under Titles and Headers when appropriate and Copilot will do its best to generate a presentation for you.

Include images that are relevant to your presentation

When creating a presentation, Copilot will try to incorporate the images in your Word document. If you have images that you would like to be brought over to your presentation, be sure to include them in your Word document.

Start with your organization’s template

If your organization uses a standard template, start with this file before creating a presentation with Copilot. Starting with a template will let Copilot know that you would like to retain the presentation’s theme and design. Copilot will use existing layouts to build a presentation for you. Passkey support comes to Word, Excel, and more for all consumer Microsoft accounts

We’re getting closer every day to a password-free future. Less than two years after Apple launched passkeys with iOS 16 and macOS 13, more and more companies continue adding support. Following in the footsteps of Amazon and Nintendo , among others, today Microsoft announced that passkey support is rolling out for all its consumer accounts across Apple platforms, Windows, and Google products.

Users of Word, Excel, and the host of other popular products requiring Microsoft sign-in will be able to authenticate using simple biometric tools like Face ID or Touch ID.

Convenient logins to Microsoft products

Passkey setup is quick and convenient, as Microsoft outlines in its announcement post :

On the device where you want to create the passkey, follow this link , and choose the face, fingerprint, PIN, or security key option. Then follow the instructions on your device.

Once a passkey has been set up for your Microsoft account, you’ll be able to easily log in to apps like Word, OneNote, and Outlook using biometric authentication. A quick Face ID scan on iPhone or iPad, or Touch ID on the Mac, beats the kind of friction that comes from entering a username and password over and over again across a family of apps.

Microsoft’s consumer products have a massive user base, so it’s great to see the company bring passkey support to its entire lineup of offerings. Passwords are one of the modern tech realities that everyone has to deal with, but most people don’t know how to handle well. Sometimes that means weak passwords, or repeated ones, or even sticky note security vulnerabilities.

In any case, there’s clearly a better way for users to keep their data secure, and passkeys have proven to be that superior option.
